Overview

For vendors, Bid Responder uses company knowledge, past proposals, and approved Q&A to draft responses with confidence scores and source citations. Teams can index uploaded documents or URLs and maintain a searchable library of approved answers. Smart Import accepts Excel, PDF, Word, URLs, or pasted content, helping teams turn existing material into a working response resource.

Procurement teams can publish RFPs, invite vendors, manage Q&A, receive sealed bids, score submissions against weighted criteria, and award contracts. That breadth is useful when an organization needs to run a solicitation as well as answer one, though teams looking only for one side of the process may not need the full workflow. The NEVI/FHWA checker evaluates responses against 10 federal EV charging infrastructure requirements, a focused compliance aid for that procurement area.

Key features

AI drafting and answer reuse: Drafts draw on company knowledge, prior proposals, and the Q&A library, with confidence scores and citations. The approved-answer library can reduce repeated work, while confidence signals help reviewers focus attention rather than treating generated text as final.
Issuer workflow: Sealed bid receipt and weighted scoring support a structured evaluation process; publishing, vendor invitations, and awards keep the procurement sequence together.
Integration and controls: The REST API and real-time webhooks cover vendor and issuer workflows, with Slack given as an example destination. API keys are SHA-256 hashed before storage, shown once at creation, and revocable from the dashboard. Data is encrypted at rest and in transit, and Enterprise customers can opt for on-premise deployment.
Exports and compliance: Excel, Word, PDF, and CSV exports give teams several routes to continue work outside the platform. Compliance tracking and approval workflows add process controls beyond drafting and bid intake.

Pricing

Bid Responder has paid plans from $29/mo and a 14-day trial, alongside a free plan.

Plan	Price	Included	Assessment
Starter	29.00 USD per month	3 team members, 10 projects/month, 250 AI answers/month, knowledge base, all export formats	A practical entry point for a small response team with moderate volume. The 250-answer and 10-project ceilings will constrain teams handling frequent RFPs.
Professional	99.00 USD per month	10 team members, unlimited projects, 1,000 AI answers/month, full knowledge base, all export formats, priority support	The step up makes sense when project volume outgrows Starter or priority support matters. Answer volume remains capped, so high-throughput teams should assess that allowance carefully.
Enterprise	Custom pricing	Unlimited team members and unlimited everything	Best suited to larger organizations that need scale; on-premise deployment is an option for Enterprise customers.

Upload formats are an important tier distinction: Starter supports PDF and DOCX, while Professional and Enterprise add XLSX, PPTX, TXT, and CSV. Cancellation leaves data in read-only mode for 30 days for export, after which it is permanently deleted. That window gives departing teams time to retrieve work, but requires a timely export process.

Platforms

Bid Responder is offered on web, via API, and as a self-hosted option. The API and webhook support make it relevant to teams connecting bid workflows to existing systems; on-premise deployment is specifically an Enterprise option. The stated security certification is SOC 2.

Who it's for

Bid Responder is strongest for organizations that both answer RFPs and issue them, or for teams that want reusable response knowledge paired with structured procurement workflows. It also suits developers who need API access and event-driven integration. A small vendor team with only occasional bids may find Starter sufficient, while larger teams can use Professional's higher quotas and support. It is less compelling for buyers who need only opportunity discovery or a narrow one-sided workflow.

Pros and cons

Pro: Vendor response and issuer workflows coexist, reducing the need to split those processes across separate tools.
Pro: Drafting grounded in a knowledge base, prior proposals, and approved Q&A combines reuse with confidence scores and citations.
Pro: REST API, real-time webhooks, and self-hosted availability give integration-minded teams multiple deployment and connection paths.
Con: Starter is limited to three team members, 10 projects, and 250 AI answers monthly, so growing response volume can force an upgrade.
Con: Starter's PDF and DOCX-only uploads exclude several formats accepted on higher tiers, which may complicate intake for teams whose source material uses spreadsheets or presentations.
Con: Enterprise pricing is custom, so larger buyers must engage for a quote rather than compare a published rate.

Verdict

Choose Bid Responder if your organization needs one platform for proposal response and procurement execution, particularly when answer reuse and API-connected workflows matter. Its breadth and integrations are the central case for choosing it; look elsewhere if you need only tender discovery, or if Starter's monthly caps and upload restrictions would quickly force an upgrade.
