Overview

Zotero is a free, open-source research manager for gathering and citing scholarly material. It is best suited to researchers and teams who want a flexible library and writing-app citations without making cloud sync mandatory. Its strongest case is the breadth of its research workflow; file storage is the cost to plan around.

The browser Connector captures research items, while collections, tags, and saved searches help keep a library navigable. A built-in PDF reader and note editor extend that workflow, and support for more than 9,000 citation styles alongside Microsoft Word, LibreOffice, and Google Docs makes Zotero a practical fit across common writing setups. The Reference Management Software and Citation Management Software categories cover adjacent options.

Key features

Capture and organize: The Connector can recognize research items during browsing. Collections, keyword tags, and saved searches give users several ways to structure and retrieve material.
PDF work: Zotero includes a PDF reader, annotation, and a note editor, keeping reading and reference management in the same workflow.
Citations and portability: More than 9,000 styles and integrations with Word, LibreOffice, and Google Docs suit varied writing requirements. Import support spans formats including BibTeX, RIS, EndNote XML, and Zotero RDF, which helps teams bring existing reference libraries into the tool.
Sync and collaboration: Optional Zotero Storage syncs PDFs, images, web snapshots, and other files across devices and enables access through the online library. Libraries can be shared with any number of people at no cost, and groups support shared collections.
API and privacy: The Web API defaults to version 3 for new development. The desktop app stores research locally by default, with sync optional; data sent to Zotero servers is encrypted in transit, and data for newly created accounts is encrypted at rest with AES-256. Server data is stored in AWS us-east-1 in the United States.

Self-hosting is possible because the data server is open source, but Zotero warns that running it can be technically challenging and does not support those installations. That makes it a poor fit for teams that require a supported, self-managed server. Most support takes place in the public Zotero Forums.

Pricing

Zotero is freemium: the desktop tool is free, with paid storage plans for users who need more room to sync files. The free tier includes 300 MB, suitable when synced attachments fit within that cap or users prefer local storage. It does not offer the paid plans’ larger sync quotas.

300 MB: $0.00 USD per free, billed Free. A reasonable starting point for modest synced libraries.
2 GB: $20.00 USD per year, billed $20/year (equal to $1.67 per month). This is the lowest paid tier for users whose synced files exceed the free cap.
6 GB: $60.00 USD per year, billed $60/year (equal to $5 per month). It suits larger collections that still fit within a defined quota.
Unlimited: $120.00 USD per year, billed $120/year (equal to $10 per month). This removes the storage ceiling for users with extensive synced files.

These plans change storage capacity, not the core research workflow. Choose based on the volume of files you want synchronized and accessible online; keeping the desktop library local can reduce dependence on paid storage.

Platforms

Zotero supports Android, iOS, Linux, macOS, Windows, web access, a browser extension, and an API. That reach makes it viable for mixed-device research workflows, while its local-first desktop model gives users a choice about syncing.

Who it's for

Researchers and cultural heritage institutions are Zotero’s intended audience. It is especially compelling for individuals and collaborative groups that need reference organization, PDF annotation, citation support, and a broad import path without per-person library sharing fees. Teams that need supported self-hosting should look elsewhere.

Pros and cons

Pro: Extensive citation-style coverage and integrations with three major writing applications reduce friction when preparing work for different venues.
Pro: Free library sharing has no stated participant limit, making collaboration possible without a per-seat charge.
Pro: Local storage by default and optional sync let privacy-conscious users avoid sending data to the service unless they choose to.
Con: The free sync allowance is 300 MB, so users with many PDFs or other files may need a paid tier.
Con: The open-source data server is unsupported and technically challenging to run, limiting its appeal for organizations requiring self-managed infrastructure.
Con: Most support is through public forums, which may not suit teams expecting a private support channel.

Alternatives

Choose ReadCube Papers if a paid product with a free trial is preferable; its listed Essentials plan is $10.00 USD per month for one user, five shared libraries, and five AI chats per day.

Mendeley Reference Manager is another freemium option, with a free plan that includes 2 GB storage and five Reading Assistant questions; consider it if that combination better fits your storage and reading needs.

Petal offers a free web-and-extension plan with 1 GB cloud storage, one seat, three guests, and limited collections and annotations; it may suit a small, browser-centered workflow.

Consider JabRef for a free, open-source alternative with desktop and extension platforms.

Jurism is a free-to-install option; its cloud file storage has subscription plans through Zotero.

Lean Library Workspace has a free basic plan for up to three projects and shared-project invitations, and may fit project-based collaboration.

Paperite has a free web plan centered on PDF uploads and AI document tools, for readers seeking that emphasis.

Sciwand offers free core reading, organizing, and writing tools, with AI free for seven days; consider it if those capabilities are the priority.

Verdict

Choose Zotero if your work depends on reliable reference organization, PDF annotation, and broad citation support, and you value local-first storage and no-cost library sharing. Look elsewhere if your organization needs a supported self-hosted server or your synced files make the 300 MB free tier too restrictive and paid storage is not a fit.
