Overview

Vikunja covers personal task lists as well as shared project work. Its range of views and task controls make it adaptable to different workflows, while the AGPLv3 self-hosted core keeps the software free to run. The trade-off is operational: self-hosting means taking responsibility for maintenance, updates, and backups, and the mobile app supports only the most basic features.

Key features

Tasks can be organized as lists, Kanban boards, Gantt charts, or tables. Due dates, reminders, repeating schedules, subtasks, labels, priorities, assignments, attachments, and task relations give teams useful ways to structure work without forcing every project into the same view.

Projects can be shared with an individual or a team, and tasks can be assigned. A share link lets people access a project without an account, which lowers friction for collaboration with occasional participants. CalDAV integration supports calendar workflows; migration support covers Todoist, Trello, and Microsoft To-Do.

The self-hosted core is AGPLv3-licensed and free to use. Vikunja says its cloud service is hosted at Hetzner locations in Germany and Finland. The maker also says production access uses two-factor authentication, team access is restricted by job needs, and automated security scanning is used. Releases are GPG-signed, with verification instructions documented.

Pricing

The free self-hosted plan costs 0.00 USD per free, billed Free, forever. It includes unlimited tasks and projects with core features, but users manage the server, maintenance, updates, and backups. That makes it the strongest fit for teams comfortable operating their own software; it is not a hands-off hosting option.

Personal costs 4.00 EUR per month, or 40€ when billed yearly (-20%). It provides 10GB of attachment storage and unlimited lists, tasks, reminders, share links, relations, and filters. It suits an individual who wants cloud hosting and generous task allowances without administering a server.

Family costs 10.00 EUR per month for up to 5 users, or 99€ when billed yearly (-17.5%). It adds shared household projects and includes Personal features, making the fixed-price option relevant to small households that need a shared workspace.

Organization costs 5.00 EUR per month per user, or 50€ when billed yearly (-20%). It includes unlimited teams, 50GB of attachment storage, priority email support, and centralized team billing. Per-user billing suits organizations that need team administration and support, though the cost scales with seats.

The 14-day trial offers a short evaluation window for the paid cloud plans. Pro is in private beta, is not yet available for Cloud accounts, and has custom pricing. Its self-hosted plans range from Homelab to Enterprise; the described capabilities include an admin panel, audit logs on Business, Scale, and Enterprise, and time tracking.

Platforms

Vikunja is available on the web, Windows, macOS, Linux, iOS, and Android, alongside self-hosting and an API. The desktop app is an Electron application for Linux and Windows. The key caveat is mobile parity: the mobile app supports only very basic features, so teams expecting full functionality on phones should weigh that limitation carefully.

Who it's for

Vikunja is a good fit for individuals and teams who value multiple project views, task-level structure, and the option to self-host. Personal suits a cloud-based individual workflow; Family is tailored to small shared household projects; Organization adds per-user cloud hosting, centralized billing, and priority support. Self-hosting is best for operators willing to handle upkeep. Teams that depend on mobile apps for full-featured daily work should look elsewhere.

Pros and cons

Pros: List, Kanban, Gantt, and table views let teams match the project display to the work.
Pros: The free AGPLv3 core supports unlimited tasks and projects for self-hosters, without a subscription.
Pros: Project sharing, assignments, and account-free share links accommodate both internal teams and occasional collaborators.
Cons: Self-hosters must maintain the server, updates, and backups, adding operational work in exchange for free use.
Cons: Mobile apps cover only basic features, limiting Vikunja for teams that need comparable workflows across desktop and phone.
Cons: Organization pricing is per user, so cloud costs rise as a team grows.

Verdict

Choose Vikunja if you want flexible project views, meaningful collaboration tools, and a genuine choice between free self-hosting and paid cloud plans. Its clearest strengths are the self-hosted core and range of task controls; its main drawback is the basic mobile feature set. Look elsewhere if full-featured phone use is central to your team's workflow.
