Overview

Vivantio covers ITIL 4-aligned incident, problem, change and service request management, alongside service workflows beyond IT. Asset and configuration records link to tickets and changes, keeping operational work connected to the equipment and services involved. That scope can serve organizations trying to coordinate service operations across departments; a single-team support desk may find it more platform than it needs.

No-code automation triggers actions across tickets, approvals, notifications and escalations. A configurable, branded portal lets users search for answers, report incidents and submit requests from any device. Because requestors and customers require no licence, organizations can extend self-service broadly without buying an agent seat for every employee.

Key features

Automation and integrations

Event-triggered workflows can reduce repetitive handoffs and keep approvals or escalations moving. FLEXBridge includes more than 600 integrations, including Microsoft Teams, Slack, Azure Active Directory, Jira and Tableau. Full API access at every price point provides another route for connecting Vivantio to a team's stack. This breadth is a strength for organizations with varied systems, though teams with few integration needs may not get much value from it.

Assets, portal and security

Asset management tracks assets and configuration items across their lifecycle and links them to tickets and changes, making it more useful than a disconnected inventory for service teams. The portal and knowledge management support self-service. Vivantio cites HIPAA, SOC 2, ISO 27001 and Cyber Essentials+ credentials; its data-processing addendum says customer data is encrypted at rest with AES-256 and hosted on Microsoft Azure infrastructure.

Deployment and onboarding

The SaaS platform is the standard option, with on-premise deployment available when regulatory requirements call for it. Vivantio says most teams go live in around three weeks with a dedicated consultant. Pricing includes dedicated onboarding, a customer success manager and US and UK technical support, a useful package for teams that want vendor support through implementation rather than a self-serve setup.

Pricing

Vivantio is paid software with a published price range of $49–$99 per agent per month, billed annually. All features are included across the range, including ITSM, AI, automation, CRM, assets, reporting, knowledge management, the self-service portal, 600+ integrations and full API access. The annual commitment and per-agent basis matter: costs rise with the agent team, even though end users are free.

The End users plan is free: self-service portal users, requestors and customers require no licence. It is not a free agent plan, so organizations that need staff to work tickets must budget for paid agent seats.

Vivantio Platform costs 4999.00 USD per month, billed annually, per technical agent. It includes all features and offers named, concurrent or pool licensing; end users require no licence. The alternative licensing approaches can suit larger or differently structured agent teams, but the stated monthly price and annual billing are significant commitments.

Volume discounts start at 15 agents and scale up to 40%. Enterprise pricing is available for teams of 500 or more agents. The free end-user access lowers the cost of broad request intake, but there is no free plan for agents.

Platforms

Vivantio is available as a web platform with API access, as well as through self-hosted deployment for organizations that require on-premise operation. That flexibility helps teams with regulatory deployment constraints, while teams seeking only a cloud service can use the SaaS option.

Who it's for

Vivantio is a strong candidate for organizations bringing IT and non-IT service functions into shared workflows, especially when asset records, self-service and integrations are important. The no-licence end-user model also suits broad employee request intake. Teams with a small agent group, a narrow ticketing need or a preference for free software should weigh the annual per-agent cost and implementation requirements carefully.

Pros and cons

Broad service coverage: ITSM plus workflows for HR, customer service and facilities can support organizations coordinating multiple service functions.
Extensive integration and API access: More than 600 built-in integrations and full API access at every price point help it fit into varied stacks.
Free end-user access: Requestors and customers can use the portal without consuming paid agent licences.
Deployment choice: SaaS and on-premise options address different operating and regulatory needs.
Annual per-agent commitment: The published $49–$99 per-agent monthly range, billed annually, is less suitable for small teams or those looking for a free agent tier.
Implementation involvement: A dedicated consultant and onboarding support are included, but teams seeking a purely self-serve deployment may prefer a lighter setup.

Alternatives

Choose iTop if a free, self-hosted option with API access matters more than Vivantio's paid service platform; its Community plan is free of charge and not limited. FreeITSM is another free option for teams that want a self-hosted ITSM product without a free trial.

GLPI is worth considering when a free plan or a freemium model is important, with cloud and self-hosted platform options. Freshservice may suit teams looking for a paid cloud service with a free trial and a Starter plan at 19.00 USD per month, billed annually. DemandFlow ITSM, ZServiceDesk, Proactivanet ITSM and USU Knowledge Management are other products to compare when considering paid service management or knowledge management options.

Verdict

Choose Vivantio if your organization needs one platform for IT and other service teams, with workflows, asset links, broad integrations and a choice of SaaS or on-premise deployment. The decisive reason to look elsewhere is cost structure: agent seats are paid on an annual basis, so smaller or single-purpose teams may be better served by a free or narrower tool.
