Overview

HOA Messenger brings resident communications, records, maintenance coordination, payments, and accounting into one service for U.S.-based homeowners associations and similar organizations. It is a strong fit for managers seeking broad day-to-day coverage with an ongoing free option; the 90-day visibility cap and lack of direct integrations may make it a poor fit for teams that rely on long-term records or connected property-management systems.

The service combines several useful workflows, including resident messaging, document access, dues collection, violation tracking, and vendor work orders. That breadth is valuable for smaller teams that want fewer separate tools, but accounting and other resident-facing capabilities sit in paid plans.

Key features

Communication and resident access

Managers can send individual or broadcast messages by push notification, SMS, or email. Residents can access HOA documents privately, and the service includes a private mobile portal and a mobile app for violation tracking. Premium adds a website-based resident portal and document folders. The combination covers routine announcements and access to records, though teams needing direct connections to Entrata, Yardi, AppFolio, or QuickBooks will need another arrangement: HOA Messenger does not integrate directly with those platforms.

Maintenance, payments, and mail

Managers can issue vendor work orders and receive automated updates as jobs are accepted, scheduled, and completed. Residents can pay by credit card or ACH bank transfer. The Mail feature also lets an association submit a PDF for USPS printing and mailing and monitor the request, which supports notices that need postal delivery alongside digital communication.

Accounting and administration

Premium adds double-entry accounting, budgeting, financial reports, chart customization, resident invoicing, and assessment tracking. Vendor bill pay supports electronic payments and paper checks, with approval workflows. These tools give associations a broader administrative toolkit, while the Admin plan adds receivables and payables administration, monthly bank reconciliation, and AR/AP support via chat. Associations that already depend on a dedicated accounting or property-management system should weigh the missing direct integrations before consolidating around HOA Messenger.

Pricing

HOA Messenger uses a freemium model. The Free plan costs $0 per month, lasts as long as users want, requires no credit card, and includes unlimited HOAs, unlimited residents, co-manager access, and 90-day visibility. That is a generous way to start or support basic coordination, but the visibility limit is consequential for associations that need older records readily available.

Premium costs $25.00 USD per month, billed monthly. It includes everything in Free, plus double-entry accounting, vendor bill pay, budgeting, resident invoicing, assessment tracking, financial reports, document folders, a web resident portal, and intelligent auto response. A 30-day Premium trial requires a credit card; billing starts after the trial ends. Premium is the better fit when financial administration and fuller resident access justify a recurring fee.

Admin costs $399.00 USD per month, billed monthly, and adds receivables administration, payables administration, a public-facing HOA landing page, monthly bank reconciliation, and AR/AP administrative support via chat to Premium features. The annual Admin option costs $3,828.00 USD per year, equivalent to $319.00/month billed annually, with the same feature set. Admin is aimed at associations that want administrative support as well as software; smaller teams may find Premium's self-service tools sufficient.

Platforms

HOA Messenger is available on Android, iOS, and the web. Its mobile app supports violation tracking, while residents can use private mobile access and Premium's web portal. The listed payment and communication services include credit card and ACH transfers, push notifications, SMS, and email. Twilio, Plaid, and Stripe are identified as third-party API services used for certain product features; these are not direct integrations with the property-management platforms noted above.

Who it's for

HOA Messenger suits U.S.-based association managers who want resident communications, maintenance workflows, document storage, and dues collection in one place, with a free tier for basic coordination. Premium makes more sense when accounting and resident invoicing are needed. Admin is for associations that value receivables and payables administration, reconciliation, and chat-based AR/AP support. It is less suitable for teams whose workflow depends on direct links to Entrata, Yardi, AppFolio, or QuickBooks, or for those who need more than 90 days of visibility on the Free plan.

HOA Messenger says it does not sell personal information to third parties and uses reasonable and appropriate safeguards, while noting it cannot guarantee absolute security for internet data transmission. The Help Center offers Zoom or phone calls with a team member for questions.

Pros and cons

Pros: Free access has no time limit and supports unlimited HOAs and residents, making it practical for basic coordination without a subscription.
Pros: Messaging across push, SMS, and email, plus work-order updates and postal mailing, covers a wide range of resident and maintenance communications.
Pros: Premium combines accounting, budgeting, bill pay, invoicing, and assessment tracking rather than limiting the paid tier to resident communications.
Cons: Free-plan visibility ends at 90 days, which can constrain ongoing record access.
Cons: There are no direct integrations with Entrata, Yardi, AppFolio, or QuickBooks, limiting fit for teams built around those systems.
Cons: Premium's 30-day trial requires a credit card and automatically begins billing when the trial ends.

Alternatives

For a focused accounting comparison, start with the HOA Accounting Software list; for violation workflows, use the HOA Violation Management Software list. The broader HOA Management Software list is the better starting point when you want to compare all-in-one options.

Choose CommunityPay if a free public API with 50 requests per hour for statute lookup, thresholds, compliance profiles, and topics is the priority. CondoAide is an alternative with Android, iOS, and web support and a free tier capped at five units, one building, two admin users, 1 GB storage, and 20 AI requests per month.

MoneyMinder may suit associations looking for free budgeting tools, a custom chart of accounts, budget forecasting, and Excel export. ResLife Finances offers a free operations layer for every association and user, with online collection fees applying. GProps System is another freemium option for Android, iOS, and web.

HOA Simplify offers a Community plan at $79.00 USD per month for up to 50 units, with basic accounting and billing and a resident portal. EasyHOA is a paid option with monthly plans tiered by unit count. SMPLR HOA is worth comparing if a community wants per-home pricing, with a stated $25.00 USD per month annual rate at a 25-home minimum and a $32/month monthly-billing option.

Verdict

HOA Messenger is a sensible choice for U.S. association managers who want broad communications, maintenance, payment, and accounting capabilities, with a free plan that remains available indefinitely. Its strongest reason to choose it is the breadth of workflows and unlimited HOA and resident counts at no cost; its clearest reasons to look elsewhere are the 90-day free visibility limit and lack of direct integrations with major property-management platforms.
