Overview

Founded in 2008 and based in Katowice, Poland, Kanban Tool brings board-based task management together with analytics and process improvement. It supports backlog management, agile reporting and roadmap views, but not Scrum or sprint planning. That makes it a more natural fit for continuous-flow teams than for organizations that need sprint ceremonies and planning built into their project system.

Key features

Boards and collaboration

Task cards, horizontal swimlanes, configurable workflows, drag-and-drop and work-in-progress limits let teams represent their actual process and make overloaded stages visible. Real-time updates, assignments, comments and email notifications support day-to-day coordination; board and folder access controls help separate work by audience. These are useful foundations for shared operational workflows, though they do not add the sprint structure absent elsewhere in the product.

Analytics and time tracking

Cumulative flow diagrams, cycle-time comparisons, breakdown charts and time reports give teams several ways to examine how work moves. Excel and CSV export is a practical plus for teams that need to carry reporting data into other tools. The built-in timer follows workflow start and pause stages, with reports on time by project and task; however, time tracking and reporting are reserved for Enterprise, making Team a narrower choice for organizations that require those measurements.

Integrations, security and operations

Integrations include Zapier, Google Drive, Box, Dropbox, OneDrive, Outlook and Google Calendar, plus Chromecast, email-based task creation and an API. HTTPS, SAML 2.0 single sign-on and optional two-factor authentication address common access requirements. The service reports 99.99% uptime over the past year and daily full off-site backups. Support is offered by feedback form or email, with a stated aim to respond within a few business days.

Android and iOS apps extend board access to phones and tablets. On-Site offers a self-hosted deployment, but it is sold in annual packs starting at 10 users and excludes internet-based integrations such as Zapier and cloud file hosting. Teams choosing self-hosting should weigh that narrower integration set against their deployment needs.

Pricing

The Free plan costs 0.00 USD per free, billed per user / month, and allows 2 boards and 2 users with no file attachments. It is a small-scale starting point, but the board and user caps make it unsuitable for a growing team or multiple concurrent workflows.

Team costs 6.00 USD per month, billed per user / month, and adds unlimited boards and file attachments. It fits teams that need more room to organize work, but it does not include the time tracking and reporting, user groups management or process automation included with Enterprise.

Enterprise costs 11.00 USD per month, billed per user / month. Alongside unlimited boards and attachments, it includes time tracking and reporting, user groups management and process automation. It is the more complete option for teams that need workflow measurement or administrative controls, though the per-user price increases with team size.

Kanban Tool On-Site is self-hosted, starts at 10 users, and is priced at 720.00 USD per year, billed annually, with current pricing available through Sales. Its annual license-pack model and missing internet-based integrations make it a distinct deployment choice rather than simply another cloud tier. A 14-day trial is available.

Platforms

Kanban Tool is available on the web, Android and iOS, with an API, extension and self-hosted option. The mix supports teams that want mobile access or a route to connect the service with their wider stack; On-Site users should account for its integration exclusions.

Who it's for

Kanban Tool is aimed at individuals, teams and organizations working in a business-to-business model. It is a strong candidate for teams that manage ongoing work through defined stages and want flow metrics, board-level controls and optional self-hosting. Teams whose operating rhythm depends on Scrum or sprint planning should look elsewhere.

Pros and cons

Pros: Configurable workflows and work-in-progress limits help teams model and manage flow rather than just list tasks.
Pros: Flow analytics, exports and Enterprise time reports support process review using more than visual status alone.
Pros: A broad set of named integrations, an API and mobile apps provide several ways to fit the service into team routines.
Cons: Free is capped at 2 boards and 2 users and excludes file attachments, so it is limited as a lasting team workspace.
Cons: Enterprise is required for time tracking, reporting, user groups and automation, putting those capabilities behind the higher per-user tier.
Cons: On-Site starts at 10 users and omits internet-based integrations, which can constrain teams seeking both self-hosting and cloud-connected workflows.
Cons: No Scrum support or sprint planning makes it a poor fit for teams organized around those practices.

Alternatives

For a broader shortlist, compare Agile Project Management Software and Kanban Software.

Linear is worth considering if a free plan for unlimited members matters: its Free plan allows 2 teams and 250 issues, while Kanban Tool Free is limited to 2 users and 2 boards.

OpenProject is an alternative for teams prioritizing a self-hosted and Linux-capable option, with a free Community plan and community support.

Team O'clock is a freemium alternative for teams looking for retrospective activities and team metrics.

Planview AdaptiveWork is a paid alternative with Android, iOS, web and API platforms.

Digital.ai TeamForge is a paid option with Linux and self-hosted availability.

KronoDesk is a paid alternative whose listed cloud plan is priced around concurrent agents and includes unlimited customers and tickets.

Tuleap is a freemium option with Linux and self-hosted availability, and commercial plans can be tailored to hosting preferences.

Aha! Develop is a paid alternative with a free trial and an Essentials plan starting at 11.00 USD per month, billed monthly.

Verdict

Choose Kanban Tool if your team wants configurable kanban flow, meaningful process analytics and the option to self-host. Its strongest case is the way board controls and reporting work together; look elsewhere if you need Scrum and sprint planning, or if the free tier's small caps and Enterprise-only reporting do not fit your team.
