Overview

Indico brings event workflows and archives together, and can aggregate an institute’s events. The project began in 2002; CERN adopted it in 2004 and has financed its development since. CERN uses Indico to manage more than 900,000 events and 200 meeting and conference rooms, evidence of an institutional-scale use case rather than a promise that every organization needs the same scope.

Key features

For conferences, Indico covers registration and abstract submission, stores papers and materials, and can provide participant badges. Registration forms, ticketing, attendee email and onsite check-in extend it into event operations. This combination is useful when an organization wants submissions and event records alongside attendee logistics, rather than separate tools for each stage.

Hierarchical categories, protections for resources and event-level roles provide access controls at several levels. That can suit organizations with multiple events and teams, though it asks administrators to shape permissions around their structure. Room booking supports delegated management, booking approvals and audiovisual equipment management, making it relevant to companies, research institutes and universities coordinating shared rooms. Zoom integration lets participants join video conferences with a single click.

Administrators can customize Indico through its configuration file and extend it with plugins. The maker lists plugins for Zoom, PayPal payments and Amazon S3 event-file storage. Authentication uses Flask-Multipass and supports compatible providers including LDAP and SAML. The HTTP Export API exposes category contents, events, rooms and room bookings, useful for teams connecting Indico data to existing systems. Installation instructions support self-hosting, but the organization must take responsibility for running its instance.

Pricing

Indico is open-source software available free to use. Its listed plan, Indico (open-source software), costs 0.00 USD per free and is self-hosted; no other pricing plans are stated. There is no free trial because the software itself is free. The cost advantage is clear for teams able to operate an instance, but the plan does not remove the deployment and configuration work that comes with self-hosting.

Platforms

Indico supports web, Android and iOS, alongside an API and self-hosted deployment. The API, authentication options and plugins give teams routes to fit it into an existing environment, while self-hosting is a poor fit for buyers seeking a vendor-run service.

Who it's for

Indico is best suited to universities, research institutes, companies and other organizations managing recurring events and shared rooms. It is particularly compelling where conference submissions, archives, access controls and room bookings belong in one system. Teams that need a hosted, turnkey event tool or only a narrow single-event workflow should look elsewhere.

Pros and cons

Broad event lifecycle: Registration, abstract submission, materials, badges, ticketing, email and check-in cover more than event discovery or scheduling alone.
Useful institutional controls: Categories, resource protections, event roles and delegated room management address shared administration needs.
Integration flexibility: An HTTP Export API, configurable setup, plugins and LDAP/SAML-compatible authentication help connect Indico to established infrastructure.
Self-hosting burden: The free software requires an organization prepared to install and configure its own instance.

Alternatives

For ticketing-first workflows, Ticketbud offers a free-events plan with complete access to all features; its paid-events plan charges attendees 2% +99c per ticket sold. Choose it when that event-focused pricing model fits better than operating a self-hosted system. Zoho Backstage has a free plan capped at 100 attendees per event, 300 RSVP invites per event, three sessions, three speakers and one event day, plus a free trial; it may fit teams whose events stay within those limits.

CredsNow is another option to consider for event badge and check-in workflows. Eventbrite offers unlimited event publishing and free tickets without ticketing fees, and free events can be any size, which suits organizers prioritizing that publishing model. EventTitans Abstract Management has a free plan for 100 attendees, three sessions and three speakers, with a 2.5% + 1$ charge on ticket price; it is an alternative for smaller abstract-led events.

EventX offers a free plan with unlimited events, 30 attendees per event, one user, tickets and registration forms, check-in and badge printing. Micepad has a free plan for up to 50 attendees with QR code check-in, seating charts and basic reports. Accelevents offers plans sized from one event with 500 registrants to unlimited events with 2,000 registrants or more; choose among these alternatives when their stated event or attendee limits align better with your needs.

For a focused category search, browse Event Badge Printing Software, Speaker Management Software, Event Abstract Management Software, Event Scheduling Software, Event Registration Software or Event Website Builders.

Verdict

Choose Indico if your organization needs event administration, archives and room booking in one free, extensible system and has the capacity to self-host it. Its strongest reason to choose is the combination of conference workflows, institutional access controls and room management. Look elsewhere if avoiding installation and operations work matters more than that breadth.
