Overview

BookStack is a free, open-source platform for organizing information into Books, Chapters and Pages. It suits teams that can run and maintain a self-hosted PHP application. Its structured content, flexible editing and export options make it a capable knowledge base; the required server stack rules out shared PHP hosting.

Key features

The Books, Chapters and Pages hierarchy gives teams a clear way to group material, rather than treating the knowledge base as an undifferentiated set of pages. Editing is available through a WYSIWYG interface or an optional Markdown editor with live preview, accommodating both visual editing and Markdown workflows.

Search works within a book or across books, chapters and pages, and direct paragraph linking makes it easier to point colleagues to a specific passage. Built-in diagrams.net drawing adds diagrams to the authoring workflow. Content can be exported as contained HTML, PDF, plain text, Markdown or Portable ZIP, giving teams several ways to reuse or carry their material elsewhere.

For teams automating imports or other workflows, the project describes its REST API as growing. Authentication options include OIDC, SAML2 and LDAP, with social-based secondary authentication options. Built-in MFA supports TOTP and static backup codes and can be enforced by role. CSP headers and encrypted MFA secrets add security measures, though BookStack still depends on the team operating its own server responsibly.

Pricing

BookStack itself costs 0.00 USD per free: downloading and installing an instance has no cost, and the software is MIT licensed and self-hosted. There is no paid software tier to unlock a different feature set in the listed plans; the trade-off is that the team handles hosting and maintenance.

Community Support costs 0.00 USD per free and provides discussions, Codeberg or Reddit, documentation and YouTube guidance. It is the fit for teams able to troubleshoot independently: there is no assurance of a response, support or resolution.

The Professional Support Plan costs 450.00 GBP per year and includes email/help-desk support, installation and updating issues, and high-priority bug triage. It suits teams that want paid help with running the platform. The Enterprise Support Plan costs 4500.00 GBP per year, includes the Professional plan, and adds API integration and platform-extension assistance plus up to 10 video-support hours per year. That is the relevant option for organizations needing assistance beyond routine installation and updates.

Platforms

BookStack is listed for Linux, web, API and self-hosted use. Installation requires PHP 8.2 or newer, MySQL 8.0 or MariaDB 10.6 or newer, Git, Composer 2.2 or newer and a PHP-compatible web server. This is a meaningful operational commitment, not a fit for teams expecting shared PHP hosting, which BookStack does not support.

Who it's for

BookStack is strongest for teams that want structured internal documentation, multiple editor styles, searchable content, flexible exports and control over their own deployment. Its authentication and role-enforceable MFA options also suit organizations that need to align access with their existing identity systems. Teams without capacity to manage the required stack, or wanting guaranteed community support at no charge, should look elsewhere or budget for a support plan.

Pros and cons

Pro: Books, Chapters and Pages create a deliberate content hierarchy, useful for keeping larger collections navigable.
Pro: WYSIWYG and Markdown editing, paragraph-level links and several export formats support different authoring and reuse needs.
Pro: OIDC, SAML2, LDAP and role-enforceable MFA offer meaningful authentication choices for managed deployments.
Con: PHP, database, Git, Composer and web-server requirements put setup and ongoing operations on the team.
Con: Shared PHP hosting is unsupported, limiting low-effort hosting choices.
Con: Free community support does not assure a response or resolution; dependable help requires a paid plan.

Alternatives

Docmost is worth considering for teams prioritizing real-time collaboration, spaces, full-text search, page history and restore, and public sharing in its Community edition.

MediaWiki is another free, self-hosted option, with software available across Linux, macOS, Windows and web environments.

MoinMoin is a free, GPL-licensed self-hosted alternative with Linux, macOS, Windows and web platform support.

Wiki.js is a free, AGPL-licensed self-hosted alternative for teams comparing wiki software.

BlueSpice offers a free distribution with a visual editor, performance search, templates and PDF export; consider it if those business-oriented capabilities are a priority.

Confluence may suit a small team looking for a free hosted option: its free plan covers 10 users and 2 GB of file storage, alongside active whiteboards.

PmWiki is a free, open-source self-hosted option that requires PHP.

Slab is an alternative for teams preferring a web or desktop service and willing to work within its free-plan limits, including up to 10 users, 10MB attachments and 90 days of version history.

Verdict

Choose BookStack if your team wants a structured, searchable knowledge base with flexible editing, exports and authentication, and can own the self-hosted stack. Its main advantage is combining those capabilities with free, MIT-licensed software; its main reason to look elsewhere is the operational burden, especially if shared hosting or assured free support is essential.
