Overview

OpenFn combines workflow orchestration, data transformation, and real-time sync for systems that include web APIs, databases, SFTP servers, and raw file exports. Its 70-plus open-source adaptors cover tools such as DHIS2, CommCare, KoboToolbox, HL7 FHIR, PostgreSQL, and Google Sheets. That mix gives teams connecting public-service and health systems a useful starting point, while the open-source adaptor model supports work beyond a fixed set of packaged connectors.

Teams can create workflows visually with point-and-click tools or AI assistance, then refine, test, and deploy them. A smart IDE and CLI provide a more technical route for building and testing workflows, with documentation and a community for support. OpenFn’s hosted SaaS option reduces infrastructure work; self-deployment on customer servers, cloud, or local infrastructure gives teams more control, but requires them to own more of the deployment environment.

Key features

Workflow authoring: Visual building and AI assistance can help teams get a workflow started, while the IDE and CLI support developers who need to refine and test it. This combination is useful for mixed technical teams, though it is more involved than a narrowly focused, ready-made automation tool.
Adaptors and data movement: More than 70 open adaptors span APIs, databases, SFTP, and file exports. Examples include DHIS2, CommCare, KoboToolbox, HL7 FHIR, PostgreSQL, and Google Sheets, making the catalog particularly relevant to organizations connecting public-service systems.
Operational history: Activity history supports monitoring, troubleshooting, retrying failures, and auditing configuration changes. That operational record matters when workflows support critical services rather than occasional internal tasks.
Deployment and security: OpenFn runs as hosted SaaS or on customer-managed infrastructure. Its hosted service runs on Google Cloud Platform and uses TLS connections, SSL database connections, and 256-bit encryption at rest. The trust page describes independent checks of message persistence, triggers, and job runners every 60 seconds, with availability and processing times posted to a status site.
Compliance and support: OpenFn says it supports compliance with GDPR, HIPAA, and FHIR, alongside flexible configuration, zero persistence, and deployment anywhere. Community support comes with the free plan; paid plans add email support, Scale adds dedicated support, and expert assistance and training are optional.

Pricing

OpenFn is freemium. Paid prices below are billed annually at the stated annual total, so the monthly figures are not month-to-month rates.

Plan	Price and term	Included limits and support
Free	Free, billed annually at $0	1 workflow, 100 runs/month, 60 sec limit/run, 1 user, 500k AI Assistant Tokens, community support
Core	49.00 USD per month, billed annually at $588	2 workflows, 2,000 runs/month, 5 min limit/run, 2 users, 1.5M AI Assistant Tokens, email support
Growth	199.00 USD per month, billed annually at $2,388	10 workflows, 5,000 runs/month, 20 min limit/run, 5 users, 5M AI Assistant Tokens, email support
Scale	499.00 USD per month, billed annually at $5,988	20 workflows, 10,000 runs/month, 30 min limit/run, 10 users, 10M AI Assistant Tokens, dedicated support
Enterprise	Custom pricing	Volume discounts, dedicated support, country-specific rates, implementation services, private cloud or on-prem deployment, and training packages

Free is a narrow evaluation tier: one user can run one workflow only 100 times a month, with each run capped at 60 seconds and history retained for no more than seven days. Core, at 49.00 USD per month billed annually at $588, is a more credible entry for a small production workload, raising the cap to two workflows, 2,000 monthly runs, and five minutes per run, but it still limits the team to two users. Growth raises those ceilings to 10 workflows, 5,000 runs, 20 minutes per run, and five users; it suits teams with several active workflows that do not need Scale’s larger quotas or dedicated support. Scale reaches 20 workflows, 10,000 runs, 30 minutes per run, and 10 users, with dedicated support for teams that need more operational backing. Enterprise is for organizations needing volume discounts, country-specific rates, implementation services, private deployment, or training; it has custom pricing.

Platforms

OpenFn is available as a web service, through an API, and as self-hosted software. The choice between hosted and self-managed deployment is a meaningful distinction: hosted service avoids running the platform yourself, while customer infrastructure can suit organizations that need to place deployment within their own server, cloud, or local environment.

Who it's for

OpenFn is aimed at governments, NGOs, and impact organizations automating public services and connecting digital systems. It is a strong candidate when interoperability across systems such as health and humanitarian platforms, an audit trail, and control over deployment matter together. Teams with only a handful of simple connections, minimal developer capacity, or workloads that exceed the free tier but do not justify annual paid commitments should weigh the operational and plan limits carefully.

Pros and cons

Pro: The 70-plus open adaptors cover a broad range of integration surfaces, including public-service and health systems as well as databases and file transfer.
Pro: Visual authoring sits alongside an IDE and CLI, giving non-specialist contributors and developers distinct ways to work on the same platform.
Pro: Hosted and self-deployed options, plus workflow history and configuration auditing, support teams balancing infrastructure control with operational oversight.
Con: Free allows just one workflow, 100 monthly runs, one user, and 60 seconds per run, making it a limited basis for sustained or multi-person production work.
Con: Core is capped at two users and two workflows, and its 49.00 USD per month price is billed annually at $588; teams must move to higher annual tiers as workflow, run, or duration needs grow.

Alternatives

For teams comparing adjacent nonprofit communications tools, these options focus on messaging rather than OpenFn’s integration and workflow role:

CallHub is a paid option with a free plan and free trial, and supports Android, API, iOS, macOS, web, and Windows.
Text-Em-All (formerly Call-Em-All) has a free Starter tier with 25 credits for testing voice broadcasts and texting to your own number; mass texting requires an upgrade.
Ascend uses custom pricing, with subscription and messaging fees depending on account usage.
MojoTxt has a free trial and a Pay-As-You-Go plan at 5.00 USD per month for each phone number, with a separate per-message-credit charge.
PureSMS offers a charity rate of 2.35 USD per SMS part sent for validated charities, as well as pay-as-you-go pricing.
Sinch Engage offers plans with monthly SMS allowances and automation workflows, but its prices are custom.
SlickText offers a 14-day free trial with every feature and no credit card required, followed by a 500-credit plan at 29.00 USD per month.
Text Request has an Enterprise plan at 575.00 USD per month, including 20,000 texts, 10 dashboards, and additional texts at $0.032.
Integration Platform as a Service Software is a broader category for comparing integration platforms.
Nonprofit Text Messaging Software is a relevant category for teams choosing messaging tools rather than an integration platform.

Verdict

Choose OpenFn if your government, NGO, or impact organization needs to connect public-service systems through configurable workflows, with developer tools, operational history, and a choice of hosted or self-managed deployment. Its strongest case is the combination of open adaptors and deployment flexibility for interoperability work. Look elsewhere if your needs are limited to straightforward messaging, or if the free plan’s strict run, duration, workflow, user, and history caps do not fit your workload and the annual paid tiers are too large a commitment.
