Overview

Onboarded coordinates hiring forms, identity and background checks, and compliance handoffs for staffing firms, high-volume employers, and platforms embedding hiring workflows. Its strongest fit is an operation that needs configurable rules, broad integrations, and exportable audit records; teams with simpler hiring or a need for published pricing may prefer a narrower tool.

Key features

Onboarded’s policy engine assigns requirements by role, location, and client context, then advances the workflow when a step clears. That is useful for organizations managing many hiring paths, where consistent handoffs matter; it may be more system than a small employer with a uniform process needs.

The compliance library covers US federal forms such as I-9 and W-4, E-Verify, WOTC screening, state withholding forms across all 50 states, and client-specific requirements. It also supports Canadian federal, state, and provincial requirements, while international coverage is developed with customers. Teams hiring beyond North America should confirm their specific requirements before relying on it.

Identity verification, document review, SSN trace and address history, and criminal, MVR, and OIG/SAM background checks sit alongside I-9 and E-Verify workflows. I-9 completion, case submission, and Tentative Nonconfirmation processes run in the platform. Timestamped, field-level logs and exportable worker compliance packets give compliance teams a more traceable record than disconnected handoffs typically provide.

Workers can complete onboarding from a text or email link without installing an app or creating a password, reducing setup friction. The AI form builder converts uploaded legal documents into structured, field-by-field digital workflows; its value is clearest for teams that regularly need to digitize varied forms.

More than 50 integrations span ATS and CRM, screening, identity verification, I-9 and E-Verify, WOTC, payroll and HRIS, and learning systems. Examples include Bullhorn, Salesforce, Tracker, Lever, Checkr, Persona, ADP, and UKG. Developer access includes a REST API, SFTP file exchange, and an MCP server for compatible AI clients, making Onboarded a plausible fit for teams integrating hiring workflows into an existing stack.

Onboarded states that it is SOC 2 Type II certified and uses role-based access controls, encryption in transit and at rest, and regular third-party security audits. It says worker data is processed within configured workflows, not sold or repurposed, and subject to configurable retention policies. Most customers go live within a few weeks, depending on integrations and compliance requirements, so complex implementations may take longer.

Pricing

Onboarded is paid software with custom pricing. The company directs prospective customers to request a demo and offers a tailored 30-minute call; the stated few-weeks implementation timeline depends on integration and compliance needs. With no public plan price or published tiers, buyers should request a quote against their hiring volume, workflow scope, and integration requirements before comparing total cost.

Platforms

Onboarded is available on web and through an API. Workers access onboarding by text or email link without an app download or password-based account.

Who it's for

Staffing firms, high-volume employers, and platforms serving them are the natural audience, especially when hiring varies by client, role, or location. Organizations with simpler, consistent onboarding or international requirements beyond the supported US and Canadian coverage should weigh whether the workflow breadth fits their needs.

Pros and cons

Configurable compliance workflows: Requirements can be assigned by role, location, and client context, which suits complex hiring operations.
Connected checks and records: I-9, E-Verify, screening, timestamped field-level logs, and exportable packets keep key actions in one workflow.
Integration options: More than 50 integrations plus REST API, SFTP, and MCP access support teams connecting existing systems.
Low-friction worker access: A text or email link avoids requiring workers to install an app or create a password.
Custom pricing: Buyers cannot compare a public plan price or published tiers before contacting the company.
International scope is bounded: US and Canadian requirements are supported, while other coverage is built out with customers.

Verdict

Onboarded is best suited to staffing firms, high-volume employers, and embedded platforms that need hiring requirements to adapt to client and location context while keeping checks, integrations, and audit records connected. Its workflow depth and developer access are the central reasons to choose it; custom pricing and customer-built international coverage are reasons to look elsewhere if budget certainty or broad non-North-American support is essential.
