Overview

The suite spans funding discovery, federal proposal submission, award administration, effort certification, agreement workflows, and analytics. That breadth is useful when research offices need several teams and systems to share award information. It is less compelling for organizations seeking only a single-purpose grants tool or a self-service, published-price subscription.

Cayuse serves research organizations in higher education, healthcare, life sciences, nonprofits, government, and international institutions. The cloud platform provides single sign-on across Cayuse applications, shared user data, centralized task tracking, and APIs for reporting. Cayuse states a 99.9% uptime guarantee, nightly database and attachment backups, and database snapshots every 30 minutes.

Key features

Funding and proposals

Fund Finder searches funding opportunities, recommends grants, and alerts users to new and active opportunities. Keeping discovery alongside proposal and award workflows may reduce handoffs, although its value depends on whether the institution’s teams use the broader suite.

Cayuse Proposals (S2S) supports federal forms with autofill and more than 1,500 smart validations. A single submission portal covers more than 30 agencies, which can help standardize federal submissions and catch entry issues before filing. Teams focused on other funder types should weigh how much of their submission work this capability addresses.

Awards, finance, and agreements

Fund Manager provides portfolio views, spend tracking, forecasting for multi-year projects, what-if scenarios, and configurable reports. It can connect to ERP, general ledger, payroll, and eRA systems, a practical advantage for institutions trying to limit duplicate data entry. Project Effort uses imported payroll and other relevant data for automated effort monitoring and certification.

Cayuse Agreements centralizes agreement information and sends automated notifications to support reviews. Together, these workflows cover important post-award responsibilities, but the breadth is most useful when the institution intends to coordinate them rather than buy isolated functions.

Reporting and operations

Award Management Insights combines centralized award data, trend analysis, and role-based dashboards. The Cayuse Report Connector can transfer platform data to external systems and business-intelligence tools, including Microsoft Power BI and SQL Server Reporting Services. These options make the suite more adaptable to existing reporting practices than a closed reporting environment would be.

Cayuse says its security program is audited and certified to SOC 2 Type 2, ISO 27001, and HITRUST i1 standards. Technical support is available weekdays from 6 a.m. to 5 p.m. Pacific Time through the support site, email, or phone; institutions needing support outside those hours should account for that service window.

Pricing

Cayuse Award Management: custom pricing; request information from Cayuse. The page does not provide a numeric price or a separate tier structure, so buyers should establish which modules and workflows are included and how the proposed scope fits their needs. There are no published seat limits, quotas, trial terms, or renewal conditions to compare.

Platforms

The suite is cloud-based and supports web access and APIs. API access and the Report Connector are relevant for institutions integrating reporting with existing systems; Fund Manager’s ERP, ledger, payroll, and eRA connections address operational data exchange.

Who it's for

Cayuse is a strong fit for research institutions that manage grant activity across the lifecycle and want funding, proposal, award, effort, agreement, and reporting workflows in one cloud suite. Its integrations and shared platform services suit organizations connecting research administration to institutional systems. Teams seeking only one workflow, or buyers who need transparent per-seat pricing before engaging a vendor, should compare narrower options.

Pros and cons

Pros

Broad lifecycle coverage: funding search, federal submissions, award tracking, effort workflows, agreements, and analytics address connected research-office needs.
Institutional integration paths: ERP, ledger, payroll, and eRA connections, plus reporting APIs and the Report Connector, can reduce duplicate entry and support existing BI tools.
Federal submission support: autofill and more than 1,500 validations support accurate preparation across a portal serving more than 30 agencies.
Operational commitments: a stated 99.9% uptime guarantee and frequent backup practices provide concrete service assurances.

Cons

Custom pricing: no published price or tier comparison lets buyers assess cost without requesting a proposal.
Institutional breadth may exceed a narrow need: teams buying only one grant workflow may not benefit from the connected suite’s full scope.
Weekday support window: support hours end at 5 p.m. Pacific, which may not suit teams needing routine assistance outside that schedule.

Alternatives

For a broader comparison, browse Research Administration Software. Consider Kuali Curriculum Management if its curriculum-management focus better fits the need; its paid pricing is available through a personalized demo, with no numeric price stated. Pure Award Management is another paid, web- and API-accessible option to compare.

Insight is a paid option with web and API access. Worktribe Curriculum Management may suit buyers seeking unlimited users and cloud delivery; pricing is by contact, and its product page offers a demo and says the suite can be procured on G-Cloud. GrantsNow is a paid, web-based alternative.

OneRamp ERA Suite supports Android, iOS, and web, with pricing available by contacting the company. Fibi Research Administration Software may suit institutions seeking self-hosted deployment; it has no free plan and offers a custom quote tailored to modules, users, integrations, and hosting. eProtocol is another web-based paid option.

Verdict

Choose Cayuse Award Management if your institution wants grant discovery, federal submissions, post-award finance, effort certification, agreements, and reporting connected to its existing systems. The integrated lifecycle and reporting APIs are its clearest reasons to shortlist it. Look elsewhere if you need a narrow tool or must compare transparent prices before engaging a vendor.
