Overview

Avaza brings project work, team coordination and client billing into one professional-services platform. It is best suited to small and midsize service teams that want scheduling, time and expense administration, and invoicing connected to project delivery. Its breadth is useful, but the paid plans keep tight limits on users in several operational roles.

Projects support Kanban, Gantt and List task views, budgets, filters, grouping and email-to-task conversion. Resource scheduling adds availability views, drag-and-drop assignments, leave and public-holiday planning, and utilization forecasting. This connects delivery planning with capacity management, though the resource-scheduling allowance stays at one user on every priced plan described here.

Avaza also links project work to financial administration: expenses can include digitized receipts, approvals and recurring entries; estimates can become branded invoices, including recurring or retainer invoices. Clients can pay by card, digital wallet or bank direct debit. More than 50 customizable real-time reports can be saved and scheduled, giving managers a way to keep operational and financial reporting in the same system.

Key features

Project management: Multiple task views, project budgets and email-to-task conversion suit teams that need both structured planning and a route from inbox requests into project work.
Resource scheduling: Availability, leave, holiday and utilization views help teams plan capacity; a single scheduling user on the listed paid tiers is a notable constraint for teams that need several schedulers.
Time, expenses and invoicing: Receipt capture and digitization, approvals, recurring expenses, estimate-to-invoice conversion, and recurring billing connect billable work to administration.
Reporting and automation: More than 50 customizable, schedulable reports and automation rules support repeatable oversight without requiring teams to separate reporting from delivery.
Integrations and security: Avaza says it integrates with over 500 apps, including Xero, QuickBooks, GitHub, Stripe, Google Workspace and Slack. It uses TLS 1.2+ in transit, encrypts data at rest, supports TOTP-based multi-factor authentication, and says card data does not pass through or reside on its servers.

Pricing

The free plan is a credible way to evaluate a small workflow, with unlimited project collaborators, but the operational quotas are narrow: one timesheet/expense user, one admin/finance user, one resource scheduling user, five chat members, five active projects, 10 customers, and five invoices and bills per month. Its 100 MB storage cap will also constrain document-heavy work.

Startup costs 11.95 USD per month, billed monthly. It raises the project cap to 20, customers to unlimited and invoices and bills to 50 per month, while storage grows to 10 GB. But it provides only two timesheet/expense users, one admin/finance user, one scheduling user and five chat members, making it a fit for a small team with limited back-office staffing.

Basic costs 23.95 USD per month, billed monthly. It allows five timesheet/expense users, two admin/finance users, 50 active projects, 100 invoices and bills per month and 20 GB storage. This is the more practical tier for a growing operation, though the five chat-member and one scheduler caps remain.

Business costs 47.95 USD per month, billed monthly. It removes the active-project and invoice/bill quotas, and provides 10 timesheet/expense users, five admin/finance users and 30 GB storage. Chat remains capped at five members and resource scheduling at one user, so those limits may matter more than project volume for teams evaluating this tier. Each of these plans includes unlimited project collaborators; free support is email and chat, while paid plans include priority email and chat support.

Platforms

Avaza is available on web, Windows, macOS, iOS and Android, with API and extension support. Its chat has native apps for iOS, Android, Windows and Mac. This range accommodates desktop and mobile access across common team environments.

Who it's for

Avaza suits professional-services teams that want project planning, staff utilization, expense handling and customer invoicing in one system, especially when integrations can connect it to existing accounting, collaboration and storage apps. Teams with many billable staff should compare the per-role user caps against their actual headcount; unlimited project collaborators do not mean unlimited timesheet, finance, scheduling or chat users.

Pros and cons

Pro: Project, scheduling, expense and invoicing workflows sit together, reducing the need to split those operational tasks across separate products.
Pro: The free tier permits unlimited project collaborators, making project participation less restrictive than its limited administrative seats.
Pro: Reporting depth, automation rules and broad app integration support more connected operational workflows.
Con: Free and lower paid tiers impose low role-specific seat caps; teams can outgrow them even while project collaboration remains unlimited.
Con: Scheduling and chat remain capped at one user and five members respectively across the described paid plans, limiting the value of higher project and billing quotas for larger teams.
Con: The free plan's five-invoice monthly allowance and 100 MB storage make it unsuitable for sustained client billing or document-heavy operations.

Verdict

Avaza is a sound choice for a small professional-services team that wants project delivery, capacity planning, expense processing and client billing joined in one product. Its strongest case is that connected workflow and broad integration coverage; its clearest reason to look elsewhere is the role-specific seat ceiling, especially for scheduling and chat, which persists even as paid tiers expand project and invoice capacity.
