Overview

zInspector is a property inspection and reporting platform for property managers coordinating documentation and communication across a portfolio. It suits managers who want inspection evidence, tenant participation, and searchable property records in one workflow. Its breadth is useful, but device charges and the stated limits on encryption deserve attention before rollout.

Supported workflows include move-in, move-out, periodic, annual, renewal, common-area, make-ready, and custom inspections. Inspectors can capture photo and video evidence, including GPS-verified and time-stamped photos, and generate PDF reports. The platform also supports 360-degree imagery, although a compatible camera is a separate purchase.

Key features

Inspection evidence and property records

Photo, video, and signature capture feed into reports that can be shared as PDFs. GPS verification and timestamps can help teams establish when and where images were taken; 360-degree imagery offers a broader view, but requires separate equipment. zData stores searchable property reference details such as appliance serial numbers, paint colors, HVAC specifications, access codes, and finish specifications. That makes the product more useful to managers who need operational records alongside condition reports.

Offline work and AI assistance

Inspections can be completed without Wi-Fi, with data stored on the device and synced after connectivity returns. That is a practical advantage for work in buildings with unreliable reception, though it makes device handling and sync discipline important. zAssistant can transcribe spoken notes, identify conditions, flag action items, and generate a report while an inspector walks through a property. This can reduce note-taking friction, but teams should still review generated reports before relying on them.

Tenant participation and connections

zTenant lets residents complete guided inspections on their phones, add photos and comments, flag issues, and sign remotely. Reminders and roommate collaboration can help coordinate submissions without requiring an inspector to collect every detail in person. Integrations include Google Calendar and Drive, email, Zapier, Claude, Property Meld, OnSight Pros, Rent Manager, AppFolio, Propertyware, Rentec Direct, Rentvine, and Buildium. Developer keys and RESTful endpoints are described for custom connections under the Zapier listing, giving teams a route to connect other systems.

Pricing

zInspector uses a freemium model, with a Basic account for one user and fewer than five properties. That is a narrow but useful starting point for an individual manager or a very small portfolio; it is not a substitute for checking how paid usage will scale as users and device activity increase. The pricing page also offers all core features free for 15 days without a credit card, so teams can evaluate the full workflow before committing.

Additional users incur prorated charges. Logging into the app on more than two mobile devices per user in a month triggers an additional per-user charge, which may matter for staff who rotate devices or use multiple phones and tablets. No numeric paid-plan price is stated, so paid access is custom pricing. The separately purchased compatible 360 camera is another potential cost for teams that need panoramic evidence.

Platforms

zInspector supports web, iOS, and Android, including smartphones and tablets, and lists API access. The mobile apps and offline mode suit field work; the web platform gives portfolio teams another way to work with the system. The API and integrations can help it fit into an existing property-management stack, though teams should account for the stated device-charge threshold when planning mobile deployment.

Who it's for

zInspector is a strong fit for property managers who need recurring inspection types, portable evidence capture, resident-led inspections, and searchable property specifications in one platform. It is less suitable for teams that require specifically encrypted inspection photos, videos, and inspection records: the maker says server communications and account passwords are encrypted, but does not specifically encrypt those inspection assets. The company backs up uploaded photos, videos, and other content daily using Amazon server resources. Users may request account deletion, and crash-reporting data can be opted out of in the app settings.

Pros and cons

Broad inspection coverage: supports routine, turnover, common-area, make-ready, and custom inspections, so teams can use one workflow across different property events.
Useful field evidence: photos, video, signatures, GPS and timestamps, offline capture, and PDF reports support documentation even when connectivity is poor.
Tenant self-service: guided resident inspections with reminders and roommate collaboration can reduce the need to coordinate every inspection in person.
Security trade-off: inspection media and records are not specifically encrypted, a material concern for organizations with strict data-protection requirements.
Usage costs can grow: additional users are prorated, and exceeding two mobile devices per user per month adds a charge; 360 cameras also cost extra.

Alternatives

Inventorai is worth considering for teams that prefer a credit-based option: its 10-credit pack is 25.00 GBP per once, with credits that never expire and can be shared by a team. Inventory Hive offers a 30.00 GBP per month Honey Worker 50 subscription for teams that want unlimited reports across 50 properties and the option to cancel anytime.

InventoryBase may suit a solo operator who wants a defined property allowance: its Solo plan is 35.00 USD per month and includes 100 properties, unlimited reports, unlimited photos, and one user. Property Inspect is another paid option, with a Solo plan at 49.00 USD per month for one user, 100 properties, limited inspections, branded reports, and email support.

Rental Inspector is an alternative with an annual base subscription of 349.00 USD per year for one user, with inspection credits purchased separately. RentCheck is an alternative with per-door monthly pricing. SnapInspect is an alternative whose Premium plan includes AI inspections and API access. DoneTrace offers a free plan with personal checklists, monthly AI draft credits, photo proof, and PDF export for teams whose needs center on checklists rather than property portfolio records.

Verdict

Choose zInspector if you manage multiple properties and want field inspections, tenant self-service, offline capture, and searchable portfolio records tied together, with integrations and API access to connect the workflow to your stack. Look elsewhere if your organization requires specifically encrypted inspection media or if mobile-device charges make deployment across your staff unpredictable.
