Overview

GymSales is a lead-management platform for fitness businesses that need to turn web enquiries and guest visits into sales. It is best suited to clubs with staff handling prospect follow-up and a member system they want to connect. Its strength is a fitness-specific workflow spanning capture, outreach and sales reporting; prospective buyers must book a demo to discuss custom pricing.

Key features

Lead capture combines website forms with a branded iPad guest sign-in app and QR-code sign-in, both supporting waiver submission. This gives clubs options for collecting visitor details at reception or through a QR flow. The dedicated guest-waiver app is for iPad, while GymSales describes its main service as web-based.

After capture, teams can automate follow-ups and email, send bulk campaigns, or contact prospects one-to-one by email, SMS and phone. Prospect profiles, salesperson assignment and follow-up tasks make ownership clearer across a sales team. Activity views and sales funnels help managers see how that work is progressing. Retention automation and separate tracking for additional sales, including personal training or childcare, extend the workflow beyond initial membership enquiries.

Reporting covers campaign performance, waiver compliance, daily activity, funnels, team performance and custom sales targets. The breadth is useful for clubs that want to connect outreach with sales activity; a business that only needs a basic contact list may not need this wider sales workflow.

GymSales lists integrations with ABC Ignite, ABC Glofox, ASF, Club Automation, Circuit, Clubwise, Excerp, Gladstone, Gym Master, Hapana, Jonas Fitness, Membr, Mindbody, Motion Soft, Peak Payment and Virtuagym. Existing lead-capture forms can also connect through its API. Teams should confirm that their specific member system and form setup fit before committing. WhatsApp is described as coming soon, so it should not be treated as a current messaging channel.

The terms set a 99.95% monthly uptime target, subject to exceptions including planned downtime and third-party outages. Hosting uses Amazon web and database services. GymSales says it will attempt to respond to support requests within one business day and make reasonable efforts to respond within two hours or less. Its Data Processing Addendum covers personal-data processing, includes standard contractual clauses for applicable cross-border transfers, and requires breach notification without undue delay and within 72 hours of awareness.

Pricing

GymSales subscription: custom pricing. Fees and included services are set out in a subscription agreement, and prospective customers are directed to book a demo rather than choose a published tier. Subscription fees are billed monthly in advance; optional SMS is charged per credit sent. This demo-led, negotiated approach may suit clubs that want to discuss their setup, but it makes direct price comparison difficult before speaking with sales.

Platforms

GymSales supports web, Android, iOS and API access. The web-based service lets staff respond to enquiries from anywhere, while the branded guest-waiver app is specifically for iPad. The API offers a route for connecting existing lead-capture forms. Confirm which integrations and workflows apply to your systems.

Who it's for

GymSales is a strong fit for fitness clubs with a sales team, recurring lead flow and a need to coordinate capture, follow-up and performance reporting. It is less compelling for a solo operator seeking a simple client-management tool, or a buyer who needs transparent self-serve pricing before engaging a vendor.

Pros and cons

Pros: Guest sign-in, waiver capture, campaigns and individual outreach sit alongside prospect assignment and follow-up tasks, giving club teams a connected sales workflow.
Pros: Reporting spans campaigns, waivers, daily activity, funnels and custom targets, useful for managers tracking both outreach and sales execution.
Pros: API form connections and a broad set of member-system integrations can help it fit an existing fitness stack.
Cons: Custom pricing and a demo-first buying process prevent buyers from checking the subscription cost upfront.
Cons: Optional SMS adds per-credit charges, so messaging costs depend on usage.
Cons: The guest-waiver app is iPad-specific; teams expecting a general-purpose mobile sales app should account for that distinction.

Alternatives

For broader category comparisons, see Fitness CRM Software and Gym Marketing Software.

Cratio CRM is worth considering if an annually billed CRM plan with a five-user minimum better matches the team’s buying needs.
Smarfle may suit a solo operator who wants a month-to-month plan capped at one user and 100 clients.
WinChilla is another paid option for buyers comparing platforms in this category.
Boost CRM may appeal to teams seeking a prospect pipeline and follow-up automations under a one-year, annually billed commitment.
BuddyPT Fitness CRM is a better starting point for buyers who need a free tier capped at 10 clients.
FitJoy is a web-based alternative with an AI sales agent and lead follow-up across SMS, WhatsApp and email.
GymCRM may fit smaller gyms looking for a low-cost monthly plan with member limits.
GymLeads is an alternative for buyers prioritizing unlimited users, leads and locations on a monthly license.

Verdict

Choose GymSales if your fitness club needs a coordinated process for capturing visitors, assigning follow-up and measuring sales activity, especially when its integrations fit your member system. Look elsewhere if published pricing or a simple solo workflow is essential; the demo-led custom subscription makes cost harder to assess in advance.
