Overview

EventDiagram is a web app for drawing, sharing, and coordinating event floor plans, with an API for teams that want programmatic access. It is a strong fit for venues and planners who need room layout, guest seating, and stakeholder sign-off in one workflow. Its practical planning and approval tools stand out; teams with formal SOC 2 requirements should look elsewhere.

Key features

Plans use real-world dimensions, and capacity, spacing, and square feet per seat update as objects move. That makes the layout useful for evaluating whether a room arrangement works, rather than merely visualizing one. The 3D view comes from the same scene as the 2D plan and uses objects’ real heights, so teams can review a space from another angle without managing a separate model.

The AI copilot builds or edits a to-scale layout from plain-language requests, presenting changes for review and approval. An MCP server and API keys let Claude and other AI tools read and write diagrams, a useful option for teams building AI-assisted workflows. Message quotas vary by plan, so frequent copilot use calls for checking the paid tiers.

Guest-list import, table assignments, meal and dietary tracking, and check-in connect the diagram to event operations. Share-link recipients can inspect a plan in 3D, add pinned comments, and approve a specific version without an account. PDF, image, and data exports are available even on Free, though Free exports are watermarked.

EventDiagram says it uses salted bcrypt password hashes, signed expiring sessions in HTTP-only cookies, and HTTPS. It also says private content and copilot prompts are not used to train AI models, while the diagram being worked on is processed by Anthropic to fulfill a copilot request. The product is not SOC 2 certified, a material constraint for organizations that require that certification.

Pricing

The Free plan costs 0.00 USD per free, requires no credit card, and has no trial clock. It allows one active diagram, three AI copilot messages per month, unlimited viewers and commenters, the core object library, share links, and watermarked exports. It is a workable way to evaluate collaboration and exports, but one active diagram and a small AI allowance limit sustained use.

Solo costs 990.00 USD per month, monthly or annually, and includes one editor, unlimited events and diagrams, 25 AI copilot messages per month, and clean exports. It suits a single operator who needs ongoing projects and unwatermarked output; the one-editor limit rules out a shared editing team.

Pro costs 18180.00 USD per month, monthly or annually. It raises the editor limit to three and includes 75 copilot messages per month, 3D view, the full production library, branding, version history, and attendee import. This is the more complete fit for a small production team, though the three-editor ceiling may be restrictive.

Business costs 1491490.00 USD per month, monthly or annually, and includes unlimited members, conversion of one property's floor plans, own inventory, and 150 copilot messages per month. It targets larger teams standardizing on one property. Venue costs 149.00 USD per month per property, with monthly billing always available; it includes unlimited event spaces and team members, concierge floor-plan conversion, a verified venue profile, branded share links, and 300 copilot messages per month. That venue-specific package is more relevant to property operators than to independent planners.

Venue Group / Enterprise uses custom pricing, scoped with the company. Its features include multi-property hierarchy, SSO/SCIM, audit logs, API, managed migration, an SLA, and dedicated success. It is the tier for organizations needing centralized administration and service commitments; the price is negotiated rather than a published monthly rate.

Platforms

EventDiagram runs on the web and provides an API. The combination suits teams working in a browser or connecting diagrams to their own tools; no mobile app is included among its supported platforms.

Who it's for

The product is presented for hotels and venues, corporate and wedding planners, caterers, rental companies, and AV and production teams. It is most compelling when measured floor plans, seating, and version approval need to stay connected. Teams that only need occasional guest seating may find a per-event alternative a better fit, while organizations requiring SOC 2 certification should not treat EventDiagram as a compliant substitute.

Pros and cons

Pros: Live capacity and spacing figures make layout changes operationally informative, not merely visual.
Pros: 3D review, pinned feedback, and version-specific approvals give external stakeholders a way to review without accounts.
Pros: Guest import and meal tracking carry the diagram into seating and check-in workflows; data exports are available on every plan.
Cons: Free is limited to one active diagram and three monthly copilot messages, with watermarked exports.
Cons: The product is not SOC 2 certified, which can disqualify it for compliance-driven buyers.
Cons: Solo allows only one editor and Pro up to three, so collaboration at larger team scale points toward Business or custom Enterprise pricing.

Alternatives

Event Diagramming Software is the broader category directory for readers comparing diagramming tools. Choose EventReception if Android or iOS access and per-event pricing matter; its MAX-150 plan is 19.00 € per event for one event, up to 150 guests, and two tablet devices.

A Seat Awaits is a simpler paid alternative for event-based seating: its 9.99 USD Starter Pass covers one event of up to 50 guests with export and print. Choose OnePlan if a free plan capped at one event, 25 objects, and watermarked low-resolution PNG export is enough, or if its listed Team plan better fits the group.

SeatPlan.io offers a free plan with guest-list import and one AI floor-plan import to try, but no saved work or PDF export; consider it for a limited trial of that workflow. SeatPlanning is another freemium option, with a free project capped at 40 seats, five tables, and 80 elements, plus a watermarked PDF export.

Cvent is a paid web and mobile option with a registration product that can be tried for free. Eventscript and SeatChart.io are freemium alternatives for readers comparing other free-plan options.

Verdict

Choose EventDiagram if your venue or event team needs dimension-aware layouts, seating operations, 3D review, and version approval in a shared web workspace. Its strongest advantage is keeping those jobs connected, with API and AI access for teams that want to extend the workflow. Look elsewhere if SOC 2 certification is mandatory, if a free plan must support multiple active diagrams, or if your team needs mobile apps.
