Overview

Decidiq is a free, open-source Nextcloud app for managing meeting and decision workflows, from agendas and votes through minutes and follow-up actions. It suits organizations that need configurable governance processes and a record of how decisions were made, provided they already run Nextcloud and can install OpenRegister. Its strongest case is pairing structured workflows with per-record audit trails; that infrastructure requirement narrows its fit.

Key features

Decidiq covers the full meeting cycle: scheduling meetings, creating agendas, submitting motions, proposing amendments, voting, publishing minutes, and tracking decisions and action items. Recurring meetings and agenda templates can help teams standardize repeat processes, while outcome reporting provides a way to surface results. This breadth is useful for formal decision-making, not just note-taking.

Its dashboard brings upcoming meetings, motions by status, and open action items sorted by due date into view. Data is stored as typed OpenRegister objects, with an audit trail on each record. That structure makes the product a stronger match for teams that need traceability than a lightweight meeting-notes tool.

A built-in AI chat companion exposes meeting and action-item tools over MCP. That may suit teams exploring tool-connected AI workflows, though Decidiq’s core appeal remains its governance process and auditability.

Pricing

Decidiq is free and open source under the EUPL-1.2 license. There is no paid plan to weigh against a free tier, so the main trade-off is operational: organizations need a compatible Nextcloud installation and must install OpenRegister first. The license gives teams the ability to use the product without a subscription price, while self-hosting makes server security the customer’s responsibility.

Platforms

Decidiq is available on the web, through an API, and as a self-hosted app. It installs from the Nextcloud App Store or can be enabled in Nextcloud admin settings, but OpenRegister is a prerequisite. The app listing shows compatibility through Nextcloud version 34, so teams should confirm that their Nextcloud deployment and OpenRegister setup fit before rolling it out.

The project lists English and Dutch localization and WCAG AA accessibility as a standard. Conduction states that it holds ISO 9001:2015 and ISO 27001:2022 certifications valid through 21 July 2028; those are maker certifications, not a substitute for securing a customer-managed server.

Who it's for

Decidiq is best suited to legislative bodies, associations and NGOs, corporate governance teams, corporate operations groups, and citizen-participation programs that need configurable meeting workflows. It is particularly compelling when votes, amendments, decisions, and assigned actions need to remain connected to an auditable record.

It is a poor fit for teams that do not use Nextcloud, cannot add OpenRegister, or want a standalone meeting product with no infrastructure responsibilities. Self-hosting offers control, but also places protection of data on the customer’s server on the customer.

Pros and cons

Pros: Free and open source under EUPL-1.2, with no subscription price to budget for.
Pros: Covers agendas, motions, amendments, votes, minutes, decisions, and action items in one workflow, which fits formal governance better than a notes-only approach.
Pros: Typed OpenRegister records and per-record audit trails support traceability across decisions and follow-up.
Pros: MCP-accessible meeting and action-item tools give teams a route to use the built-in AI companion in connected workflows.
Cons: Requires Nextcloud and OpenRegister, adding deployment dependencies that rule it out for teams seeking a standalone service.
Cons: Self-hosted data security is the customer’s responsibility, so the zero-price model does not eliminate operational ownership.
Cons: Compatibility is shown through Nextcloud version 34; teams on other versions should verify fit before deployment.

Alternatives

For a broader category view, browse Meeting Management Software or Meeting Notes Software.

Choose Fellow if you want a freemium meeting platform across mobile, desktop, web, extension, and API, and can work within its Free plan’s five lifetime AI notes per user. Choose Geekbot for a web-and-API option centered on standups, including a Basic — Standups plan at 2.50 USD per month with annual billing at $2.5 per participant/month, or $3 per participant/month; its Starter plan covers 10 users.

Decisions is an alternative with self-hosted and mobile platform support, a free plan, and paid low-code design studio and agent-builder tiers with prices not stated. Choose Diligent Audit when you want a paid audit-focused product rather than a free Nextcloud app.

Lucid Meetings is a paid alternative with API, extension, and web support; its Individual plan is 24.95 USD per month for one room, 1 GB storage, and toll calling for meetings of up to 50 people. Serendly is another paid alternative, with a Starter plan at 3.00 USD per month for up to 50 people and 20 AI credits per month.

AgreeDo offers a freemium option whose Basic plan caps usage at four meetings a month, three participants per meeting, and one attachment per meeting. The separate Decisions listing has a freemium model, with a Free plan at 0.00 USD per month billed monthly and 100 AI credits per month, and a Basic plan at 8.00 USD per month billed annually.

Verdict

Choose Decidiq if your organization already runs Nextcloud and needs free, open-source meeting governance with traceable records and action tracking. Its combination of configurable decision workflows and per-record audit trails is the reason to choose it; its Nextcloud and OpenRegister dependencies, plus customer-owned self-hosted security, are the reasons to look elsewhere if you want a managed, standalone meeting tool.
