Overview

EAP Executive is business management software for mental health organisations and counselling providers, covering the work from a client’s first booking through invoicing. It suits providers that need case and contract management alongside counsellor scheduling and reporting. Its broad operational scope and integration options are strengths; custom pricing means it is less suited to buyers who need a published price for quick comparison.

Key features

Case management, counsellor scheduling and contract management sit alongside booking, invoicing, analytics and reporting. That span can keep core provider workflows in one system, particularly for organisations managing both counselling delivery and client contracts. The Professional Portal and booking APIs support client self-service, while Microsoft 365 and Google calendar integrations connect appointments to calendars teams may already use.

Customer invoicing can integrate with financial systems, and Power BI support and data sets provide a route to analytical and business-intelligence reporting. The financial integrations are not named, so buyers should confirm compatibility with their accounting stack before committing. Automated client surveys, email and SMS alerts, and real-time counsellor announcements add communication tools around the service rather than replacing its core case and scheduling workflows.

The cloud service uses Microsoft Azure and a Zero Trust framework, supports MFA and SSO, and is regularly assessed with an Australian cloud security firm. The maker describes the product as GDPR compliant. It also describes the service as multilingual, multicurrency and multiregional, with servers on all continents—useful for organisations operating across markets, though the security and privacy claims should be assessed against each buyer’s own requirements.

Support is described as available 24x7x365, with response aligned to each customer’s Service Level Agreement. Data migration, configuration, implementation project management and onsite or online training are also offered. Those services can help organisations with complex deployments, but the tailored approach makes scope and service terms important parts of procurement.

Pricing

EAP Executive

Custom pricing applies. The subscription model has no upfront fees, with terms tailored to each client. That avoids an initial fee, but buyers cannot compare a public rate or assess cost by seat or usage from the subscription description alone. Providers should request a proposal that sets out the subscription scope and any service-level terms before choosing it.

Platforms

EAP Executive is available via web and API. The API is relevant to teams integrating booking or other workflows into an existing stack; the web platform supports direct use. The product originated for New Zealand’s largest EAP provider in 2002, following Executive Software’s founding in November 2001.

Who it's for

EAP Executive is a strong fit for counselling and mental health organisations that need booking, case management, counsellor scheduling, contracts, invoicing and reporting to work together. Its calendar, finance and Power BI integrations make it worth considering for teams connecting operational software to established business tools. Organisations needing a simple, publicly priced app or confirmed compatibility with a specific financial system should compare alternatives and validate fit before selecting it.

Pros and cons

Broad provider workflow coverage: Booking, case management, scheduling, contract management, invoicing and reporting support operations beyond appointment booking alone.
Useful integration routes: Microsoft 365 and Google calendars, financial-system integrations, Power BI support and APIs can connect the service to existing tools.
Deployment and support services: Migration, configuration, project management, training and SLA-aligned 24x7x365 support can help organisations with implementation needs.
Custom pricing reduces upfront comparison: No upfront fees are stated, but a tailored subscription leaves buyers needing a proposal to understand the price and scope.
Financial-system fit needs confirmation: Invoicing integrations are offered, but their names are not given, so compatibility should be checked against the organisation’s stack.

Alternatives

Browse Employee Assistance Program Software for the wider category. Consider Acentra Health Employee Assistance Program if a freemium web option is the priority, or Optima Health EAP if a paid web product with a free plan better suits the buying criteria.

Optum Global EAP is a web and mobile alternative with a paid model and custom pricing; PAM Wellbeing is another paid web and mobile option. SupportLinc offers web and mobile access and is an employer-provided benefit with no cost to employees or immediate family members, though program terms may vary.

For tailored programme pricing, compare CiC Employee Assistance Programme, which has web and mobile access, or CuraLinc EAP, whose terms and services depend on the employer’s program. Empathia LifeMatters is another paid web and mobile alternative with quote-based pricing.

Verdict

Choose EAP Executive if you run a counselling or mental health provider and need an operational system spanning booking, case management, scheduling, contracts, invoicing and reporting, with integration paths into calendars, finance tools and Power BI. Its implementation services and SLA-aligned support add value for organisations with deployment needs. Look elsewhere if public pricing or confirmed compatibility with a particular financial system is essential before procurement.
