Overview

Docs covers the core document workflow: create, view, edit, convert, and move files to and from PDF. Real-time co-editing sits alongside comments, change tracking, document comparison, chat, and version history, making it more than a set of standalone desktop editors.

The product's strongest case is adaptability. Teams can install it with Docker, Linux, or Windows, register for cloud use, connect through more than 40 integrations, or use its API and WOPI support to fit it into a web application. That flexibility comes with licensing and deployment choices to evaluate rather than a single, universal plan.

Key features

Editing and collaboration

The suite handles text documents, spreadsheets, presentations, PDFs, and fillable forms. Collaboration tools cover both live work and review: users can co-edit in real time, comment, track changes, compare documents, chat, and revisit version history. Offline editing and desktop apps also make it practical for users who do not want every editing task tied to a browser session.

Spreadsheets and AI

The Spreadsheet Editor includes more than 400 functions and formulas, charts, macros, and Sheet Views. That range will appeal to teams doing substantial spreadsheet work, though the feature set alone does not establish compatibility with any particular spreadsheet workflow.

Integrated AI tools can generate text, images, and code; summarize content; explain words or phrases; and translate text. These capabilities broaden the editing toolkit, but teams should weigh them against their own requirements for AI use and governance.

Integration and security

More than 40 ready integrations include Box, Moodle, Nextcloud, Odoo, and WordPress. Developers can integrate the editors into web apps through the Docs API, and WOPI support offers another route into an existing environment. The API and WOPI options make Docs a stronger fit for stack-conscious teams than a suite limited to its own interface.

The product describes encryption at rest, in transit, and end-to-end, along with access controls and document permissions. Token-based validation uses JSON Web Tokens signed with a shared secret. Those controls give administrators concrete mechanisms to consider, but do not by themselves determine whether a deployment meets a team's security requirements.

Pricing

ONLYOFFICE Docs has a freemium model, a free plan, paid plans from $1,500, and a 30-day trial. The paid starting price does not replace the license-specific terms below: the Community edition is free, the Developer license is priced per contact, and Enterprise has custom pricing.

Plan	Price and terms	Best fit
Docs Community	0.00 USD per free; up to 20 users recommended; GNU AGPL v.3; community support.	Teams seeking a free, self-managed option that can work within the recommended user scale and community-support model.
Docs Developer	3500.00 USD per contact; 20 connections per server; development or production license; standard branding.	Organizations embedding ONLYOFFICE in a SaaS product under their own brand. The connection cap and per-contact price matter when sizing the deployment.
Docs Enterprise	Custom pricing; commercial license; user count as selected pricing plan; basic, plus, or premium support.	Teams that need a commercial license and a selected user count, with enterprise support options. Phone support is available at Premium; Enterprise editions offer email support.

Community's zero price comes with a recommended scale of up to 20 users and community support, so it is not the same proposition as a commercially licensed deployment. Developer is purpose-built for product embedding, but its 20 connections per server and standard branding are important constraints to account for. Enterprise trades a published price for choices in user count and support tier. The 30-day trial provides a time-limited way to assess the product before committing.

Platforms

Docs is available across Android, iOS, Linux, macOS, web, and Windows, and supports self-hosting and API integration. Desktop apps are available for Windows, Linux, and macOS, with offline editing supported. Deployment through Docker, Linux, or Windows gives operators choices over installation, while cloud registration suits teams that prefer that route.

Who it's for

ONLYOFFICE Docs is a strong candidate for organizations that want collaboration tools alongside deployment choice, integrations, and developer access. It is particularly well matched to SaaS builders who need embedded editing under their own brand, and to teams already working with services such as Nextcloud, Box, Moodle, Odoo, or WordPress.

It is less compelling for a small team that wants a commercially supported deployment at a clearly stated price, or for a product builder whose required server connections exceed the Developer license's 20-per-server limit. Teams satisfied with a free plan should also compare whether Community's recommended user scale and community support suit their operations.

Pros and cons

Pros: Broad editing coverage spans documents, spreadsheets, presentations, PDFs, and forms, reducing the need to split common document work across separate editors.
Pros: Real-time co-editing, comments, change tracking, comparison, chat, and version history support both collaborative drafting and review.
Pros: Self-hosting, cloud registration, API access, WOPI, and a wide integration set give teams several ways to fit Docs into an existing stack.
Pros: A free Community edition offers an entry point for teams willing to work within the recommended scale and community-support terms.
Cons: Community is recommended for up to 20 users and relies on community support, which may not suit teams needing commercial support.
Cons: Developer costs 3500.00 USD per contact and allows 20 connections per server, a material constraint for SaaS operators planning capacity.
Cons: Enterprise uses custom pricing, so teams cannot evaluate its commercial cost from a fixed public price alone.

Alternatives

Choose Nextcloud Office when a free office suite with self-hosted availability is the priority. Consider Collabora Online if its free on-premise Development Edition, intended for testing and home use, is the fit you need.

Zoho Workplace is another freemium option with a free plan and support across web, desktop, and mobile platforms. Apple iWork is a free alternative for Pages, Numbers, and Keynote documents, spreadsheets, and presentations with real-time collaboration.

Google Workspace is a paid alternative with a free trial and a Business Starter plan priced at 3.50 USD per month per user with an annual commitment; the promotional price runs Sep 7, 2026–Dec 7, 2026, then becomes $7.00 per user/month. WPS Office is a freemium alternative with a free plan and a Pro+ plan priced at 69.99 USD per year.

Hancom Office is a freemium alternative with a free plan covering 2GB storage and web/mobile Hancom Office. Ability Office is a paid, Windows-only alternative with a Standard Personal License priced at 39.99 USD per once.

Verdict

Choose ONLYOFFICE Docs if your team wants collaborative editing that can be self-hosted, connected to an existing stack, or embedded into a SaaS product through an API or WOPI. Its breadth of editors and deployment options are the main reasons to choose it. Look elsewhere if the Developer license's 20 connections per server is too restrictive, or if you need a commercial plan with a fixed, published price.
