Overview

Collaborate consolidates intake data, services, assignments, referrals, notes, documents, notifications, and alerts into case profiles. That gives staff a shared view of client activity and supports service-plan, referral, and outcome tracking. A client portal is also available. For agencies replacing scattered records and manual handoffs, that scope can make coordination more consistent; smaller teams seeking only a simple contact database may find it more system than they need.

Configuration is a central strength. Social-services experts can tailor intake forms, digitize paper forms, and automate manual processes. Organizations can use pre-built service forms, define custom services, and share external forms by link or embed them on a website. The trade-off is implementation effort: typical deployment takes 8–12 weeks from contract to go-live, including data migration, customization, and staff training.

Key features

Forms, services, and reporting

Organization-specific intake and configurable services suit programs whose workflows do not fit a generic template. Filterable, shareable reports built from database fields, with charts and graphs, help teams examine program results and distribute findings. Reporting flexibility is useful for varied service models, though it depends on configuring the system around the organization’s data and processes.

Integrations and security

DocuSign integration and API connections to systems such as statewide referral networks, medical billing, payroll, staffing, and QuickBooks can connect case work to operational systems already in use. Collaborate for Networks supports secure sharing of sensitive data among organizations that use Collaborate, a relevant capability for coordinated services.

The maker says the product is HIPAA compliant and SOC 2 Type 2 compliant. Security features include encryption, role-based permissions, multifactor authentication, audit logs, and backups; SSO support is also included. These controls address important needs for sensitive client records, but teams should assess fit against their own security requirements.

Access and support

Collaborate is cloud-hosted and accessed through a browser, with responsive access on desktop, laptop, tablet, and mobile phone when connected to the internet. There is no installation requirement. Support includes a knowledge base, in-app help, support requests, live and on-demand training, and an account manager—useful during a rollout that includes migration and staff training.

Pricing

Collaborate uses custom pricing based on organization size, user count, and modules. There are no per-seat licensing fees, which may suit organizations whose access needs do not map neatly to individual-seat charges. The purchase still requires a custom quote, so teams should weigh the full configured cost against their implementation and integration needs.

Platforms

Collaborate supports web, Android, iOS, and API access. Browser-based cloud hosting and responsive mobile access let staff work across devices without installing desktop software; API connectivity can support links to external systems.

Who it's for

Collaborate is aimed at nonprofits and social-services organizations, including children’s advocacy centers, domestic violence and sexual-assault programs, youth and substance-abuse services, housing programs, healthcare violence-prevention programs, and government human-services agencies. It is a strong candidate when teams need configurable case records, service coordination, and reporting across programs. Organizations that need a rapid deployment or cannot accommodate a custom-quote procurement process should look elsewhere.

Pros and cons

Pros: Case profiles bring core client information and activity into one view, supporting coordinated work across services and referrals.
Pros: Tailored forms, custom services, and external forms accommodate organization-specific intake and collection workflows.
Pros: API connections, DocuSign integration, and Collaborate for Networks support connections and data sharing across participating organizations.
Pros: No per-seat licensing fees may fit organizations with varied user counts.
Cons: Custom pricing makes budget comparison dependent on obtaining a quote.
Cons: The stated 8–12-week deployment, including migration and training, requires advance planning.
Cons: Its broad configuration and case-management scope may be excessive for teams with simple tracking needs.

Verdict

Choose Collaborate if your nonprofit or social-services agency needs configurable case records, tailored intake, service and outcome tracking, and connections to operational systems. Its breadth and organizational customization are the main reasons to choose it; the custom quote and 8–12-week deployment are the main reasons to look elsewhere if budget certainty or a faster start matters more.
