Overview

Appspace Workplace brings employee communications, intranet content and digital signage into one platform for organizations with a mix of office and frontline audiences. It suits teams that want to coordinate messages across workplace channels; the trade-off is that the free account is a small pilot, not a workforce-wide plan.

Messages can reach employees through the Employee App, Slack, Webex, Microsoft Teams, signage and the company intranet. The intranet brings project files, announcements and company discussion together, while the Employee App can also serve as a route to space reservation and visitor management. That breadth is useful when communications sit alongside physical workplace services, but may be more scope than a team seeking only an employee messaging tool needs.

Key features

Publishing and audience control

Appspace supports email publishing, mobile access, audience targeting and content approvals. Brand-customizable templates can be published across channels, giving communications teams a way to keep material consistent while adapting it for different surfaces. The benefit is greatest when several channels are in active use; a simpler stack may not need this breadth.

Intranet, app and signage

The intranet provides a hub for project files, announcements and company chatter. The Employee App carries company messages to employees wherever they are and can connect to space reservation and visitor management. Signage covers conference rooms, meeting areas and public spaces, including connected display walls. Together these options can serve desk-based and on-site staff, though buyers should weigh that range against the narrower needs of a communications-only deployment.

Integrations and data

Named connections include Slack, Microsoft Teams, Webex, Office 365, Atlassian, WordPress, SharePoint, Outlook, Okta and Google Search. Appspace can also share changing information from RSS and XML sources and retrieve information from intranets, wikis and collaboration products through APIs. That gives teams several paths to fit workplace content into an existing stack.

Security and support

Appspace lists SOC 3 Type II, ISO 27001, ISO 27017 and Cloud Security Alliance credentials. It says customer data is encrypted with TLS 1.2 or higher in transit and AES256 at rest, with platform database and content backups at least every four hours retained for at least three months. Base support includes managed cloud infrastructure, current software releases, online documentation and video tutorials; higher tiers add chat or phone support and stated response times. The base package covers core operational resources, while teams needing direct help have to consider a higher tier.

Pricing

Appspace uses a freemium model, with a free plan and free trial. The Free plan costs 0.00 USD per free and allows two Premium Users, one Appspace Device ID, up to two Admins, 5GB storage per month and 5GB bandwidth per month. Those caps make it a constrained evaluation or very small deployment, not a broad rollout.

Express and Enterprise have custom pricing, each with month-to-month or annual terms. Express includes 25 Premium Users, 25 Appspace Device IDs, 25GB storage per month and 25GB bandwidth per month. Enterprise includes 50 Premium Users, 50+ Appspace Device IDs, 50GB+ storage per month and 50GB+ bandwidth per month. The larger allowances make these the relevant tiers for growing teams, but buyers need a quote to compare their cost.

A separate Growing Business bundle offers a 30-day free trial for up to 500 intranet users and 25 signage screens, with no credit card required. Its user and screen caps differ from the Free plan, so it is a useful bounded evaluation of a larger setup rather than an extension of the free account.

Platforms

Appspace supports Android, iOS, web and Windows, as well as an API. That combination covers mobile and browser access, Windows environments and programmatic integration.

Who it's for

Appspace is a strong fit for organizations coordinating communications across collaboration tools, an intranet, employee mobile access and physical displays, particularly when space reservation or visitor management also matters. Teams that need only one communication channel, or want broad user and device coverage without moving beyond a tightly capped free account, should look elsewhere.

Pros and cons

Pros: Multiple employee channels, including collaboration tools, mobile app, intranet and signage, support mixed workplace audiences.
Pros: Audience targeting, approvals and reusable brand templates help communications teams govern publishing across channels.
Pros: Named integrations, API access and RSS/XML support offer several ways to connect content with an existing stack.
Cons: The free plan's two Premium Users, one device ID and 5GB monthly storage and bandwidth sharply limit deployment size.
Cons: Express and Enterprise require custom pricing, so teams cannot judge their cost from the stated plan allowances alone.
Cons: Teams wanting only employee messaging may not benefit from the broader intranet, signage and workplace-service scope.

Alternatives

For a communications-focused comparison, see Employee Communication Software and Workplace Management Software.

Cerkl Broadcast is worth comparing for email-led communications: its free Foundations plan includes 5,000 email sends per month, three communicator seats and one instance, with additional sends at $.09 each and additional seats at $75/mo.

HubEngage offers a free Starter plan for up to 200 users, including Communications, Social, Recognitions, Surveys and Instant Messaging, making it an alternative for teams prioritizing those functions.

Netpresenter has a 14-day free trial and a quote-based Desktop Alerts plan, an option to consider when evaluating desktop alerts.

DeskAlerts offers paid plans including Full, with five publishers and one server license, for buyers comparing a full package with those inclusions.

SnapComms has a paid Inform plan with customer-selected employee count, unlimited usage and content creators, for teams seeking those stated allowances.

Flip has a Growth plan at 4.95 EUR per year, billed per year, for up to 300 employees; consider it when that employee cap and platform-only plan fit.

Poppulo Digital Signage is another option to compare for digital signage.

theEMPLOYEEapp is a freemium alternative with a Starter plan for under 50 employees and a Pro plan with minimum pricing of $7,500/year.

Verdict

Choose Appspace Workplace when your organization needs employee messages to travel across collaboration tools, mobile, intranet and signage, with integrations and workplace services in the same platform. Its main advantage is that channel breadth; its main drawback is that the free tier is tightly capped and paid plans require custom pricing. Teams with a narrow communications need or a requirement for a clearly priced, larger entry plan should compare alternatives.
