Overview

CliniForm is a practice-management platform for independent wellbeing professionals and small teams, bringing bookings, client records, forms, notes, communications and payments together. It is a strong fit for practices that need clinical-style records and consent workflows alongside scheduling; its active-client free tier and extra messaging and payment charges are the main trade-offs.

Key features

Online booking is backed by a calendar that manages practitioner and room availability as well as appointments. That makes CliniForm relevant to practices coordinating treatment rooms, not just individual diaries. Consultation and consent forms support digital signatures and treatment-plan consent, while client records can hold consultation details, risks, treatment history, SOAP notes, payments and progress. Intake forms, packages and memberships are supported.

The unified inbox brings SMS, email and WhatsApp conversations together with the client record, which can keep client context close to day-to-day communication. Messaging usage may cost extra, so teams with frequent contact should account for that separately. CliniForm AI generates consultation summaries and risk flags on Pro; practices that need those functions must choose the paid plan.

Integrations include Google Drive, OneDrive, Dropbox, Make, Zapier, WordPress and WhatsApp Business. The REST API and webhooks add scope for custom workflows, but practice-scoped API keys are reserved for Team and Enterprise plans. CliniForm says UK-hosted data uses TLS 1.2+ connections and AES-256 encryption for health answers, treatment notes and clinical files. Its security page also describes GDPR-oriented handling, role-based permissions, optional two-factor authentication and team-plan audit logs.

Pricing

CliniForm is freemium, with a 14-day trial. Free costs £0.00 and includes up to five active clients, consultation and consent forms, manual form sending and email support. Existing records remain viewable and exportable after the cap is reached, but new active-client capacity requires a paid plan. Free is best for a very small practice evaluating core forms and records, not a growing client list.

Pro costs £24.99 per month, or £19.99/month when paid annually. It includes unlimited active clients and all standard Pro Apps, including CliniForm AI summaries and risk flags. Payment-processing and messaging usage charges apply separately, so the subscription price is not the full operating cost for practices relying heavily on either channel.

Enterprise has custom pricing. It is aimed at multi-location teams needing custom integrations, bespoke requirements and 24/7 priority support. The lower tiers give up that tailored scope and priority support; Free also has the five-client limit, while Pro retains separate usage charges.

Platforms

CliniForm is available on web and through an API. Teams that need mobile apps should compare platforms before choosing; the stated platform options do not include a mobile app.

Who it's for

CliniForm suits therapists, trainers, beauticians and clinic owners who want consent, treatment notes, client history, booking and communications in one practice workflow. Small teams coordinating practitioners and rooms gain from its calendar, while integrations and API access can help practices connect existing services. It is less compelling for a solo operator with only a handful of clients if separate messaging and payment charges outweigh the value of consolidated records.

Pros and cons

Pros: Consultation and treatment-plan consent, digital signatures and detailed client notes suit practices where documentation is central to care.
Pros: Practitioner and room scheduling alongside online booking supports more than a single-person appointment diary.
Pros: Integrations, REST API and webhooks offer routes into existing workflows, with practice-scoped API keys on Team and Enterprise.
Cons: Free is capped at five active clients, limiting its usefulness as a lasting plan for a growing practice.
Cons: Messaging and payment processing can add usage costs on top of Pro's subscription.
Cons: Web and API are the stated platform options, a constraint for teams requiring native mobile apps.

Alternatives

Choose Zenamu if its free allowance of 30 orders per month and one teacher account fits a smaller booking-led operation; its Expert plan allows 500 orders per month. For category browsing, compare massage therapy software and therapy scheduling software.

Corterra Book is another option. MassageOS is another option. PocketSuite is another option. WellnessLiving is another option. Pronto is another option. Starta.one is another option. Kneadly is another option.

Verdict

CliniForm is the better choice for a small wellbeing practice that needs consent-led records and coordinated scheduling in one system. Its strongest reason to buy is the connection between forms, treatment history, bookings and client communication; look elsewhere if mobile apps are essential, if five active clients is enough for a free tool, or if predictable costs matter more than usage-based messaging and payment flexibility.
