Overview

OpenEduCat is a modular platform for managing academic and institutional operations, from student information to campus services. It suits institutions looking to bring those functions together and that can either run their own infrastructure or budget for a paid deployment. Its uncapped Community Edition is a strong starting point; the key caveat is that every paid deployment requires Core.

Key features

The platform offers more than 70 modules on a single database, including support for assessments and certificates. Native integrations connect admissions, fees, library and hostel systems, while the student information system supports real-time collaboration around student data. That breadth can reduce the need to coordinate separate institutional systems, though buyers should map their requirements carefully: modular pricing means paying for the features they need, not simply choosing one all-inclusive package.

Community Edition supports SCORM, xAPI and LTI 1.3, as well as SAML, Shibboleth, OAuth2, Azure AD and Google Workspace sign-in. API access adds another route for connecting it to an existing stack. These are substantial interoperability options for a free edition, particularly for institutions that need established learning standards or identity providers.

OpenEduCat supports cloud and on-premise deployment. Institutions own their data, and self-hosting does not impose student limits or require license call-home. The company describes its security practices as FERPA-aligned and cites audit trails and enterprise-grade security; institutions should still assess those claims against their own compliance and operational requirements. Self-hosting is supported on Linux with Python 3.10+ and PostgreSQL 14+, so the infrastructure choice comes with a concrete maintenance burden. Android and iOS apps extend access to mobile devices. Voice, WhatsApp and live chat are contact options.

The Free Edition is licensed under LGPL-3.0, with source code public on GitHub. OpenEduCat reports more than 3 million users across over 90 countries and says it was founded in 2014 and is headquartered in India.

Pricing

Community Edition costs 0.00 USD per free, with no time limit and no learner cap. There is also no course or assignment cap, but actual capacity depends on the hardware. That makes it a credible option for institutions able to host and support the system themselves. A 15-day trial is offered without a credit card. The site states a No Refund Policy, so paid buyers should settle requirements and deployment plans before committing.

Paid deployments require OpenEduCat Core. Core — 1 Year costs 489.00 USD per year, billed annually. Modules & Apps — 1 Year costs 79.00 USD per year, billed annually, and covers modular education features, with Assignment, Classroom, Exam and SSO among the examples. Institutions can add modules as needs grow, and the pricing pages state there are no per-student fees.

The two-year options list Core at 978.00 USD per year and Modules & Apps at 158.00 USD per year; both say buy two years, get the third year free. The 25 Users Cloud Pack costs 29.00 USD per year on the one-year option, or 58.00 USD per year on the two-year option, which also carries the third-year offer. Both packs are cloud only and capped at 25 users, making them a limited fit for small deployments rather than a substitute for an institution-wide capacity plan.

For on-premise licensing, Core — One-Time On-Premise is priced at 1319.00 USD per month and is required for every deployment; Modules & Apps — One-Time On-Premise costs 208.00 USD per once. Institutions should confirm how those one-time terms apply to their purchase, especially since Core is described as a required base. The no-refund policy makes that clarification consequential.

Platforms

OpenEduCat supports Android, iOS, API access, Linux and self-hosting. Cloud hosting is also available. For self-hosting, the stated requirements are Linux, Python 3.10+ and PostgreSQL 14+.

Who it's for

OpenEduCat is best suited to institutions that want student records, learning features and campus operations connected in one modular system, and that value data ownership, standards support and a choice of deployment model. Community Edition especially suits teams with the technical capacity to host and maintain it. Institutions wanting managed cloud deployment can consider the paid cloud options, but should account for the 25-user cap on the named Cloud Pack and the required Core cost.

It is less compelling for buyers seeking a simple, narrowly scoped scheduling tool or those unwilling to take on self-hosting and infrastructure decisions. Its broad module catalog is useful when several systems need to work together, but unnecessary scope can complicate selection if the need is limited to one task.

Pros and cons

Pro: Community Edition has no learner, course or assignment cap and no time limit, making it a substantial no-cost option for institutions with suitable hardware.
Pro: SCORM, xAPI, LTI 1.3, multiple SSO options and API access give teams useful paths to connect learning and identity systems.
Pro: Cloud and on-premise deployment, plus institutional data ownership, give organizations control over hosting and data stewardship.
Con: Paid deployments require Core at 489.00 USD per year on the annual option, so the free edition's economics do not carry over to paid use.
Con: Free-tier capacity depends on hardware, and supported self-hosting requires Linux, Python 3.10+ and PostgreSQL 14+; organizations without infrastructure expertise may prefer cloud.
Con: The No Refund Policy raises the stakes of choosing modules and deployment terms correctly before purchase.

Alternatives

For academic scheduling specifically, UniTime is a free open-source option with commercial support available for a fee, making it worth considering when scheduling is the primary need rather than a wider institutional system.

Oakslot may suit a school focused on timetable scheduling that wants a defined starter package: its Starter plan costs 499.00 USD per month and covers one campus and up to 5,000 students, with a hard-constraint solver, approval workflows, CSV import, iCal feeds and an audit log. Skoolia offers an AI Timetable plan for 39.00 USD per month, capped at one school, 10 active timetable projects, 150 active staff and 100 active classes, for teams whose requirement is timetable planning within those limits.

Wise Timetable is another scheduling alternative, with a published licence price of 90.00 EUR per month and broad platform support including self-hosting. For exam scheduling on a small scale, SchoolKit Exam Timetable Builder has a free plan capped at 20 subjects, 10 rooms and two time slots per day. FET is a free option with no stated usage limits for institutions comparing timetable tools across Linux, macOS or Windows. UniversiTools Schedulers is a paid web-based alternative whose scope and pricing require a separate proposal or agreement.

Verdict

OpenEduCat is a strong fit for institutions that want a broad, modular system with data ownership, standards support and a genuine uncapped free edition. Choose Community Edition if your team can manage the hardware and self-hosting; choose paid plans only after accounting for required Core, module selection and the no-refund policy. Institutions seeking only scheduling software or a low-commitment managed service should compare narrower alternatives first.
