Overview

SchedulingKit is a booking and scheduling platform for solo professionals and organizations coordinating appointments across a team. It is most compelling when bookings, payments, calendar sync, and custom integrations need to sit in one workflow; the free tier’s narrow caps and the lack of HIPAA compliance rule it out for some users.

The Houston-based maker, ZTABS, was founded in 2022. SchedulingKit says it serves more than 5,000 teams across 40+ countries and supports businesses ranging from therapists and salons to trainers and law firms. Web access is complemented by iPhone, iPad, and Android apps that sync bookings, contacts, and event types.

Key features

Public booking pages support individual and group appointments, two-way calendar synchronization, automated reminders, and online payments. Calendar connections span Google, Outlook, iCloud, Apple, and Exchange. That breadth helps teams keep availability aligned across calendars, though the number of connections is plan-dependent.

Team scheduling combines round-robin assignment, collective availability, and multi-staff scheduling. For businesses handling paid appointments, the platform supports deposits, invoices, and automated follow-ups, with Stripe and PayPal among its payment integrations. Salesforce and HubSpot connect customer workflows, while Zapier opens access to 1,000+ apps. Zoom, Google Meet, Microsoft Teams, and Webex links can be generated automatically.

Developers can use a REST API, real-time webhooks, and an embeddable JavaScript booking widget to connect scheduling to other systems. The separate AI offering spans an AI receptionist, voice agent, chatbot, AI agents, AI CRM, and AI scheduling; that range could cover several customer-facing tasks, but organizations should assess the specific AI functions they need before committing.

Security controls include AES-256 encryption at rest, TLS 1.3 in transit, role-based access, multi-factor authentication, and audit logging. SchedulingKit supports GDPR, including consent management, data portability, erasure tools, and a Data Processing Agreement. Public booking pages meet WCAG 2.1 AA standards. It is not HIPAA-compliant and does not provide a Business Associate Agreement, so healthcare teams subject to HIPAA should look elsewhere.

Pricing

The free plan is free forever and allows one team member, one event type, 50 bookings per month, one calendar connection, and one workspace. That is a practical starting point for a solo user with light volume, but the booking cap and single event type leave little room to grow. After the 14-day trial, accounts move to Free unless the user subscribes.

Standard: $10.00 USD per month billed annually, or $12/seat/month monthly. Aimed at solo professionals, it removes event-type and booking limits, allows six calendar connections, includes 100 SMS credits per month, and supports unlimited workspaces or businesses.
Pro: $16.00 USD per month billed annually, or $20/seat/month monthly. For growing businesses, it adds unlimited calendar connections and raises the SMS allowance to 250 credits per month.
Business: $30.00 USD per month billed annually, or $36/seat/month monthly. The 500 SMS credits per month and priority support target teams operating at greater scale.
Enterprise: Custom pricing, with unlimited SMS credits, dedicated support, custom integrations, SLA guarantees, and volume discounts for large organizations.

Paid plans charge per active team member across all workspaces, so multiple businesses under one login do not avoid per-seat costs. The annual rates are lower than monthly billing, while the free plan gives up higher booking volume, event types, and calendar connections. Users can cancel, upgrade, or downgrade anytime.

Platforms

SchedulingKit runs on the web and offers Android and iOS apps, plus an API for integrations. That mix suits teams that need to manage appointments on mobile as well as connect the scheduling layer to other software.

Who it's for

SchedulingKit fits solo professionals moving beyond a basic calendar, and teams that need shared availability, round-robin assignment, payments, or multiple business workspaces. Its API and webhooks make it a stronger fit for organizations with custom workflows than a booking page alone. It is a poor fit for HIPAA-regulated care, and the free plan is restrictive for anyone expecting substantial appointment volume.

Pros and cons

Pro: Booking, team coordination, payments, and calendar sync work together, reducing the need to assemble those core scheduling functions separately.
Pro: REST API, webhooks, and a booking widget give developers several ways to integrate custom workflows.
Pro: Unlimited workspaces on paid plans suit operators managing multiple businesses from one login.
Con: Free is capped at 50 monthly bookings, one event type, and one calendar connection, which can quickly constrain a growing practice.
Con: Per-active-member billing across workspaces can make team expansion more expensive than the headline per-seat rate suggests.
Con: No HIPAA compliance or Business Associate Agreement excludes HIPAA-regulated organizations.

Alternatives

For tutoring businesses, LearnSuite charges $0.35 USD per completed lesson-hour, has no platform fee, and includes unlimited students, teachers, and staff below 400 lesson-hours per month. Choose it when lesson-based pricing and education-specific capacity matter more than SchedulingKit’s broader appointment toolkit.

TutorCruncher starts at $30.00 USD per month and includes automatic payments and payroll, split payments, standard card fees of 3.85%, and three months of priority phone support. It is a better fit when tutoring operations need those payment and payroll workflows.

Tutorbase offers a free core plan with all features and no feature restrictions, but applies a 1% fee when invoicing through the system. It may suit users who prioritize unrestricted free access over SchedulingKit’s booking cap structure.

Tutoressa is another freemium option for tutoring teams. Pynath Booking is a freemium web-based booking alternative. GetSetTime has a free plan with one seat and 50 bookings per month, making its entry limits comparable to SchedulingKit’s. Classcard is a paid option with a $99.00 USD per month Starter plan that includes unlimited staff, students, and classes plus 20GB storage. TutorTab is a free web-based alternative.

Readers comparing tools by use case can also browse tutoring scheduling software, appointment scheduling software, interview scheduling software, and veterinary appointment scheduling software.

Verdict

SchedulingKit is a strong choice for solo professionals and teams that want booking, payments, shared calendars, and integration hooks in one service. Its strongest case is the combination of team workflows and a developer API; its clearest reasons to look elsewhere are the free plan’s tight caps, growing per-seat costs, and the hard HIPAA limitation.
