Overview

Zoho Mail is a hosted business email service for organisations using custom domains. It best suits teams that want domain mail alongside administrative controls and migration tools. Its broad plan range is appealing, but the free tier’s protocol restrictions and the paid plans’ annual billing require careful fit-checking.

Key features

Mail, AI and integrations

Zia can draft replies and summarize long email threads, while Zoho Mail MCP connects the service to AI apps. These features add workflow support, though the core proposition remains business email hosting. CRM integrations include Zoho CRM, HubSpot, Pipedrive and Insightly CRM.

The mobile app combines email, calendar, contacts and files. A free migration tool transfers emails, contacts and calendars from Google Workspace, Microsoft 365 or IMAP providers, reducing the work of moving an existing team’s mail and related data.

Security and administration

Zoho Mail lists TLS, S/MIME and AES-256 encryption at rest, plus spam and phishing blockers intended to counter socially engineered attacks. Role-based access, custom security policies, audit logs and eDiscovery give administrators meaningful controls over accounts and records. Zoho says the service is GDPR compliant and has ISO/IEC 27001 and SOC 2 Type II certifications.

Service and support

The pricing comparison gives its plans a 99.9% uptime guarantee. Paid plans include 24×7 support by email, phone and live chat, useful for teams that need support beyond self-service. Desktop Lite supports Windows 10 or later, macOS 12 or later, and specified 64-bit Linux distributions; mobile apps are available on iOS and Android.

Pricing

The free Mail Free plan costs 0.00 USD per free, billed forever with no credit card required. It covers five users, one domain and 5 GB of mail storage per user. That is a substantial entry point for a small team, but no IMAP, POP or Active Sync makes it a poor fit for teams that rely on those protocols or external clients.

Mail Lite 5 GB costs 1.00 USD per month, billed annually, and Mail Lite 10 GB costs 1.25 USD per month, also billed annually. Neither has a monthly plan. Both include a 250 MB huge-attachment limit. The lower price is suited to teams needing basic hosted mail, while the 10 GB option buys more mailbox capacity; the annual commitment is the trade-off.

Mail Premium costs 4.00 USD per month, billed annually, with 50 GB mail storage and 50 GB retention storage per user and a 1 GB huge-attachment limit. It better fits users with larger mailboxes or retention needs, at four times the entry Mail Lite price. Workplace Standard costs 3.00 USD per year, billed annually, or US$4 per user/month billed monthly; it includes 30 GB mail storage per user, 100 GB team file storage for 3–10 users, and other Workplace apps. Workplace Professional costs 6.00 USD per year, billed annually, or US$7 per user/month billed monthly; it raises mail and retention storage to 100 GB per user and team file storage to 1 TB for 3–10 users. These Workplace tiers suit teams wanting mail and other apps together, with Standard offering less storage and Professional targeting heavier storage needs.

Workplace Enterprise has custom pricing and custom limits. Virtual private cloud is only for subscriptions above 100,000 users, and pooled Mail storage only for subscriptions above 1,000 users, so those options are aimed at very large deployments. A 15-day trial is available. Plan names and billing terms matter: the separately presented Mail Lite plan states 1.00 USD per year, billed annually, with 5 GB or 10 GB storage and a 30 MB attachment limit; confirm the exact tier and term before purchase rather than assuming it matches the Mail Lite 5 GB monthly-equivalent offer.

Platforms

Zoho Mail is available on web, Android, iOS, Linux, macOS and Windows. Its mobile app includes calendar, contacts and files alongside email, while Desktop Lite has stated operating-system requirements. The service supports IMAP and POP on eligible plans; the free plan excludes IMAP, POP and Active Sync.

Who it's for

Zoho Mail is a good fit for small and growing organisations that need custom-domain email, administration controls, migration from major hosted mail services, and tiered mailbox capacity. Teams already working with the listed CRM products may also value the integrations. It is less suitable when a free plan must connect through IMAP, POP or Active Sync, or when a team cannot commit to annual billing on the paid Mail tiers.

Pros and cons

Pro: The free plan supports five users and one domain with 5 GB per user, giving small teams room to start without a credit card.
Pro: Paid plans span 5 GB to 50 GB mailbox options, with additional retention storage on Premium and Workplace Professional.
Pro: Migration, security and administration features address practical needs in a business email transition and ongoing account management.
Con: The free plan excludes IMAP, POP and Active Sync, limiting its usefulness for protocol-dependent workflows.
Con: Mail Lite and Mail Premium prices are billed annually with no monthly plan, making the lowest advertised paid rates an annual commitment.
Con: Workplace Enterprise's virtual private cloud and pooled-storage thresholds place those options beyond all but very large subscriptions.

Alternatives

For an email migration project rather than ongoing hosted mail, CloudM Migrate is an alternative with API, self-hosted, web and Windows platforms and a quoted price for its Google Workspace Shared Drives and public folders plan.

MigrationWiz is another paid migration option, with a Mailbox plan at 14.00 USD per once per user for full-fidelity migration, a broad endpoint roster and up to 50 GB of data. Choose it when those stated migration terms fit the project better than Zoho Mail’s hosted-mail plans.

MailJerry offers a free migration plan with unlimited mailboxes, 150 MB per mailbox, up to three simultaneous migrations and use on one device. It is relevant when those free migration limits fit the job, rather than as a substitute for hosted business email.

SysTools Email Migration Tool offers a free demo for full mailbox migration of up to two user accounts, with a paid version stated at 35.00 USD per once for five users and unlimited user count.

SysTools Migrator provides a free version for migrating two user accounts and a paid version at 35.00 USD per contact, with license quota based on migrated accounts.

imap-migrate is a free option for IMAP folder migration, requiring Python 3.12 or higher and IMAP access on both accounts.

Cigati Email Migrator has a free demo covering the first 100 emails per folder; unlimited migration requires its licensed edition.

imapsync is another migration alternative.

Verdict

Choose Zoho Mail if your organisation needs custom-domain hosting with a useful free starting tier, migration support and administrative controls, and its plan terms match your workflow. Its clearest limitation is the free tier’s missing mail protocols; teams that depend on them should compare paid options or another service before committing.
