Overview

Rock RMS is an open-source church management platform that connects records, operations, communications, digital tools, and engagement. It suits churches that want a broad, adaptable system and can take responsibility for its setup and ongoing operation. Its range is a strength, but self-hosting demands technical ownership, and the license restricts who can use the community edition.

Key features

Rock brings core church administration into one system: people and family records, child check-in, reporting, prayer requests, finance tools, event registration, and workflows. Groups, scheduling, connection follow-up, discipleship steps, LMS courses, and sign-ups extend it into ongoing engagement. That breadth can reduce the need to stitch together separate tools, though organizations should weigh the operational cost of maintaining a wide-ranging platform.

Communication spans email, SMS conversations, push notifications, automated flows, and channel analytics. Its digital tools cover websites, mobile and TV apps, content management, personalization, and media analytics. Rock also describes agents that can answer questions and act on Rock records, with MCP connections to Claude, ChatGPT, and other MCP-ready tools. These capabilities make the platform relevant beyond back-office records, particularly for churches investing in digital outreach.

Rock’s security process accepts private vulnerability reports through Talos, with acknowledgement targeted within 1–2 business days and assessment within 3–5 business days. That process does not remove the organization’s security duties: most installs are self-hosted, and the organization is responsible for updates and for securing its server, network, and hosting environment. Cloud partners handle installation, updates, and maintenance; cloud hosting includes automatic backups.

Pricing

Rock RMS (self-hosted): 4.45 USD per year, described as a recommended donation of $4.45 per average weekend attendee per year. The commitment is a pledge, and Rock says it will not bill you. The software license permits internal use by qualifying faith-based organizations. This route keeps hosting under the organization’s control, but also leaves infrastructure security and updates with its team.

Rock RMS cloud hosting: custom pricing. Monthly payment combines the Spark donation and hosting fee, with hosting prices varying by partner. Rock Cloud and Cloud 9 are hosting options. This route shifts installation, updates, and maintenance to the cloud partner, which can suit churches that prefer not to operate their own server; the total depends on the partner.

The Rock Community License permits internal use by qualifying faith-based organizations. For-profit and non-faith-based entities must contact Spark about a commercial license. Rock’s community provides answers, knowledge sharing, and real-time discussion, while Rock Partners offer support services and migration, implementation, and website, mobile app, and TV app development.

Platforms

Rock RMS supports Android, iOS, web, API access, and self-hosted deployment. Mobile apps are vendor-provided. Its breadth across web, apps, and TV is useful for churches building a connected digital presence, while self-hosting makes operational responsibility an important platform choice.

Who it's for

Rock says its tools serve churches from a single staff member to multisite teams. It is strongest for qualifying faith-based organizations seeking one system for administration, communication, and engagement, especially those with the capacity to run a self-hosted installation or budget for a cloud partner. Organizations that cannot take on that operational responsibility should consider hosted service; non-faith-based and for-profit users need to resolve commercial licensing before choosing it.

Pros and cons

Broad church operations coverage: records, check-in, events, finance tools, workflows, groups, and discipleship features sit alongside communications and digital tools.
Flexible deployment: self-hosting is paired with cloud partners that handle installation, updates, maintenance, and automatic backups.
Meaningful self-hosting burden: organizations must update Rock and secure their server, network, and hosting environment.
License boundary: the community license is for internal use by qualifying faith-based organizations; other entities need to contact Spark about commercial terms.

Alternatives

For churches prioritizing a bounded free tier, ChMeetings offers a Free Forever plan at 0.00 USD per free for 50 people and 50 donations per month, as well as a free trial. Planning Center is another freemium option with free Calendar, People, and Services plans, each carrying its own limits; it also offers a free trial.

ChurchSuite starts at 15.50 USD per month for Solo, covering 0–99 active contacts and the Address Book module, and offers a free trial. ChurchTools starts at 39.00 USD per month for Package XS, with 100 people, no additional campuses, 10 resources, and 20 rosters; it offers a free trial.

One Church Software, Breeze ChMS, and Elvanto are other church-management alternatives. FMX is an alternative with personalized quote pricing based on users and features or custom workflows.

Verdict

Choose Rock RMS if a qualifying faith-based church wants broad management, communication, digital, and engagement capabilities in an open-source platform, and can own self-hosting or pay a cloud partner to operate it. Its central advantage is that breadth; its central reason to look elsewhere is the combination of infrastructure responsibility and a license limited to qualifying faith-based use.
