Overview

Businesses can adapt existing waiver wording, publish it for signing, and share it through a link or QR code. Participants sign on their phones and receive a signed PDF receipt automatically; staff can search records by name, email, waiver, status, or location. That combination serves organizations that need to collect consent and later retrieve individual records without managing a folder of documents.

The iPad kiosk can collect signatures offline and sync them to the dashboard when connectivity returns, a practical advantage for venues with unreliable internet. WaiverChaser also says it connects to Calendly to email clients a mapped waiver after they book. The REST API uses OAuth 2, but API access is currently through the Zapier integration, while integrations such as Zapier are described as coming soon on the pricing page. Teams planning direct or dependable automated connections should confirm the route before making it central to their stack.

Key features

Signing and waiver management

The builder lets a business bring its existing wording, edit it, and publish a signing flow. Phone-based signing through links and QR codes gives participants a self-service option; the iPad kiosk provides an in-person alternative that does not depend on a live connection. Minor consent is supported, making the product relevant to camps and youth sports as well as adult-facing businesses.

Records, receipts, and integrations

Search across names, email addresses, waivers, status, and locations helps staff find a submission using the information they are likely to have at hand. Automatic PDF receipts give participants a copy. Calendly's mapped-waiver email flow can connect booking to waiver collection, but the API's current Zapier access is a qualification for teams seeking more direct integration control.

The privacy policy describes encryption in transit, access controls, and secure storage practices. It says personal data is not sold, though information may be shared with service providers needed to run the service. Support is offered by email and through a documentation hub.

Pricing

WaiverChaser is freemium, with a free plan capped at 50 waivers per month. That gives a small operation room to begin collecting digitally, but the cap makes it a limited fit for busier venues unless they move to a paid tier.

Starter: 15.83 USD per year, billed $190/year; 250 waivers/month, then $0.10 per additional waiver.
Pro: 40.83 USD per year, billed $490/year; 1,000 waivers/month, then $0.10 per additional waiver.
Enterprise: 82.50 USD per year, billed $990/year; 2,500 waivers/month, then $0.10 per additional waiver.

All paid plans include unlimited team members and locations, custom signing page branding, request emails, signing status tracking, PDF receipts, and QR code and link sharing. Those shared features mean the choice is chiefly about monthly volume; unlimited seats and locations avoid a per-staff or per-site ceiling, while the $0.10 overage makes sustained traffic above quota a cost to account for. The stated annual billing amounts are the terms to compare against expected yearly submissions.

Platforms

WaiverChaser supports web, iOS, and API. Its iPad kiosk is particularly useful where internet access is inconsistent, while web access supports the dashboard and record search. The API's current availability through Zapier is less compelling for teams that require direct API integration.

Who it's for

Gyms, studios, camps, personal trainers, teams, events, and small businesses can use WaiverChaser to collect and retrieve participant waivers. It is a stronger fit for organizations that value offline kiosk collection, phone signing, and multi-location records than for teams whose primary requirement is an established direct API connection or high volume without per-waiver overages.

Pros and cons

Pros: Phone signing, automatic PDF receipts, searchable records, and an offline iPad kiosk cover both remote and on-site collection.
Pros: Paid plans include unlimited team members and locations, so expanding staff or sites does not use up a seat or location allowance.
Cons: Monthly waiver caps apply even on paid plans, and each additional waiver costs $0.10.
Cons: API access currently runs through Zapier, which may constrain teams expecting a direct integration path.

Alternatives

Gym Waiver Software is a category directory for readers who want to compare waiver products more broadly. Choose WaiverTrail if its free allowance of 10 counted waivers per month and one published template is enough for a smaller operation.

WaiverDrop may suit teams prioritizing its forever-free 10-waiver monthly tier, unlimited templates, document packets, kiosk and touchless modes, and webhooks. WaiverForever offers a free tier with 20 submissions per month, a lower-cap alternative for lighter usage.

Happy Waiver is another freemium option with a free trial and a plan starting at $5.00 per month. OtterSign is worth considering for buyers who prefer a paid-only product with no free plan or trial. Smartwaiver is a paid option with a free trial, while WaiverElectronic is another paid option with a free trial. Wodify is a paid alternative for readers comparing waiver tools with a broader platform choice.

Verdict

WaiverChaser is a sensible choice for gyms, studios, camps, and other organizations that need phone signing, searchable waiver records, and offline iPad collection across locations. Its clearest strengths are the practical collection options and unlimited paid-plan seats and locations. Look elsewhere if a monthly quota with $0.10 overages is hard to forecast, or if your workflow depends on direct API access rather than the current Zapier route.
