Overview

PayProp is a bank-integrated payments and reconciliation platform built for letting agents. It suits agencies that want rent collection, owner disbursements, arrears follow-up and repair tracking in a single workflow. Its strengths are automated payouts, live payment status and unlimited user accounts; the portfolio-based setup charge and processing-volume fee make cost less straightforward than the monthly license alone suggests.

Key features

Agents can set rules for distributing rent to landlords, contractors, commission recipients and others, with payouts potentially made on the day rent arrives. Same-day payout capability can shorten the wait between tenant payment and recipient payment, while automated reconciliation reduces manual handling. The trade-off is that processing volume affects the service fee, so the license is only part of the cost.

Live payment status and email and text reminders give teams a way to identify and follow up on arrears. Online maintenance tickets track repair progress, notify users and support communication with tenants. A tenant payment portal rounds out the payment workflow, though the platform’s stated focus is agency operations rather than a broad set of general-purpose property-management tools.

Integrations include Xero, Nexus, Homebox, Fixflo, Mailchimp, PadBoss, Property Inspect, Averly and Automated Accounting. Agencies can also build integrations through a documented API, making PayProp more adaptable to an existing stack than a closed payment workflow. PayProp says transaction information is encrypted with 256-bit SSL certificates and its application runs behind round-the-clock monitored firewalls. Its UK site says client funds are held in designated CMP-recognised NatWest client money accounts; FSCS protection may apply subject to eligibility and prevailing rules.

Pricing

The License plan costs 40.00 USD per month, billed monthly, and includes unlimited user accounts. That is a clear baseline for agencies with multiple staff, since adding users does not add a per-seat charge. PayProp has no free plan, so even a smaller agency must take on a paid license.

A separate Monthly service fee is less than 1% of processing volume. A once-off setup fee is $660–$2,250, based on portfolio size. The UK PayProp pricing is custom pricing, with a monthly service fee under 1% of processing volume, a one-off setup fee of £600 - £2,000 based on portfolio size, and a license from £79/pm. These portfolio- and volume-based charges matter: agencies should compare their expected total cost, not just the license, before committing.

PayProp says its platform experts provide onboarding and support to agencies. No free tier means the product is best assessed as an operational system for an established portfolio, rather than a low-commitment tool for an individual landlord.

Platforms

PayProp supports Android, iOS, web and API access. Its pricing page says it is optimized for desktop, tablet and mobile phone use, so agents can work across office and mobile contexts. API support and named integrations are useful for teams that need payments to connect with accounting or property systems already in their stack.

Who it's for

PayProp is best suited to letting agencies managing rent and client-money workflows across a portfolio, especially those that need regular landlord and contractor disbursements, arrears reminders and maintenance coordination. Unlimited user accounts make it practical for teams without seat-based cost growth. It is a weaker fit for landlords seeking a free or low-cost entry point, or buyers who want a straightforward fixed total before processing volume and portfolio size are factored in.

Pros and cons

Pros: Rule-based disbursements can send funds to landlords, contractors and other recipients on the day rent is paid, reducing payout lag.
Pros: Unlimited user accounts are included with the monthly license, avoiding per-seat charges as an agency adds staff.
Pros: A documented API and integrations spanning accounting, maintenance and property tools support connection to an existing agency stack.
Cons: The license does not represent the full cost: processing volume drives a separate service fee, and portfolio size determines a substantial one-off setup charge.
Cons: There is no free plan, which makes PayProp harder to justify for very small portfolios or users who only need basic rent collection.

Alternatives

For a wider rent payment software comparison, consider the payment workflow and total fee structure alongside PayProp’s agency-oriented disbursements. The property management software category is a better starting point if the priority is a broader management system.

MagicDoor is another paid option, with pricing starting at 1.50 USD per month on its Advanced plan with a one-year contract and pricing starting at 25 units. DoorStax offers a free trial and a Property Manager Plan priced at 3.00 USD per month. Dawzer RMS is worth considering for a small portfolio that can fit its permanent free plan, which supports up to 3 units and includes every feature.

Rentberry has a free tenant plan covering rent negotiation, maintenance requests, property tour requests, eSign and cloud storage, making it a different fit for tenant-facing needs. Baselane Rent Collection offers a free Core plan with banking and bookkeeping essentials plus automated rent, reminders and late fees. EstateDeck has a free DIY Landlord plan capped at 5 units, while RentMerchant has a free plan for up to three properties and a Pro option with unlimited properties and units.

RentPay is a free rent-payment account with no monthly fee, signup fee or money-transfer fee, though it applies transaction fees for listed payment methods. It is a more relevant comparison for users focused on payment fees than on PayProp’s broader agency disbursement and arrears workflow.

Verdict

Choose PayProp if you run a letting agency and want automated rent distribution, arrears follow-up and repair tracking connected to an API-capable platform, with no extra charge for additional users. Its clearest reason to look elsewhere is cost: a $40.00 USD monthly license sits alongside a volume-based service fee and a portfolio-based setup charge, while no free plan lowers the stakes for trying it first.
