Overview

BookYourPTO combines leave management with time tracking, expenses, and HR documents in a shared workspace. It suits smaller teams that want these workflows together, with an API and outbound webhooks for connecting their stack. Its free tier is tightly capped, while paid plans add room in steps; check the user and usage limits against your needs.

Key features

Leave management covers eight built-in leave types, unlimited custom types, half-day and hourly requests, carry-forward policies, and approvals. Custom accrual rules and two approval levels provide useful policy controls, though teams with more complex approval chains may find that ceiling restrictive.

Time tracking covers projects, tasks, and clients, with overtime rules and geofenced shift starts. Expense tools handle receipt scanning, mileage, per diem, and tax breakdowns. Together, these make BookYourPTO broader than a leave-only tool, but monthly project, claim, and scan quotas on paid plans matter for teams that use those workflows heavily.

HR documents support sequential signing, drawn or typed signatures, and an audit-trail PDF. The maker says onboarding, performance, training, profiles, org chart, and customization modules are included on every plan. That breadth is notable for a product with a free tier, although the free plan's 50-document cap limits how far a small team can use the document workflow without upgrading.

Integrations include Google Calendar, Outlook/Microsoft 365, Slack, and Teams; QuickBooks Online is available on Business and Enterprise. The integrations page describes 63 import templates for 48 HR and payroll platforms, plus a REST API and outbound webhooks. These are useful options for teams fitting the product into existing systems, but QuickBooks users need at least Business.

The maker states that data is encrypted at rest using AES-256-GCM and that actions are recorded in an audit log. Data residency is available in Canada, the US, and the EU. These controls give teams concrete security and residency options to evaluate, without making BookYourPTO a fit by default for every compliance requirement.

Pricing

BookYourPTO has a free plan and a 7-day trial. The paid entry price is $29/mo, with tiers distinguished by user and workflow limits as well as support.

Plan	Price	Limits and support
Community	0.00 USD per free; free forever	Up to 3 users, 5 projects total, 20 expense claims total, 20 receipt scans/month, 50 documents; Community support
Pro	29.00 USD per month	Up to 10 users, 25 projects/month, 30 expense claims/month, 100 receipt scans/month, 50 documents/month; email support
Business	49.00 USD per month	Up to 30 users, 50 projects/month, 50 expense claims/month, 500 receipt scans/month, 100 documents/month; priority support
Enterprise	Custom pricing	Custom user, project, and expense claim limits; dedicated support; SLA guarantee

Community is a genuine no-cost starting point, but its three-user limit and lifetime project and claim caps make it best for very small teams or a limited rollout. Pro raises the user ceiling to 10 and converts project and claim allowances to monthly quotas; its 100 receipt scans and 50 documents per month still constrain higher-volume use. Business doubles the user limit and raises those quotas, particularly scans, while adding priority support and QuickBooks Online. Enterprise is the option for teams needing custom limits, dedicated support, or an SLA; its price is custom.

Platforms

BookYourPTO is available on web, iOS, and through an API. The iPhone app supports balance checks, time-off requests, approvals, expense claims, push notifications, and Face ID sign-in. Google Play is marked coming soon, so teams requiring an Android app should account for that gap.

Who it's for

BookYourPTO is strongest for small and growing teams that want leave, project time, expenses, and HR documents under one roof, and can work within tiered quotas. Its API, webhooks, import templates, and common calendar and messaging integrations also suit teams that need to connect HR workflows to existing systems. It is less suitable for Android-dependent teams or organizations whose usage exceeds the stated caps without moving to a higher tier.

Pros and cons

Pro: Leave, time tracking, expenses, and HR documents share one workspace, reducing the need to choose separate tools for those workflows.
Pro: A REST API, outbound webhooks, and 63 import templates for 48 HR and payroll platforms support integration and migration needs.
Pro: Canada, US, and EU data residency options and stated encryption at rest and audit logging give teams specific controls to assess.
Con: Community is limited to three users, with lifetime project and claim quotas, so it is not a durable free tier for many teams.
Con: Usage limits remain on paid plans, and QuickBooks Online requires Business or Enterprise.
Con: Android app availability is not yet offered, making the mobile option incomplete for mixed-device teams.

Alternatives

For a focused leave-management comparison, browse Leave Management Software. Choose Day Off if its free plan for up to 10 users and Android support better match a small team's leave needs. OtisIO is worth comparing when Android or macOS support and rota, time-clock, and task workflows are priorities.

Passman is a free, open-source option with Android, iOS, web, extension, and self-hosted platforms. Consider Shiftbase if its free plan for up to 15 employees and Android app align better with your team. Keka is another option to assess for HRMS and payroll alongside time tracking, expenses, and employee self-service.

Calamari is a paid alternative with a Time Off plan priced at 2.50 USD per month billed yearly and a 10-seat minimum; consider it if that leave-focused offer fits your requirements. Deltek Maconomy is positioned as an enterprise ERP for professional services firms, with pricing by demo request, making it a different scope for firms evaluating ERP. Vacation Tracker is another option to compare for vacation management, with paid Core and Complete plans billed yearly.

Verdict

Choose BookYourPTO if a small or growing team wants leave management alongside time, expenses, and HR documents, and values API access and outbound webhooks. Its breadth and integration options are the main reasons to pick it; capped usage, the three-user free tier, and the absence of an Android app are the clearest reasons to look elsewhere.
