Overview

Caflou aims to cover the operational span of a small company, from planning projects and tracking budgets to invoicing and managing customer relationships. That breadth can reduce the friction of keeping project and financial work in separate systems. The trade-off is that buyers should check whether its particular tariff limits fit their workflows before committing; the email inbox, for example, is reserved for Dolphin and Shark or higher.

The product is aimed at companies with up to 100 people. It combines rule-based automation that does not require programming with Caflou AI, which can extract data from received invoices. The combination is useful for teams seeking to streamline routine operations, but the AI capability described is specifically invoice-data extraction rather than a general-purpose assistant.

Key features

Projects and finances

Project planning includes WBS, Gantt charts, and Kanban boards, alongside project budgets and income and expense tracking. This mix supports teams that need both a structured plan and visibility into whether delivery is tracking against financial expectations. Finance tools add invoicing, cash-flow planning, bank payment imports, and financial reports, making Caflou more relevant to operational finance than a project board alone.

Bank synchronization, a cash-position view, and inflow/outflow tracking are included among the stated capabilities. Buyers focused on cash visibility can also browse the Cash Flow Management Software category.

Automation, integrations, and API

Users can build rule-based automations without programming. Integrations include Gmail, Outlook, Google Calendar, Google Drive, OneDrive, Dropbox, PayPal, Stripe, and Make. Accounting connections include QuickBooks, Xero, Zoho Books, and FreshBooks; WooCommerce is supported for imports only, so it should not be treated as a two-way commerce connection.

Caflou publishes API v1 documentation, using bearer-token authentication and providing endpoints for account data and objects. That gives developers a documented route to work with Caflou data, a meaningful advantage for teams fitting it into an existing stack.

Security and support

Caflou says it uses HTTPS, encrypts stored passwords, offers optional two-step authentication, and backs up data at least daily. Its security page states CASA Tier 2 verification and links to a 2026–2027 validation report. The privacy statement says user and account data are stored in the European Union or the United States; organizations with residency requirements should confirm which location applies to their account.

Support is offered online by email and chat. Caflou describes its support team as human rather than automated, a useful point for smaller teams that may rely on direct help.

Pricing

Caflou uses a freemium model. The Turtle plan costs 0.00 USD per free, giving cost-conscious small teams a way to start without a subscription charge. The stated capabilities include bank synchronization, cash-position viewing, and inflow/outflow tracking. The available plan information does not establish the seat or usage caps, so teams should verify those before relying on the free tier at scale.

Paid plans have custom pricing. The email inbox requires Dolphin or Shark or higher, making tariff selection important for teams that want to centralize email alongside projects and finance. The pricing page presents no plan prices; buyers should request current terms and compare them with the required tariff before budgeting.

Platforms

Caflou is available on web, Android, and iOS, and offers an API. It describes access on both PC and smartphone; its mobile-version article also mentions Android-specific audio-message uploads. That makes mobile access relevant for teams working away from desktops, while the API provides a separate integration path for developers.

Who it's for

Caflou is a sensible fit for small businesses that want project coordination and finance tools in one system, especially where budgets, income and expenses, invoicing, and cash-flow planning need to sit alongside delivery work. Its free plan lowers the barrier to trying that consolidated approach, and API documentation helps teams consider it within a broader software stack.

It is less compelling for a buyer who only needs a specialized cash-flow product, or for a team that requires the email inbox but cannot justify the Dolphin or Shark tariff. Organizations with strict data-residency constraints should also verify whether EU or US storage meets their requirements.

Pros and cons

Pro: Project planning and financial tracking share one product, including budgets, project income and expenses, invoicing, and cash-flow planning.
Pro: A free Turtle plan includes bank synchronization, cash-position viewing, and inflow/outflow tracking, giving small teams a no-cost starting point.
Pro: Published API v1 documentation and integrations spanning calendars, storage, payments, and accounting connections support stack integration.
Pro: Caflou states that it is CASA Tier 2 verified and offers optional two-step authentication and at-least-daily backups.
Con: The email inbox is limited to Dolphin and Shark or higher, which may make the free entry point insufficient for teams seeking centralized email.
Con: Paid plans use custom pricing, so prospective buyers cannot assess subscription cost from the stated plan terms.
Con: WooCommerce is import-only, limiting its usefulness for teams expecting a bidirectional connection.
Con: Account data may be stored in either the EU or the US, so residency-sensitive teams need to confirm the applicable location.

Alternatives

Bankflow is worth considering when the priority is a focused web/API cash-flow tool with a free tier: its Free plan provides 50 one-time credits, roughly one credit per page, rather than Caflou's broader project-and-business-management scope.

Vesto is another paid web/API alternative for buyers evaluating cash-flow software.

Tidely may suit teams seeking a paid cash-flow product with a free trial and a Starter plan at 55.00 EUR per month, including one bank account, one team member, one company, three KPI widgets, AI cash-flow forecasting, group onboarding, and email support.

Visualizy is an alternative for buyers who need a self-hosted option, as well as API and web access; it has no free plan and offers a Lite Solo plan at 4925.00 EUR per month and an Enterprise plan at 1599.00 EUR per month.

Agicap is a paid alternative with Android, iOS, API, and web support, a free trial, and an annual offer requiring a minimum 12-month subscription.

Atlar is a paid API/web option without a free plan or trial; its Essential plan is individually quoted based on banks, entities, and usage.

Trezy suits buyers looking for a web cash-flow tool with a free plan and trial; its Free tier includes one bank account, cash-flow tracking, transaction history, AI categorization, and email support.

Cashvue offers a free-to-use public beta for teams considering a web-based option.

Verdict

Caflou is a strong candidate for small businesses that want project work, financial operations, and customer management consolidated, with a free entry point and an API for integration. Its main reason to choose it is that breadth; its main reason to look elsewhere is the uncertainty of paid-plan cost and the tariff gate on email inbox access. Start with Turtle if its limits fit, and confirm the required tariff and data location before making Caflou a core system.
