Overview

The platform centralizes employee documents and supports configurable workflows, classification and digital signatures. That lets HR shape how records are organized, approved and signed rather than treating each file as a static attachment. Teams with varied processes can benefit; organizations seeking only a basic file store may not need this level of workflow and control.

Search includes multiple criteria, favorites, saved searches and recently viewed items, helping staff return to recurring records efficiently. Employees have a secure personal space available around the clock for payslips, contracts and certificates, a practical way to give workers direct access to routine documents.

Key features

Access, audit and retention

Access can be partitioned and logged, including for medical and disciplinary records, and changes are recorded. Combined with granular access rights, this gives HR a means to separate sensitive files and maintain an activity trail. Retention rules can be applied by document type, with alerts ahead of legal deadlines, reducing reliance on manual tracking. These controls are particularly relevant to organizations managing sensitive records and formal retention obligations.

HRIS connections and APIs

Efalia names Sopra HR, Silae, Cegid, Sage HR and Office 365 as integrations. Synchronization can run in both directions through open APIs, which may suit teams that need employee records to stay aligned with existing HR systems. API access is supported, and Efalia says it can develop a connector when a requested one is not already available.

Hosting and security

Deployment options include SaaS and on-premise through a maintained Virtual Appliance. The SaaS service relies in part on OVH infrastructure in France, while the on-premise option gives organizations a different hosting arrangement. Efalia says each application receives an independent penetration test at least annually and automated regression and security tests run with each major release. Its stated credentials and practices include GDPR compliance, SecNumCloud infrastructure, Cyber Essentials Plus and a Secure by Design approach audited by Cybalgoris. Documentation, support and training resources are also provided.

Pricing

Efalia HR ECM: custom pricing. The quote varies with company size, storage, users and selected features, so this is better suited to buyers ready to scope requirements with Efalia than teams comparing fixed subscription tiers. There is no published numeric price, and the cost will need to be assessed against the organization’s chosen configuration.

Platforms

Efalia HR ECM supports Android, iOS, Linux, macOS and Windows, as well as web access, APIs and self-hosted deployment. The range accommodates mixed device environments and organizations that want to host the system themselves, rather than limiting access to a single operating system or cloud-only setup.

Who it's for

The product is aimed at HR directors and managers, recruiters, payroll managers, team leads, employees, training managers and HR lawyers. It is most compelling for organizations that need consistent employee-document handling across roles, sensitive-record permissions, automated retention and self-service access. A team needing simple storage without workflow or governance requirements may find its broader ECM focus unnecessary.

Pros and cons

Strong document governance: document-specific retention rules, deadline alerts, partitioned access and recorded changes support sensitive HR record management.
Employee self-service: workers can retrieve payslips, contracts and certificates at any time, reducing dependence on HR for routine access.
Deployment flexibility: SaaS and maintained on-premise appliance options let organizations choose a hosting model that fits their environment.
Custom connector support: open APIs and the option to develop a connector can help fit the platform to an existing HRIS stack.
Quote-based pricing: costs depend on organizational size, storage, users and features, which makes early budget comparisons harder than with published tiers.

Alternatives

HR Document Management Software is a useful starting point for comparing products in the category. Choose IceHrm if a freemium HR platform with a free plan, free trial, employee profiles, attendance, payroll and document handling is a better fit. Sense HR may suit teams seeking a paid option with a free trial and annual Team pricing of 20.00 GBP per month, billed annually with 12 months for the price of 10; monthly payment is £24 a month, with no contract.

Sesame HR is another paid option with a free trial and an Essential plan at 45.00 USD per year, billed annually, with a 15-employee minimum. Consider timeware HRMS Document Management if a per-employee model at 8.00 GBP per month, charged against a chosen live-employee limit, better fits your purchasing approach. Dapplon Policy Distribution is a paid alternative with a free trial.

SovoHR offers a free Starter plan for up to one employee, making it a possible fit for a very small organization seeking a no-cost starting point. Zoho People has a free plan for five users and may suit teams prioritizing that entry-level cap. DutyDuke is a free, self-hosted web option for organizations looking for an open-source alternative.

Verdict

Efalia HR ECM is a strong choice for organizations that need employee-document workflows, sensitive-record controls, retention automation and a choice of hosting models. Its most persuasive advantage is the way governance and employee access sit alongside HRIS synchronization. Look elsewhere if published, predictable pricing or a lightweight employee-file store matters more than configurable controls and deployment flexibility.
