Overview

Fleet Service 365 is fleet-management software for operators who need maintenance and inspection workflows alongside asset records and telematics. It is a good fit for teams that want those functions in one system, but the free tier is limited to three assets and one user.

A separate FS365 product connects fleet operations with Microsoft Dynamics 365 Sales, Customer Service, and Field Service. The company, founded in 2021 and based in the United States, targets operators across trucking, construction, field service, manufacturing, and government.

Key features

Maintenance and work orders

Preventive maintenance can be scheduled by odometer, engine hours, or calendar, with work orders and technician notifications generated from schedules. That gives maintenance teams a direct path from service interval to assigned work, and supports fleets whose upkeep is driven by more than mileage alone.

Mobile inspections

The iOS and Android app supports mobile DVIRs with photos, signatures, GPS, and timestamps, and inspections can be completed offline. Defects can automatically create work orders, which helps turn a field finding into follow-up work without requiring a separate reporting step.

Telematics and operational records

Named telematics integrations include ATTI, Geotab, Samsara, Motive, and Verizon Connect. The system also covers fuel and meter tracking, reporting, and parts inventory; tire management is included in Standard and above. Teams already using one of the named providers have a clearer fit than those whose telematics setup depends on an unlisted integration.

Security and deployment

The privacy policy says data is encrypted in transit with TLS 1.2+ and at rest with AES-256, with tenant isolation at the database row level. It also says personal information is not sold and cross-customer models are not trained on customer telematics data without written authorization. For organizations with deployment requirements beyond shared cloud service, the pricing page describes single-tenant self-hosting in a customer VPC or on-premises Kubernetes, with BYO KMS, SSO, and SIEM.

Pricing

Fleet Service 365 uses a freemium model. The 14-day trial requires no credit card, which gives teams a short evaluation window before choosing a plan.

Plan	Price and billing	Included	Best fit
Starter	Free	Up to 3 assets, 1 user, up to 25 customers, vendors, and contacts, and 1 GB storage. Includes email support.	A very small fleet or an initial evaluation; the single-user and three-asset caps make it unsuitable for a growing team.
Standard	6.00 USD per month; billed $72 / asset / billed annually	Unlimited assets and users, parts and inventory management, tire management, custom roles and permissions, priority chat support, and 50 GB storage.	Teams that need fleet-wide access and inventory workflows without Pro's real-time GPS and routing features.
Pro	8.00 USD per month; billed $96 / asset / billed annually	Unlimited assets and users, real-time GPS tracking, speed reports, advanced routing, a sandbox environment, named support contact, 99.9% SLA, and 250 GB storage.	Operators that need live location and routing capabilities, plus a defined service commitment.

Standard and Pro prices are per asset with annual billing, so the monthly figures should not be read as flat fleet-wide totals. Standard gives up Pro's real-time GPS tracking, speed reports, advanced routing, sandbox, named contact, SLA, and larger storage allowance. Starter is genuinely free, but its 1 GB storage and strict asset and seat caps constrain it to small operations.

Platforms

Fleet Service 365 supports Android, iOS, web, API access, and self-hosted deployment. Its mobile apps support field inspections, while API and self-hosting options may suit teams integrating it into an existing stack or meeting deployment requirements that call for a customer-controlled environment.

Who it's for

Fleet Service 365 is strongest for fleet operators that want preventive maintenance, defect inspections, work orders, and fleet records coordinated in one place. It also suits teams using a supported telematics provider or needing the option of a single-tenant deployment. Very small fleets can start free, but teams needing more than one user or three assets must move to a paid tier; buyers that require live GPS and advanced routing need Pro.

Pros and cons

Pros: Maintenance schedules can use odometer, engine hours, or dates and generate technician work orders, accommodating different service triggers.
Pros: Offline inspections with photos, signatures, GPS, and timestamps can create work orders from defects, connecting field reporting to maintenance follow-up.
Pros: Standard and Pro include unlimited assets and users, and the product supports API access and self-hosted deployment for teams with integration or hosting needs.
Cons: Starter's three-asset, one-user, and 1 GB limits leave little room for a multi-person fleet operation.
Cons: Real-time GPS, speed reports, and advanced routing require Pro, so fleets needing those capabilities pay the higher per-asset annual rate.
Cons: The named telematics integrations are specific; operators relying on a provider outside that group may find the fit less certain.

AMCS Fleet Maintenance suits buyers seeking pricing tailored to organizational requirements.

Fleetio has no free plan but offers a trial; its Essential plan is 4.00 USD per month per vehicle when billed annually, or $5 billed monthly, with prices based on five assets.
RTA Fleet360 has no free plan or trial; its Pro plan costs 72.00 USD per year per asset with a 100-asset minimum, making it a comparison for buyers whose fleet meets that threshold.
FleetPal offers a free plan and personalized per-unit pricing based on fleet size, requirements, and features used.
VAPTA has no free plan and offers a trial; Fleet + Workshop costs 5.00 GBP per month per vehicle.

Verdict

Choose Fleet Service 365 if you want maintenance scheduling, mobile defect inspections, and work-order follow-up together, with API and self-hosted options for a more deliberate stack fit. Its free plan is useful only for a very small fleet, and Pro is necessary for real-time GPS and advanced routing. Look elsewhere if those limits or the annual per-asset pricing do not suit your operation.
