Overview

Events500 covers the flow from enquiry and booking through customer communication and venue operations. The event diary presents activity by day, week or month, while space booking, event-day tools and floor-plan tools support planning beyond the initial sale.

Its browser-based interface is described as accessible on any device, and the product is offered on web and through an API. That combination suits venues wanting staff access across devices and a route to connect booking data with other systems. It is aimed at venue teams rather than general-purpose event organizers.

Key features

Bookings and customer documents

Proposals are generated from booking data, and customers can review and sign contracts online. This can reduce the need to assemble booking paperwork separately, while keeping the customer-facing steps tied to the venue's booking process.

A customer portal provides access to documents, seating plans and files the venue chooses to share. Online bookings can be embedded on a venue website or connected to Venue Directory's Instant Book. Customers can also pay invoices through a payment provider chosen by the venue.

Planning and reporting

The drag-and-drop table planner supports guest names, menu choices and dietary requirements. That makes it relevant to venues where seating and meal information are part of event preparation, not just room allocation.

More than 40 reports and configurable dashboard views give sales, operations and finance teams ways to work with venue activity. The range is useful for teams with varied reporting needs, though the product's fit will depend on whether its reporting supports their specific workflows.

Integrations and API

Events500 connects with finance, payment, productivity, identity and venue-sector services, including QuickBooks, Xero, Sage Finance, Stripe, Worldpay, Global Payments, Microsoft 365, Azure SSO, Gmail, Rezlynx, Artifax and Venue Directory. The breadth offers potential connection points for an existing stack, but buyers should confirm which integrations match their processes.

The REST API can read booking and event data, check room availability, and create bookings, events and contacts. Protected requests use client credentials to obtain a bearer token, with separate permissions for protected methods. This is a meaningful option for teams building authorized integrations, rather than a substitute for confirming the specific API access their project needs.

Pricing

Events500 is paid, with custom pricing. The company directs prospective customers to request a demo; there is no stated subscription price to compare against a budget before speaking with sales. Teams should evaluate the total cost against their venue count, operational needs and implementation requirements.

Platforms

Events500 is available on web and through an API. Its browser-based interface is described as accessible on any device, making it a fit for teams that need browser access rather than a specified desktop-only setup.

Who it's for

Events500 is aimed at UK conference, wedding, sports hospitality, meeting and mixed-use venues. It is strongest for organizations that need sales, operations and finance to work across enquiries, bookings, customer documents, planning and reports in one venue-focused system.

Setup is supported by the company's team, which configures the database, can convert existing booking data and provides training. eLearning and free training sessions for new staff offer a way to onboard later hires. This support may suit venues moving from another booking system, but configuration and conversion mean buyers should plan for an implementation phase rather than assume a self-serve start.

Pros and cons

Pros: Booking-linked proposals and online contract signing keep customer paperwork within the booking workflow.
Pros: Table planning, customer document access and invoice payments extend the system into practical customer and event operations.
Pros: The REST API supports reading booking data, checking room availability and creating key records, useful for teams connecting venue workflows to other tools.
Pros: Database configuration, possible booking-data conversion and staff training provide structured help during adoption.
Cons: Custom pricing means teams cannot assess subscription cost without contacting the company.
Cons: The configuration-led setup and data-conversion process require implementation planning, which may not suit venues seeking an immediate self-service tool.

Alternatives

Event Venue Management Software is the broader category page for comparing venue-management options.

Joinways is a better fit for a venue that wants a no-time-limit free plan: its Free tier covers one venue, two spaces and ten inquiries a month, with excess inquiries locked and proposals unavailable.

VenueArc is worth considering for a venue seeking a free starter tier with one facility, core booking and calendar features, event scheduling, basic reporting and email support.

Momentus offers paid enterprise plans with unlimited users, making it an alternative for teams prioritizing that user allowance.

Artifax is another paid option, with plans described around centralized scheduling, shared workflows and reporting.

EventPro may suit organizations that want custom pricing based on modules, users, rooms, training and organizational requirements, and need its broad platform coverage, including self-hosted and desktop operating systems.

Pxier Salon is for a different operating context: salons needing appointment scheduling, client CRM, point of sale and payment integration rather than venue booking workflows.

Tripleseat is a paid alternative with a stated price of 375.00 USD per month per venue, unlimited users and integrations, and full feature access without paywall tiers.

Velsa offers a free, self-hosted Community Edition with the full product and community support but no SLA; it is a different choice for teams willing to host and support the system themselves.

Verdict

Events500 is a strong candidate for UK venues that want booking administration, customer documents, event planning and reporting tied together, with an API for connecting core booking workflows. Its venue-specific breadth and guided setup are the main reasons to choose it. Look elsewhere if a transparent upfront price or a free entry plan is essential, or if the venue prefers a self-service implementation.
