Overview

Karbon brings work scheduling, task assignment, workflow templates and dashboards together with collaboration around emails, tasks and clients. Staff can share, assign and comment on emails, keeping conversations connected to the work they concern. Client profiles and activity timelines give teams a shared view of client activity, while automated requests, a client portal and document sharing cover common client-service needs.

Billing and payment processing extend the platform beyond coordination, and time tracking, deadline tracking and staff capacity planning address other practice operations. Integrations include Xero, Xero Practice Manager, Zapier and Calendly. The API supports custom solutions in Java, JavaScript, Objective-C, C#, PHP, Python and Ruby, making Karbon more adaptable for teams that need to connect or extend their workflows.

Key features

Workflow and communication

Templates, task assignment and scheduling provide a structure for recurring work, while dashboards help teams monitor it. The email collaboration tools are a practical strength for firms that need client conversations visible to colleagues rather than isolated in individual inboxes. Finite counts for statuses, templates, work types, teams, contact types and placeholder job roles on Team and Business may, however, require larger practices to manage within quotas or move to Enterprise.

Client service, billing and extensibility

Client profiles, timelines, requests, portal access and document sharing create a connected set of client-facing tools. Payment processing adds convenience, but fees affect the economics of using it: US rates are 2.6% + $0.30 for standard cards, 3.6% + $0.30 for premium cards, 3.9% + $0.30 for American Express, and 1% + $0.30 (max $5.00) for ACH direct debit. Firms should compare those charges with their payment volumes and preferred collection methods.

The API and broad language support are useful for teams building custom solutions; the integrations directory also includes familiar accounting and workflow services. Karbon states that its web application is SOC 2 Type 2 certified and uses TLS to encrypt data transmissions. It says its information security management system follows ISO 27001 requirements, but it is not independently certified as ISO 27001 compliant.

Pricing

Karbon has no free plan. Team costs 59.00 USD per month per user when billed annually, or $79/month per user when paid monthly; monthly billing is available only to teams of 4+. It includes 35 workflow statuses, 40 work templates, 30 work types, 3 teams, 10 contact types, 15 placeholder job roles and a 6-month reporting period. This is the entry point for practices that can work within those caps.

Business is 89.00 USD per month per user billed annually, or $99/month per user paid monthly, with the same 4+ team minimum for monthly subscriptions. Its larger allowances—50 workflow statuses, 75 work templates, 45 work types, 10 teams, 25 contact types and 25 placeholder job roles—make it the more suitable tier for firms whose processes or internal structure exceed Team's ceilings. Its reporting period remains 6 months.

Enterprise has custom pricing and lists unlimited usage limits, a custom reporting period, a dedicated Karbon contact and customization. It is the logical fit when quotas or reporting requirements make the other tiers restrictive, though buyers will need a quote to assess its cost. All plans include 24/7 support and 99.9% uptime.

Platforms

Karbon supports web, Android and iOS, as well as an API for custom integrations and solutions. That combination suits firms needing mobile access alongside a web-based practice system or wanting to connect their own tools.

Who it's for

Karbon is a strong candidate for accounting practices that want staff coordination, client communication, document sharing and billing under one roof, especially where integrations or API-based customization matter. Smaller teams should weigh the annual per-user commitment against the workflow and client-service breadth they will use. Practices with high payment volume should account for transaction fees, while larger or more complex firms should compare their expected usage with the Team and Business caps before choosing a tier.

Pros and cons

Pros: Workflow, email collaboration, client services and billing sit in one practice-management platform, reducing the need to split those functions across separate systems.
Pros: An API with support for seven programming languages and integrations including Xero, Zapier and Calendly give teams routes to adapt the platform to their stack.
Pros: Every plan includes 24/7 support and 99.9% uptime.
Cons: There is no free plan, and the annual entry price is charged per user; monthly billing also requires a team of at least four.
Cons: Team and Business have finite operational quotas and a 6-month reporting period, which may constrain firms with broader workflows or longer reporting needs.
Cons: Payment processing carries per-transaction fees, including card rates as high as 3.9% + $0.30 for American Express.

Alternatives

Consider IRIS Practice Engine if you want another paid practice platform with web and API support. CCH iFirm is worth comparing if a defined client-portal package is a priority: its Client Portal plan is 730.00 USD per year and includes one user, with additional-user charges and a one-time setup fee.

KashFlow may suit buyers looking for a paid accounting option with a free trial and a published Starter plan at 13.50 GBP per month. Nomi is another paid option with a free trial; its Self Assessments plan is 4.00 GBP per month plus VAT and includes HMRC submissions and client and practice workflow tools.

Balansix is an alternative with web access and active-client pricing: Balansix Complete is 19.99 GBP per month per active client, with a 25-client minimum. BrightManager offers web access and a free trial, with Essential at 42.63 GBP per month billed monthly for 2–12 users.

Canopy is a freemium alternative with Android, iOS and web access. CCH Axcess Practice is a paid alternative available on Android, iOS and web, with pricing by quote. Browse the Accounting Practice Management Software directory for more options.

Verdict

Choose Karbon if your accounting practice needs a shared operating system for work, email collaboration, client service and billing, and its integrations or API fit your stack. Its strongest advantage is that connected workflow breadth; its main drawback is a per-user paid model with meaningful quotas below Enterprise and transaction charges for payments. Practices with tight budgets, small-team monthly billing needs or usage beyond the lower-tier caps should compare alternatives before committing.
