Overview

FreeITSM brings together 23 integrated modules, extending beyond a service desk into assets, risk assessment and change management. That range can reduce the need to assemble separate tools for those jobs, especially for teams already working with Microsoft 365, Google Workspace or VMware. The trade-off is operational ownership: teams must host the platform themselves, and bug reports and ideas go through GitHub rather than a formal support channel.

Key features

Tickets and assets

The Tickets module connects Microsoft 365 and Google Workspace mailboxes and supports assignment, prioritisation, replies, attachments and audit trails. It gives teams a structured way to manage email-driven requests without abandoning their existing mail workflow. The Assets module tracks physical and virtual equipment and can discover VMware virtual machines through vCenter, which is particularly useful for teams responsible for mixed infrastructure.

Change management, security and integrations

Risk assessment, approval workflows, a change calendar and a change audit trail support a more controlled change process than ticket handling alone. Documented integrations also include Microsoft Intune and optional WhatsApp connections through Twilio or Meta's WhatsApp Cloud API. For teams using those systems, the integrations broaden the platform's reach; they do not remove the work of deploying and maintaining it.

The System module includes OpenID Connect single sign-on, TOTP multi-factor authentication, account lockout, IP-based brute-force protection, trusted-device management and AES-256-GCM encryption key management. These controls give administrators several ways to protect access, though teams remain responsible for running the self-hosted environment.

Optional AI

Opt-in AI features can answer knowledge questions, clean up ticket replies, assist with forms and workflow authoring, and detect problems. They use a customer-provided key for Anthropic, OpenAI or OpenRouter. The maker says prompts go to the selected provider only when an AI feature is configured and used, and that keys are encrypted in the self-hosted database. Provider usage may incur per-token or per-request charges, so the free platform does not make AI usage free.

An external API endpoint lets automated agents submit software inventory data. This is a focused automation route rather than a claim of a general-purpose API.

Pricing

FreeITSM: 0.00 USD per free. The plan is free forever, with no premium tiers. There is no free trial because the free plan is permanent. AI provider usage may cost extra and is paid by the user. That makes the product a strong fit for teams able to host it and control their own AI spend; teams seeking a paid tier with formal support will need another option.

Platforms

FreeITSM supports Linux, Windows, web use and self-hosting, and includes an API. It can be launched with Docker on Linux or Windows, or manually hosted on a web server using IIS with PHP or WAMP and MySQL 8.0+ or MariaDB 10.5+. This range accommodates different hosting preferences, but the deployment and maintenance burden stays with the team.

Who it's for

FreeITSM suits IT infrastructure and service desk teams that want an open-source platform, need ticketing alongside asset and change management, and have the capacity to run their own software. Existing use of Microsoft 365, Google Workspace or VMware makes its integrations more relevant. It is a poorer fit for teams that depend on vendor support or want someone else to manage hosting.

Pros and cons

Pros

Broad scope at no software charge: 23 integrated modules include service desk, asset, risk and change functions, with no premium tiers.
Useful infrastructure integrations: Mailbox connections and VMware vCenter discovery support common service desk and asset workflows.
Configurable AI: Teams can choose Anthropic, OpenAI or OpenRouter and enable AI features only when wanted.
Self-hosting flexibility: Docker deployments and manual hosting options cover Linux and Windows environments.

Cons

No formal support: The maker describes FreeITSM as a solo passion project and directs users to GitHub, which may not suit teams needing a dependable support channel.
Operational responsibility: Teams must host and maintain the platform rather than relying on a managed service.
AI is not cost-free: Provider charges are separate from the free platform and paid by the user.

Verdict

Choose FreeITSM if your team wants a broad, permanently free ITSM platform and can take responsibility for hosting, maintenance and support work. Its strongest case is the combination of ticketing, assets and change controls without a software fee. Look elsewhere if a formal support channel or managed deployment is essential.
