Overview

KanbanFlow combines configurable work boards with time tracking and flow reports, making it more useful for teams that want to examine their delivery process than for those seeking only a simple shared task list. Work-in-progress limits and forecasting can support process decisions, but their value depends on keeping task data current. The main trade-off is that important connection and security features are reserved for the paid plan.

Key features

Boards built around a team's process

Boards support customizable columns, swimlanes, subtasks, task relations, filters, recurring tasks, and work-in-progress limits. Custom card fields and automation rules add ways to structure and manage work. This breadth can accommodate a defined team workflow without requiring every task to follow the same simple path. Guest access is also supported, which can help when people outside the core team need board access.

Time tracking and flow analysis

Users can record task time with a Pomodoro timer, stopwatch, or manual logging. Reports include cumulative flow, burndown, throughput, cycle time, lead time, and Monte Carlo forecasting. That mix is a practical strength for teams that want to inspect delivery patterns as well as effort; it is less relevant if the goal is only to assign and complete tasks.

Import, export, and connections

Excel and CSV imports, plus Excel, CSV, XML, and JSON exports, offer ways to move structured data in and out. Email task creation and Zapier provide additional routes for connecting work. The REST API and webhooks are Premium features, so teams that need programmatic access should budget for the paid plan rather than assume the free board is enough.

Premium users can attach files from Dropbox, Google Drive, OneDrive, and Box. KanbanFlow retains links and metadata for those attachments, not the file contents, so the integrations connect to external storage rather than replacing it.

Security and availability

Web traffic uses TLS/SSL, stored databases and backups are encrypted on devices, and backups are made daily in two geographically separated locations. Premium adds two-factor authentication and access to a geographically separated backup system if the normal site is down. The service does not guarantee availability, which matters to teams weighing it for work that depends on uninterrupted access.

Pricing

KanbanFlow uses a freemium model with a 14-day trial. The Free plan costs 0.00 USD per free, has no time limit, and includes a Kanban board and Standard support. It is a sensible starting point for individuals or teams validating a board-based workflow, but it gives up Premium features including API and webhooks, integrations, two-factor authentication, custom permission roles, and Priority support.

Premium costs 5.00 USD per month, with a 10% discount when paying per year. It fits teams that need those additional connections or controls, or want Priority support. For a team subscription, one person signs up, invites the other users, and pays for the team. That arrangement centralizes billing rather than requiring each teammate to subscribe separately.

Platforms

KanbanFlow is available on the web and offers a mobile web app for phones; its site also links to mobile apps for iPhone and Android. The service supports an API, with API and webhook access included among Premium features. The mobile-web option broadens phone access, while the lack of a dedicated mobile app in the listed platform set may be a drawback for teams that prefer native apps.

Who it's for

Choose KanbanFlow if you want configurable Kanban boards plus time records and flow metrics, especially when your team is prepared to review those metrics and keep task data meaningful. The free plan is a low-commitment way to begin. Look elsewhere if native mobile apps are essential, if you need API access without a subscription, or if guaranteed service availability is a requirement.

Pros and cons

Pros: Work-in-progress limits, custom fields, swimlanes, and task relations support workflows more structured than a basic board.
Pros: Timer options and reports spanning throughput, cycle time, lead time, and forecasting help teams examine both effort and flow.
Pros: A free plan has no time limit, and Premium offers API and webhook access, integrations, two-factor authentication, and custom permission roles.
Cons: API, webhooks, integrations, and two-factor authentication require Premium, limiting the free plan for teams with stronger stack or account-security needs.
Cons: Premium file attachments point to external storage; KanbanFlow does not store the attached file contents.
Cons: The platform set lists no dedicated mobile apps, and service availability is not guaranteed.

Alternatives

PLANKA is a self-hosted option through its free Community edition, with a Pro Self-Hosted plan priced at 36.00 EUR per month.

SwiftKanban may fit a small team looking for a free tier with defined caps: its Team plan allows 3 users and 2 boards, with basic metrics.

Trello is another freemium option, with its Free plan allowing up to 10 collaborators and 10 boards per Workspace, plus 10MB per file and 250 Workspace command runs.

WeKan may be a fit if you want a free option that also has a self-hosted edition; its WeKan app plan is free and has no admin access.

Verdict

KanbanFlow is a good fit for individuals and teams who want a flexible Kanban workflow paired with time tracking and practical flow analysis. The free board makes it easy to start, while Premium is the route to API access, integrations, and stronger account controls. Choose another tool if native mobile apps, free API access, or guaranteed availability are essential to your setup.
