Overview

RFP360.AI is an AI-powered platform for buyers and suppliers managing requests for proposals, information, and quotations. It is best suited to teams that need both structured RFP workflows and AI-assisted response or evaluation; its main trade-off is that AI output still needs human review.

Buyers can create RFPs, RFIs, and RFQs using templates, approval workflows, and configurable scoring criteria. Suppliers can draft responses with suggested answers drawn from reusable knowledge-base content. The product covers both sides of the process, but the two workflows have distinct plans and response or publishing limits.

AI scores supplier responses against criteria, flags outliers, and produces executive summaries. Analytics add win-rate tracking, proposal engagement, vendor benchmarking, supplier scorecards, and historical analysis. These tools can help teams organize comparisons, but the platform cautions that AI results may be inaccurate, incomplete, or biased; users remain responsible for decisions based on them.

Key features

For buyers, configurable criteria and approval workflows bring process structure to solicitation and evaluation. Supplier-side reusable answers and attachments can reduce repeated drafting, while a supplier portal supports response collection. The available quotas matter: low-volume suppliers may manage on a small plan, but teams handling more than five responses a month will need a different arrangement.

Native two-way sync with Google Drive and Microsoft OneDrive appears in plan descriptions; the buyer intelligence plan also names Salesforce and HubSpot. Security features include AES-256 encryption at rest and in transit, role-based access, SSO, audit trails, access logs, version histories, and data residency and retention controls. The privacy policy says personal data is not used to train AI models or shared with third parties for that purpose.

Pricing

RFP360.AI uses a freemium model, with paid plans starting at $100 per RFP. The free tier splits by role: Supplier Free Plan is 0.00 USD per free, billed monthly, for 1 RFP response and 1 user seat; Buyer Free Plan is 0.00 USD per free, for 1 RFP publish and up to 1 user seat. These are useful for trying a single workflow, but their one-response or one-publish caps make them unsuitable for sustained activity.

The Pay-per-RFP plan costs 100.00 USD per once, billed per RFP, and includes up to 50 reusable answers or attachments, 1 teammate, and 200 AI credits. It suits an occasional buyer better than a team with recurring solicitations.

Supplier Starter costs 199.00 USD per month for 2 responses per month and up to 2 seats. Supplier Professional is 299.00 USD per month for 3 responses and up to 3 seats. Supplier Enterprise is 399.00 USD per month for 5 responses and up to 3 seats. A separate Supplier pro plan also costs 399.00 USD per month, with 5 responses, up to 5 seats, and 1,000 AI credits. The similarly named tiers make it important to match the seat and credit allowance to the exact plan rather than price alone.

Buyer intelligence plan costs 499.00 USD per month for up to 5 seats and 1,200 AI credits. Buyer Intelligence has custom pricing and includes 5 RFP publishes per month and up to 5 seats. Custom enterprise plan has custom pricing based on needs and adds custom integrations and API, a dedicated account manager, personalized onboarding, and priority support.

A 30-day free trial offers full feature access without a credit card, plus a dedicated customer success manager and 24/7 support and training resources. The trial is more useful for assessing workflows than the capped free plans, though ongoing costs depend on which buyer or supplier plan fits.

Platforms

RFP360.AI supports web and API access. That combination is relevant to teams that need a browser-based workflow or want an integration path; custom integrations and API are specifically included in the custom enterprise plan.

Who it's for

The product is aimed at government and public-sector organizations, suppliers and vendors, enterprises, and mid-market and growth companies. It fits organizations that need repeatable RFP creation, response collection, scoring, or analytics. Buyers seeking only a simple bid-opportunity directory, or suppliers with response volumes beyond the listed monthly caps, should compare other options.

Pros and cons

Pros: Separate buyer and supplier workflows cover creation, response, and evaluation in one platform, reducing the need to manage each stage in a different tool.
Pros: Templates, approvals, configurable criteria, scorecards, and historical analytics support more consistent procurement and review processes.
Pros: The free plans and 30-day full-access trial provide ways to assess the product before committing to a paid workflow.
Cons: Free plans are limited to one response or one publish, while paid supplier tiers top out at five responses per month in the plans described.
Cons: AI suggestions and scoring are decision support, not a substitute for human judgment; inaccurate, incomplete, or biased output remains a risk.
Cons: Several plan names and allowances sit close together, and the enterprise options require custom pricing, complicating quick comparisons.

Alternatives

For a broader comparison, see the RFP Software directory. Choose RFP.ai instead if a lower entry price and browser extension matter: its Starter plan is 49.00 EUR per month, or €40.83/mo billed annually, with 5 users, unlimited projects, 1M tokens, and 1K pages per month. Choose RFP.co if a lower-cost supplier response workflow is the priority: its Starter is 29.00 USD per month for 2 users, 2 active response projects, 1 company profile, and 10 proposal exports a month.

BidNet Direct is another freemium option, with a free Basic plan for Member Agency opportunities, bid browsing and submission, and real-time bid matches. ARCUS eRFX is a paid web alternative. Daliio, eRFX Sourcing Portal, PowerRFP, and RFP Stack are web-based freemium alternatives.

Verdict

RFP360.AI is a strong fit for organizations that need buyer and supplier workflows together, especially where evaluation criteria, approvals, and analytics are part of the process. Its breadth and trial make it worth considering, but teams should look elsewhere if they need high monthly response volumes at predictable cost or expect AI scoring to make decisions without human review.
