Overview

Grist combines relational data organization with spreadsheet formulas and flexible ways to view information, making it a strong fit for teams whose work has outgrown flat sheets but still depends on spreadsheet-style analysis. Its self-hosted and desktop options widen deployment choice; hosted customers should weigh record caps and the product’s compliance status before committing.

Documents are SQLite databases that can be exported as complete .grist files, giving teams a portable copy of their work. Grist was founded in 2014 and is headquartered in New York City.

Key features

Relational data, formulas, and views

Grist organizes records like a database or app while retaining spreadsheet analysis and visualization. Python formulas sit alongside Excel-like functions, a useful combination for teams that need custom calculations without giving up familiar spreadsheet work. Tables, cards, forms, charts, calendars, and custom widgets let users present the same data in formats suited to different tasks.

Access, integrations, and API

Granular access rules can govern visibility and editing at the table, column, and record level. That can help teams separate access to sensitive parts of a shared document, though it also means access rules need to match the way the team actually works. Grist offers a REST API for reading and modifying documents, workspaces, and team sites, and supports connections through Zapier, Integrately, Pabbly Connect, n8n, and Make.

AI and portability

The AI Assistant can answer questions about data, create or modify records, and help write formulas. Free users receive 100 lifetime AI credits, while Pro includes 100 credits per month. The .grist export format is a complete SQLite database, which gives teams a practical route to preserve documents outside the service.

Pricing

Grist has a free plan and paid hosted plans, alongside free self-hosted Community editions. The plan terms differ across the supplied offerings, so buyers should compare limits and billing cadence rather than treating the lowest advertised starting price as a universal rate.

Free: 0.00 USD per free. It includes unlimited documents, up to 5,000 records per document, 30-day snapshot history, and 100 lifetime AI credits. The record ceiling is a meaningful constraint for growing datasets, but the unlimited document count makes it workable for smaller projects or evaluation.
Pro: 10.00 USD per month, billed monthly. It raises the cap to 100,000 records per document and provides three-year snapshot history, 100 AI credits per month, and a 30-day trial. This is the more natural hosted step up for individuals or teams that need more record headroom and longer recovery history.
Business: 30.00 USD per month, billed monthly, with a five-user minimum. It supports up to 150,000 records per document and adds five-year snapshot history, automations, and priority email support; it also has a 30-day trial. The minimum makes it less suitable for a small solo deployment, while the longer history and support target teams with broader operational needs.
Enterprise: Custom pricing, with dedicated servers and advanced security and governance. It is the tier to consider when those deployment and control requirements outweigh the need for a published per-user rate.
Community edition: 0.00 USD per free, open source, and hosted on your own server with community support. A separate Grist Community edition offer also includes a custom domain and custom branding. These options suit teams prepared to run their own infrastructure rather than pay for hosted service.
Grist: 24.00 USD per year, billed annually. The package includes advanced admin controls, an MCP server, AI Assistant, automations, custom SSO, audit log streaming, multiple team sites, and email notifications.

The starting-price note says paid plans start at $8/user/mo (annual), with a 30-day trial. The detailed Pro and Business terms above are billed monthly, so teams should compare the applicable billing option and seat requirements for their intended plan.

Platforms

Grist is available on the web, Linux, macOS, and Windows, with API access and self-hosted deployment. Its desktop application is based on the Community edition and works without an internet connection or online account. Docker installation supports running Grist on customer infrastructure, which is a significant option for teams that want deployment control.

For hosted use, Grist runs on AWS and uses encrypted S3 storage, HTTPS, optional MFA, and encrypted backups. The hosted product has not undergone certification or auditing for SOC 2, ISO 27001, HIPAA, or GDPR compliance. Organizations that require one of those certifications or audits should treat that as a material reason to look elsewhere or evaluate self-hosting against their own requirements.

Who it's for

Grist is best suited to builders and teams that need relational structure, spreadsheet formulas, multiple views, and granular permissions in one working environment. It is especially compelling when Python formulas, API-based document access, or a self-hosted or offline desktop option matter. Teams with datasets beyond the free cap can move to paid tiers, but should size workloads against per-document record limits. Hosted buyers with formal compliance requirements should be cautious.

Pros and cons

Pros: Relational organization paired with Python and Excel-like formulas gives technically capable teams more room than a flat spreadsheet alone.
Pros: Tables, cards, forms, charts, calendars, and custom widgets support varied ways of working with the same data.
Pros: REST API access, automation integrations, and portable SQLite-based .grist exports suit teams that need programmatic access and a route to retain their data.
Pros: Free open-source self-hosting and an offline desktop app provide deployment choices beyond hosted use.
Cons: Free documents stop at 5,000 records each, and even the paid tiers have per-document ceilings of 100,000 or 150,000 records.
Cons: Hosted Grist lacks certification or auditing for SOC 2, ISO 27001, HIPAA, and GDPR, which can disqualify it for regulated or compliance-bound workloads.
Cons: Business requires at least five users, so its automations and priority support may be an awkward fit for smaller teams.

Alternatives

Consider Ragic if its free plan’s 3 custom sheets, 1,000 records per custom sheet, and unlimited users fit a smaller structured-data workload. Choose Airtable if its Team plan’s 50,000 records per base and 100,000 API calls per workspace per month better match the workload. Baserow is another freemium option, with a free plan that provides 3,000 rows per workspace, 2GB storage, 2,000 automation credits, and 500 external app users.

Fusioo may be worth comparing for its free plan of 10 apps, 1K records per app, one workflow and one report per app, and 100K AI tokens. Ninox offers a free plan for up to five users, with 100 MB storage, 5,000 records, and 1,000 API calls per month. Claris FileMaker is a paid alternative with a free trial. Lark offers a freemium option with a Starter plan that includes 20 users, 100 GB storage, 18 months of message history, and 1,000 automations per month. NocoBase has a Community Edition with unlimited users, applications, and records.

Verdict

Choose Grist when your team needs database-style structure with spreadsheet flexibility, and values API access, portable files, or the option to self-host. Its mix of relational data, formulas, permissions, and deployment paths is its clearest advantage. Look elsewhere when hosted compliance certification is essential, when your workload exceeds the relevant per-document cap, or when Business’s five-user minimum does not fit your team.
