Overview

ComplyFlow is a contractor compliance platform for organisations coordinating workers, sites and safety processes. It is best suited to contractor-heavy teams that need connected workflows from onboarding through site operations; smaller teams looking only for digital checklists may find its scope excessive. Its broad coverage is a clear strength, though client-platform pricing and per-Worker charges need to be weighed against the value of that coverage.

Founded in 2009 and headquartered in Sydney, ComplyFlow serves sectors including construction, mining, manufacturing, government, healthcare, utilities, transport and facilities. Its modules connect contractor records with site and safety activity rather than treating compliance as a single inspection task.

Key features

Coverage across contractor workflows

Modules span prequalification and workforce compliance, training and induction, site access, visitor sign-in, site documents, permits, inspections, plant and equipment, incidents and risk management. Assignments, recurring schedules, and photo and signature evidence capture support repeatable work and documented outcomes. This range suits organisations managing compliance across multiple processes and sites; it is less compelling when the requirement is a narrow checklist tool.

AI-assisted document review

AI reads uploaded documents against configured requirements, identifies missing information and helps draft review criteria. ComplyFlow says its team makes the decisions, so the AI supports review rather than replacing human judgement. The separate AI-reviewed prequalification charge applies only when a Client requests one.

Integrations, API and access controls

Native connectors include Microsoft, Okta, Yardi, TechnologyOne, KeyWatcher Australia, Unicard, Torus, intelliPermit, hsi, solv, Power BI and CoreVision, alongside a REST API and MCP server. The API reads every module but writes only to staff, sites, work orders, inspections and competencies. That boundary matters to teams planning to make ComplyFlow part of a broader stack: read access is broad, while automated updates are limited to those areas.

Permission schemes can be set by module and site, with separate controls for personal information. External tokens inherit user permissions and can be read-only, giving teams a way to constrain integrations. ComplyFlow says it has been ISO 27001 certified since 2019 and hosts data in Australian AWS data centres, encrypted at rest and in transit.

Mobile access and offline inspections

Live Access signs Workers in at gates and checks compliance; the Inspection app supports offline checklists and syncs findings when connectivity returns. Both are free native apps for iOS and Android. Offline capture is useful at sites with intermittent connectivity, while gate access ties mobile use directly to contractor compliance.

Pricing

ComplyFlow uses a freemium model, but the free entry point is company registration rather than a complete client platform. Contractor companies can register, add Workers and hold documents at no charge. That is useful for establishing records without an upfront fee, but it does not remove later Worker or client-side costs.

Contractor company registration: 0.00 AUD per free. Includes company registration, adding Workers and document storage at no charge.
Contractor Worker licence: 35.00 AUD per year, billed AU$35 a year per Worker on site. One licence covers that Worker with every Client on ComplyFlow, which may simplify multi-client participation but makes headcount a recurring cost driver.
AI-reviewed prequalification: 100.00 AUD per year, billed AU$100 a year. Standard AI-reviewed prequalification is charged only if a Client asks for one.
Client platform: custom quote. The pricing calculator lists annual unit prices and optional modules: the first 5 internal users are free, then $35/user/year; optional modules are $24/user/year per module; the first 5 sites are free, then $200/site/year. Contractor and Worker fees are also listed.

The client plan's free allowance for the first five internal users and five sites gives smaller deployments a starting threshold, but costs can grow with additional users, sites, modules and contractor charges. Implementation help runs from system mapping through go-live, and phone support is available; white-glove and enterprise support packages are listed separately in the pricing calculator. Teams should obtain a quote against their expected site, user and module count before comparing total cost.

Platforms

ComplyFlow is available on web, iOS and Android, with an API for integrations. Its two free native mobile apps serve distinct jobs: gate sign-in and compliance checking through Live Access, and offline inspection capture through the Inspection app.

Who it's for

ComplyFlow is aimed at contractor-heavy sectors such as construction, mining, manufacturing, government, healthcare, utilities, transport and facilities. It is a stronger fit when compliance spans worker credentials, site entry, training, permits and safety workflows, and when teams can use its connectors or API. Organisations seeking only occasional inspections or a lightweight checklist product may prefer a narrower tool with simpler pricing.

Pros and cons

Pro: Lifecycle coverage connects onboarding, site access and safety processes, useful when teams need more than inspections alone.
Pro: Broad module read access and named write areas in the API support integration planning, with permission inheritance and read-only external tokens for tighter control.
Pro: Free iOS and Android apps include offline inspection capture, reducing the impact of unreliable site connectivity.
Con: Worker licences cost 35.00 AUD per year per Worker on site, so ongoing spend scales with the workforce even though company registration is free.
Con: Client platform pricing is custom quote, with additional user, site and optional-module charges beyond the stated free thresholds; budgeting requires modelling the deployment.
Con: API writes cover only staff, sites, work orders, inspections and competencies, which may constrain teams wanting to update other modules programmatically.

Alternatives

For a narrower checklist workflow, compare Checklist Software options; ComplyFlow's broader contractor lifecycle is more useful when checks must connect to worker and site compliance. Property-focused teams can also review Property Management Vendor Management Software.

Survtapp is worth considering for teams that need forms and response collection with a small free tier: its free plan allows 3 users, 100 responses per month, 5 MB storage, 2 kiosk devices, 3 forms and 120-day data retention. Safety Reports is an alternative when the priority is Pro capabilities plus JSAs, scans, forms, extra admin licences, unlimited scan assets and custom checklists, with API and Observ features.

Bindy suits inspection-focused teams that want unlimited users and a defined entry price: Starter is 129.00 USD per month, with 10 inspections per month and Okta, Azure SSO, Google SAML and API. InspectAll is another inspection option, starting at 49.00 USD per user/month, with month-to-month billing and a possible one-time setup fee.

Lumiform may suit teams prioritising form creation, including AI- or file-upload-based creation, unlimited templates and queries, and custom response types; its Professional plan uses quote pricing. For property inspections, myInspections offers a Landlord plan at 8.00 USD per month with unlimited inspections and properties, one seat, templates, branded reports and assisted setup.

Safesite is an option for teams seeking a free safety platform with unlimited members and guests, accepting that free reporting is limited to the last 30 days; Premium is 16.00 USD per month per member. SafetyCulture (now Mitti) may suit smaller inspection teams: its free plan includes up to 10 seats, 300 AI credits per seat per month, 5 active inspection templates, and basic analytics, training, tasks and issue reporting.

Verdict

Choose ComplyFlow when contractor compliance needs to connect worker records, site access and safety workflows across multiple locations, and its integrations and mobile apps match the stack. Its lifecycle breadth is the strongest reason to choose it; custom client quotes and recurring per-Worker fees are the main reasons to look elsewhere, particularly for teams that need only checklists or inspections.
