Overview

Cara brings applicant progress and animal histories into one workflow. Shelters can track enquiries, move applications through stages, add notes, and approve or decline applicants. Animal records can hold photos, medical notes, current status and foster details, with a chronological timeline of care and applications. Keeping these details together can help staff follow both adoption progress and an animal’s background.

A public adoption portal gives prospective adopters a place to find animals. Shareable links support promotion on Facebook, Instagram and WhatsApp, while automated emails can handle applicant updates. Cara also imports animal histories from Trackabeast and Animal Shelter Manager exports, and can bring in spreadsheet records while retaining columns that do not map to a Cara field. That can ease a move from existing records without requiring every column to fit a predefined structure.

Key features

Adoption workflow and contracts

Staged applications, notes and approval or decline decisions provide a practical route from enquiry to outcome. Cara can also send adoption contracts digitally and collect legally binding signatures, but e-sign contracts are a Pro feature. Shelters that need signed agreements as part of their routine process should account for that upgrade rather than treating the free tier as a complete adoption workflow.

Records, sharing and operations

The care timeline links applications with animal history, while shareable links make listings easier to circulate across social channels. Pro adds advanced email workflows, welfare incident reports, donation capture and a white-label portal. These additions make the paid plan more relevant to organisations that want to formalise communications and welfare administration, not just remove the animal cap.

Privacy and security

Cara says it does not use advertising cookies, tracking pixels or third-party analytics cookies. Its DPA specifies AES-256 encryption at rest, TLS 1.2 or higher in transit, organisation-level database row security, bcrypt password hashing and API rate limiting. Supabase hosts the database and file storage in the EU; Vercel hosts the application and serverless functions. Stripe is named as a sub-processor for subscription payments, donation checkouts and adoption fees, and Cara says it does not see raw card data.

Pricing

Free: Free. The plan supports up to 5 animals and includes a public adoption portal, application management and basic email notifications. Cara branding appears on the portal. This is a useful fit for a small rescue or a limited initial setup, but the animal ceiling and branding make it a poor long-term fit for a larger shelter or one needing contracts and expanded workflows.

Pro: 34.99 USD per month, billed Monthly; subscriptions are billed in euro. It includes unlimited animals, e-sign contracts, advanced email workflows, a white-label portal, welfare incident reports, donation capture and priority support. This is the more suitable plan for shelters with larger records or routine needs for signed agreements and the added operational tools. Cara offers a free trial; no trial length is stated. For support, the site gives carashelters@gmail.com as its contact email.

Platforms

Cara is available on web. That makes it a browser-based option for teams working from a web stack, rather than a choice for organisations specifically seeking native mobile apps.

Who it's for

Cara is aimed at animal shelters and rescues worldwide, though most current users are Irish and some defaults lean toward Ireland. It is a stronger fit for organisations whose adoption, record-keeping and public listing needs align with that orientation; teams that need different regional defaults should weigh that before migrating their processes.

Pros and cons

Joined-up adoption and care records: application stages and decisions sit alongside medical, foster and chronological care history.
Useful migration paths: imports from Trackabeast, Animal Shelter Manager exports and spreadsheets can preserve unmapped columns.
Meaningful Pro additions: contracts, unlimited animals, incident reports and donation capture support more complete shelter workflows.
Strict free-plan ceiling: five animals and Cara branding constrain the free portal for organisations with broader adoption work.
Regional fit may vary: the worldwide audience claim sits alongside Ireland-leaning defaults, which may not suit every rescue’s processes.

Alternatives

For a different freemium web option, RescueRM offers a free plan for up to two team members with limited AI matching and assistant-query allowances; consider it if those tools and a small team limit suit better than Cara’s animal-focused free tier. PawPlacer is a web-based free option with all features, full exports and SDK/API access and no contracts or usage limits, making it worth considering when those terms matter more than Cara’s shelter-specific workflow details.

Pact is another paid web alternative. Pet Friend offers Android, iOS and web access, with monthly Rescue and Shelter plans, so it may suit teams prioritising those platforms. RescueBase and RescueGroups.org Data Management Service are web-based options with free plans. ShelterBuddy is a paid option spanning Android, iOS and web.

Verdict

Cara is a sensible choice for shelters that want adoption applications, animal histories and a public portal in one web product, particularly when imports and digital contracting matter. Its main trade-off is the gap between a five-animal free tier and a paid Pro plan, alongside Ireland-leaning defaults. Choose Cara when its workflow fits; look elsewhere if the free cap, regional orientation or web-only platform is a mismatch.
