Overview

WildApricot combines a contact database, renewal automation, invoicing, recurring payments, member self-service, event registration, and email communications. That breadth can reduce the need to coordinate separate tools for recurring membership work and events. The tradeoff is that organizations with more than 100 contacts must move beyond the entry plan; the pricing page offers contact-count options up to 50,000.

The trial lasts 60 days and requires no credit card, giving teams a practical window to see whether the combined workflows fit their organization before paying.

Key features

Membership and payments

The member database, automated renewals, invoices, recurring billing, and self-service cover the ongoing administrative cycle of a membership program. Subscription billing supports both monthly and annual terms. WildApricot charges no per-transaction platform fee, but payment-provider fees still apply.

Personify Payments handles membership, event, donation, and sales payments. Its stated card rates are 2.99% + $.30 for Visa, MasterCard, and Discover, and 3.5% + $.30 for AMEX. Those rates belong in a budget alongside the subscription, particularly for organizations that process frequent or high-value payments.

Events and communications

Custom registration forms, online payments, reminder emails, and attendance tracking make the event tools useful for groups that run registrations alongside membership administration. Email templates can be customized, while scheduled and automated messages and performance tracking support ongoing outreach. These capabilities make the suite broader than a contact database, though teams should weigh that convenience against the 100-contact entry limit.

Integrations, security, and mobile

WordPress widgets and single sign-on, Make and Zapier workflows, webhooks, and admin and member APIs provide several routes to connect WildApricot with an existing stack. The range is a strength for teams needing integrations, but the relevant fit will depend on their specific workflow.

WildApricot says traffic is encrypted with HTTPS, its cloud infrastructure runs on AWS, and the service is certified Level 1 PCI DSS compliant. Separate administrator and member mobile apps include event, profile, directory, and payment features. Custom domains are supported, and content gating can be applied at the page level.

Pricing

WildApricot is paid software with no free plan. The stated entry option, 100 Contacts, costs 66.00 USD per month on monthly billing and includes a cloud-based membership and contact database plus full customer support. The 100-contact cap makes it a fit for smaller organizations; teams with larger lists need a higher contact-count option, with capacity choices extending to 50,000.

Every plan includes full customer support at no extra cost, and onboarding coaches are offered during the free trial. There is no credit-card requirement to start the 60-day trial. The listed payment-provider card rates remain separate from the subscription price, even though WildApricot itself has no per-transaction platform fee.

Platforms

WildApricot is available on web, Android, and iOS, and provides APIs. The separate administrator and member apps extend event, profile, directory, and payment tasks to mobile, while the browser-based service and APIs provide options for desk-based and integrated workflows.

Who it's for

WildApricot fits small membership organizations such as associations, chambers of commerce, nonprofits, event professionals, YMCAs, and JCCs. It is particularly relevant when a team wants membership records, renewals, events, communications, and payments managed together, and values mobile access and integration options.

It is a weaker fit for organizations whose contact base exceeds the entry plan and whose budget depends on a free tier or lower-cost starting point. Groups should also account for payment-provider fees rather than treating the absence of a platform transaction fee as fee-free processing.

Pros and cons

Broad operational coverage: Membership records, renewals, billing, events, email, and payments sit in one service, which can simplify administration for small organizations.
Useful integration paths: WordPress, Make, Zapier, webhooks, and APIs give teams multiple ways to connect existing systems.
Trial and support: A 60-day trial without a credit card and full support on every plan lower the barrier to evaluating and adopting the service.
Entry plan cap: The $66.00 USD monthly plan is limited to 100 contacts, so organizations with larger databases must consider higher contact-count options.
Processing costs remain: Payment-provider fees apply, including the stated card rates for Personify Payments, despite no WildApricot per-transaction platform fee.

Alternatives

Join It is worth considering when a lower monthly starting price and a higher stated member allowance matter more: its Starter plan is 29.00 USD per month for 250 members and 3 admin seats. GatherAMS offers a Club plan at 45.00 USD per month, billed $486 billed yearly, for up to 250 contacts, with all modules, unlimited admins, live chat, and any processor; it may suit groups prioritizing those terms.

Mybers has a free forever Starter plan with unlimited members and 500 emails per month, making it a candidate for organizations seeking a no-cost starting point. Pelcro also offers a free plan for 100 customers, while its Advanced plan is 450.00 USD per month for up to 2,000 customers. Raklet provides a free option capped at 100 contacts, one admin seat, and 1,250 free emails per month, which may appeal to a small team that can work within those limits.

Zen Planner, TeamUp, and GymMaster are alternative platforms to compare for your organization's needs.

Verdict

WildApricot is a strong choice for a small association or nonprofit that wants membership administration, events, communication, and payments consolidated, with mobile apps and integration options. Its main draw is that breadth plus a 60-day trial and included support; its clearest reasons to look elsewhere are the 100-contact entry cap, the $66.00 USD monthly starting price, and payment-provider fees.
