Overview

Zoho Backstage brings planning, promotion, attendee management, and event delivery together for in-person, virtual, and hybrid events. It suits teams that need more than registration alone, particularly organizers coordinating speakers, exhibitors, sessions, and attendee experiences. Its breadth and REST API are useful, but event-day and attendee caps make plan fit an important early decision.

Key features

Backstage covers planning, ticketing, registrations, onsite check-in and badging, exhibitor tools, and event analytics. Session tracks, room scheduling, and speaker management support events with multiple program strands, while templates and customizable domains, URLs, and pages give organizers control over event websites without limiting the product to a schedule or signup form.

Zoho says ticket sales carry zero commission, which is a practical advantage for ticketed events. For virtual and hybrid programs, Backstage OnAir includes livecasting, attendee chat, polls, questions, screen sharing, and shared documents or presentations. That combination keeps attendee interaction alongside event operations, although teams should assess whether its listed event formats and features match their own production needs.

The REST API can manage events, sessions, speakers, attendees, exhibitors, sponsors, and registrations programmatically. That scope makes Backstage relevant to builders integrating event operations into existing workflows. Paid plans list Zoom Webinar and Meeting, Zoho Meeting, and Google Analytics integrations; Zoho CRM, Flow, PageSense, and SalesIQ are listed for Premium and Ultimate, making those tiers the relevant choice for teams needing those Zoho connections.

Organizer and attendee mobile apps are listed for Android and iOS on every plan. Zoho says personal data is encrypted at rest with 256-bit AES and portal access can be restricted to trusted IP ranges. It also describes GDPR-oriented data access, correction, and deletion options. All plans include 24x5 email support.

Pricing

Backstage is freemium, with a free plan and a 15-day trial. The Free plan costs 0.00 USD per free and caps each event at 100 attendees, 300 RSVP invites, three sessions, three speakers, and one event day. That is a sensible starting point for a small, short event, but the session and duration ceilings rule it out for many larger or multi-day programs.

Essentials has custom pricing and raises the per-event limits to 200 attendees, 800 RSVP invites, unlimited sessions, 25 speakers, 15 sponsors, and three event days. It fits teams building an audience and community that have outgrown the free capacity. Premium, also custom pricing, allows 1,000 attendees, 5,000 RSVP invites, 100 speakers, 50 sponsors, unlimited sessions, and five event days; it is aimed at event professionals and adds the Zoho CRM, Flow, PageSense, and SalesIQ integrations.

Ultimate uses custom pricing and expands limits to 5,000 attendees, 30,000 RSVP invites, 200 speakers, 100 sponsors, unlimited sessions, and 15 event days. Its capacity suits organizations and agencies planning events of varied types and sizes. The trade-off across the paid tiers is that their prices are custom rather than fixed, so buyers must weigh higher capacity and plan-specific integrations against the cost of a quote. Organizer and attendee apps and 24x5 email support are included across all four plans.

Platforms

Backstage is listed for web, Android, iOS, and API use. The mobile apps serve both organizers and attendees, while the REST API provides a programmatic route for teams incorporating event records and registrations into their software workflows.

Who it's for

Backstage is a strong fit for teams that want event operations and attendee-facing tools in one product, especially when a REST API, hybrid participation, exhibitor management, or Zoho integrations matter. Small organizers can start on Free if a single event day and 100 attendees are enough. Community-building teams may fit Essentials; professionals running larger programs have Premium, while agencies and organizations with high attendance or longer events have Ultimate.

It is a weaker fit for buyers who need predictable published pricing before evaluating tiers, or whose event exceeds the Free plan's hard capacity and duration ceilings but does not justify custom pricing. Teams needing only one narrow event function may also find Backstage broader than their requirements.

Pros and cons

Pro: One product spans event websites, ticketing, onsite operations, exhibitor tools, analytics, and virtual engagement, reducing the need to assemble those functions separately.
Pro: The REST API covers key event entities, including registrations, sponsors, and exhibitors, giving builders a path to programmatic management.
Pro: Zoho says ticket sales have zero commission, and every plan includes organizer and attendee apps plus 24x5 email support.
Con: Free is tightly bounded at 100 attendees, three sessions, 300 RSVP invites, and one event day, so modest growth can require a paid tier.
Con: Essentials, Premium, and Ultimate have custom pricing, making plan-cost comparisons less immediate for teams budgeting upfront.

Alternatives

Consider Fourwaves if abstract-submission workflows are central: its free Starter plan allows 25 abstract submissions per year, unlimited registrations and events, with a 3% service fee. Eventation is a paid alternative with a Starter plan at 199.00 USD per month, billed at $199 per month or $1,990 prepaid annually, with a three-month minimum for month-to-month service.

ConfTool may suit smaller non-commercial events seeking a free license for up to 150 participants, with local installation and no support. Sessionize is an alternative for free community events, but its Community event plan excludes internal, private, promotional, marketing, profit, and commercial events. Agorify offers a free plan for up to 200 attendees per event and one data import per event, or an Essential plan at 119.00 EUR per month.

Indico is a free, self-hosted open-source option for teams that prefer that deployment model. Ex Ordo uses personalized quotes, with features and pricing handled through sales. Gythr has a free plan for up to four events per year and 250 attendees per event, with a 3.5% charge on paid tickets plus Stripe processing.

Verdict

Zoho Backstage is best for teams coordinating multi-format events that need attendee tools, operational breadth, and an API in the same platform. Its strongest reasons to choose it are the range of event workflows, zero-commission ticket sales, and programmatic control; look elsewhere if fixed paid pricing or a more specialized event tool matters more than that breadth.
