Overview

Betterbot brings prospect intake, follow-up, tour scheduling, maintenance triage, and renewal workflows into one service. It connects communications from listing services, property websites, phone, email, SMS, and chat, then routes work between AI agents, PMS systems, calendars, and human teams. That makes it more than a chat widget, though the PMS remains essential for applications, signatures, and maintenance work orders.

Key features

Leasing conversations and tours

Betterbot supports SMS, voice, email, and chat, with multilingual support and delivery tailored to each channel. Agents can qualify prospects, run follow-up sequences, de-duplicate leads, and write guest cards to connected PMS systems. Tours can be booked against PMS or calendar availability, including in-person, self-guided, and live-video options. Operators looking to consolidate lead sources and reduce manual scheduling have a coherent workflow; teams expecting a standalone leasing database should note how much of that process depends on integrations.

Property websites and prospect intake

Operators can use branded property websites or add an AI chat widget to an existing site with one script tag. The prospect workflow can bring together inquiries from ILS sources, websites, phone, email, SMS, and chat. This helps keep follow-up connected across entry points rather than splitting leads by channel.

Resident and maintenance workflows

Maintenance reports can arrive by phone, SMS, chat, or email. Betterbot classifies emergencies and escalates them to on-call contacts by email, SMS, and phone. That can speed triage, but coordination runs standalone and does not create PMS work orders, so property teams still need another system to manage the job itself. Betterbot also supports renewals and can escalate work to human teams.

Integrations, security, and compliance

Integrations include Yardi, RealPage, Entrata, AppFolio, Rent Manager, ResMan, MRI, Knock, Funnel, RentCafe, Zillow, Google Calendar, Outlook Calendar, Google Analytics, and Engrain, with 50+ integrations available. Betterbot says customer data is encrypted at rest and in transit and remains customer-owned. It stores data on AWS and retains it for 12 months or as long as needed for stated purposes. Betterbot also states its AI is Fair Housing trained, TCPA compliant, and ADA accessible.

Pricing

Betterbot is paid software with pricing on request. Two Greystar preferred-pricing options have published monthly amounts:

Hybrid Solution (Greystar preferred pricing): 184.00 USD per month, billed $184/month with a $150 setup fee. This is the lower-priced of the two named options; the plan details do not establish which workflows it excludes.
Agentic Suite (Greystar preferred pricing): 189.00 USD per month, billed $189/month with a $250 setup fee. It costs $5 more per month than Hybrid, with a higher setup fee; the plan details do not describe the difference in included capabilities.

These are explicitly Greystar preferred prices, not a general public rate. Other buyers should expect custom pricing and should confirm setup costs and plan scope before comparing the options.

Platforms

Betterbot is available via API and web, with web access on mobile. Its API and PMS and calendar integrations suit operators fitting it into an existing stack, rather than replacing the systems that own applications, signatures, or maintenance work orders.

Who it's for

Betterbot is best suited to multifamily operators that need coordinated prospect communications, tour scheduling, and resident intake across several channels, particularly when they already run a supported PMS and calendar system. It is a weaker fit for teams that want applications, e-signatures, and maintenance work orders completed in one platform: Betterbot tracks application stages and documents, but applications and leases are signed in the PMS portal, and it does not provide e-signature.

Pros and cons

Pros: Connects lead intake from multiple channels and can write guest cards to PMS systems, reducing fragmentation in prospect follow-up.
Pros: Books multiple tour types against PMS or calendar availability, helping leasing teams coordinate without relying on a single tour format.
Pros: Maintenance triage covers several reporting channels and escalates emergencies through email, SMS, and phone.
Cons: Maintenance coordination does not create PMS work orders, leaving the operational job record outside Betterbot.
Cons: Applications and leases remain in the PMS portal, and Betterbot does not provide e-signature.
Cons: Pricing is on request for most buyers, while the two stated monthly prices are Greystar preferred pricing with separate setup fees.

Verdict

Choose Betterbot if your multifamily team needs AI-supported prospect conversations, tour coordination, and resident intake connected to an existing PMS and calendar stack. Its channel breadth and leasing handoffs are the case for it. Look elsewhere if your priority is an end-to-end system for work orders or signed leases: those workflows still depend on the PMS or another tool.
