Overview

AfterSchool HQ is a management platform for schools and organizations running youth activities. It is best suited to providers that want families to discover and enroll in programs online while staff coordinate the operational work in the same product. Its broad enrollment-to-attendance workflow is a strong fit for activity programs, though transaction fees and limits on coupon use affect the payment experience.

Key features

Schools and providers can publish programs for online registration, with parents paying by credit card or ACH. Subscriptions and payment plans give organizations options for collecting charges over time. The trade-off is that processed activities incur an after-school program support fee, and credit card payments also carry a transaction fee. Coupons can reduce registration fees but cannot be applied to payment plans, which may constrain how providers structure promotions.

Rosters and attendance tracking support day-to-day administration; check-in and check-out help verify student pickup and drop-off. Email and text messaging provide direct channels for communicating with parents, and impact reporting adds an outcomes-oriented view alongside operational tools. Enrollment forms, family messaging, and billing and payments round out the core workflow.

A Zapier integration can trigger actions when a registration is submitted, giving teams a way to connect enrollment events with other workflows. It requires an organization API key, so it is most useful to teams able to manage that setup. Connected apps may include AHQ Hub App, AHQ Import App, AI Reporting Assistant, and Grafana, depending on organization permissions and enabled features.

The terms describe retained data as encrypted at rest, with access limited to authorized personnel and activity logged and monitored. They also state that OpenAI does not train its models on business data processed through the Assistants API and that account assistants and chat threads are isolated. Organizations considering AI-assisted reporting should weigh those stated safeguards alongside their own data requirements.

Pricing

AfterSchool HQ uses a freemium model and offers a free plan, a free trial, and paid tiers. Free costs 0.00 USD per free, with transaction fees applying to activities processed through the platform. That makes it a starting point for organizations willing to account for per-activity charges, rather than a fee-free way to process registrations.

Lite, Pro, and Enterprise use custom pricing. The tier names alone do not establish what distinguishes them, so organizations comparing plans should match their needs with a quote. Transaction fees apply to activities processed through AfterSchool HQ across the listed plans; credit card payments also incur a transaction fee. Factor both costs into payment planning.

Platforms

AfterSchool HQ is available on Android, iOS, and the web. The parent app is web-based, so organizations whose families expect a dedicated mobile parent app should check that workflow against their needs before choosing it.

Who it's for

The product is aimed at schools, activity providers, and youth programs that need to manage registration, payments, attendance, and family communication together. It is particularly relevant when parents need an online route to find and pay for activities and staff need check-in and attendance tools. Teams seeking a system with no transaction charges, or that rely on coupons for installment plans, should look elsewhere.

Pros and cons

Pros: Online registration, payment, rosters, attendance, and family messaging cover connected stages of youth-program administration.
Pros: ACH and credit card payments, subscriptions, and payment plans offer several collection options.
Pros: Check-in and check-out support pickup and drop-off verification, while impact reporting addresses program outcomes.
Cons: Processed activities carry a support fee, and credit card payments carry an additional transaction fee, raising the cost of online collection.
Cons: Coupons cannot be used on payment plans, limiting discounts for families paying over time.
Cons: The parent app is web-based, which may not suit organizations seeking a dedicated mobile parent app.

Verdict

AfterSchool HQ is a strong choice for schools and youth-program providers that want one workflow for online enrollment, payments, family communication, and attendance through pickup. Its main advantage is the breadth of those connected operations; its main drawback is the cost and flexibility impact of transaction fees and coupon restrictions on payment plans. Choose it when those tools fit your program and budget, and compare alternatives if fee exposure or a native parent app is a deciding requirement.
