Overview

FlowQi connects client records with projects, tasks and follow-up reminders, while also accommodating internal projects. That shared context can help service teams keep account information close to delivery work instead of splitting those workflows across separate systems. Teams primarily seeking a dedicated marketing calendar or creative proofing tool may find its broader operational emphasis a less direct fit.

One practical CRM limitation is that email synchronization for the activity timeline remains on the roadmap. Teams that depend on email activity being reflected in the CRM should account for that gap before adopting FlowQi.

Key features

CRM and project management: CRM records support client details, custom fields, notes, projects, tasks and follow-up reminders. Projects can be linked to clients or used internally, with tasks shared across the team. This arrangement suits teams coordinating client context and project execution in one workspace.
Time, capacity and billing: The Time & Resources plan adds time tracking, timesheets, capacity planning, utilization dashboards, over-allocation alerts and project time budgets. Billing adds invoice creation and sending, payment tracking and reminders, VAT and tax management, and financial reporting. These capabilities cover operational needs for service work, but they are separate paid plans rather than part of the free tier.
AI via MCP: Users can connect Claude, ChatGPT or Cursor through MCP, with monthly call allowances depending on plan. The maker describes Hummy as an agent that monitors work, flags risks and proposes actions for approval; Core includes Hummy. Deeper workflow automation is planned, so teams should distinguish today's ability to connect their own AI tools from that future direction.
Security and data handling: FlowQi's DPA describes encryption in transit and at rest, access controls, multi-factor authentication options, logging and monitoring, backups and regular testing. Its published GDPR Article 28 agreement includes processor terms that apply automatically. EU customers contracting with the Dutch or international entities have data hosted in the EU/EEA; customers contracting with the US entity use a US cluster. The contracting entity therefore matters to teams assessing data residency.

Pricing

FlowQi uses a freemium model, with a free plan, paid plans from 25.00 EUR per month per user, and a 14-day trial. The free Basic plan costs 0.00 EUR per free and allows unlimited users, contacts and organisations, projects and tasks, one Circle, 500 MB storage and 1,000 MCP calls per month. It is a substantial starting point for teams that can work within the storage and AI-call caps, but it does not include the paid plans' stated Hummy, billing or time-and-resource features.

Core — 25.00 EUR per month: Billed monthly, per user, for the whole workspace. It includes 100 GB storage, 10,000 MCP calls per month, Hummy AI and priority support. Annual billing saves 20%. This is the relevant upgrade for teams needing more storage and MCP capacity or Hummy; per-user billing makes team size an important cost consideration.
Billing — 25.00 EUR per month: Billed per user. It adds invoice creation and sending, payment tracking and reminders, VAT and tax management, and financial reporting. Choose it when those financial workflows are needed; it is a separate module from the free tier.
Time & Resources — 25.00 EUR per month: Billed per user. It adds time tracking and timesheets, resource and capacity planning, utilization dashboards, over-allocation alerts and project time budgets. It suits teams that need to manage capacity and project time, with the trade-off of an additional per-user plan.

Basic's unlimited users and work items make it viable for broad initial use, but 500 MB storage and 1,000 monthly MCP calls set clear limits. The 14-day trial gives teams a time-bounded way to assess the paid offering.

Platforms

FlowQi is available on the web and through an API. That combination suits teams working in a browser and those connecting software programmatically.

Who it's for

FlowQi's first phase focuses on digital agencies, and its intended audience extends to other service-led organisations. It is most compelling for teams that want client records, delivery projects and operational planning in one system. It is a weaker fit where email synchronization in the CRM activity timeline is essential, or where a specialist marketing or creative workflow is the primary requirement.

Pros and cons

Pro — Connected client and delivery work: Client records can hold linked projects, tasks, notes and reminders, while projects can also serve internal work.
Pro — Broad free workspace: Basic permits unlimited users, contacts and organisations, projects and tasks, with a monthly MCP allowance.
Pro — Documented security and processor terms: The DPA describes multiple security measures and GDPR Article 28 processor terms.
Con — CRM email synchronization is not ready: Activity-timeline synchronization remains on the roadmap, a meaningful gap for email-centered client records.
Con — Operational capabilities are split across plans: Billing and Time & Resources each cost 25.00 EUR per month per user, so teams needing both must account for both modules.
Con — Data hosting depends on contracting entity: EU/EEA hosting applies to customers contracting with the Dutch or international entities, while US entity customers use a US cluster.

Verdict

FlowQi is a strong candidate for digital agencies and service-led teams that want client records, project delivery and operational planning together, with MCP access to external AI tools. Its free Basic plan supports broad initial use, while paid modules add deeper billing and resource workflows. Look elsewhere if CRM email synchronization is central, or if the per-user cost of the modules your team needs undermines the appeal of a unified workspace.
