Overview

Templates, rich media and a drag-and-drop editor help teams assemble customer documents; real-time editing, comments and approval workflows bring internal review into the same process. After delivery, notifications, reminders and reporting track when documents are opened, viewed or completed. Product catalogs, Configure-Price-Quote capabilities and payment collection extend the workflow beyond signature.

PandaDoc Inc. was founded in 2013 and is headquartered in San Francisco. The platform provides an API, document embedding and developer documentation, alongside integrations including Salesforce, HubSpot, Pipedrive, monday.com, Stripe, Square, Zapier, Slack and Greenhouse. That makes it relevant to teams connecting document workflows to sales and payment systems, not just replacing a signing step.

Key features

Document creation and collaboration: Templates and a visual editor support proposals, quotes and contracts. Live editing, comments and approvals are useful when several people need to review a document before it reaches a customer.
Signatures and tracking: Legally binding e-signatures, signature certificates, notifications and reminders support a workflow from sending through completion.
Payments and quoting: Product catalogs, CPQ and payment collection bring commercial details into documents. This is a stronger fit for transaction workflows than for teams seeking signature capture alone.
Developer access and integrations: The API and embedding options provide routes for connecting or incorporating document workflows into other systems. Common CRM, payment and collaboration integrations include Salesforce, HubSpot, Stripe and Slack.
Security: PandaDoc states that it is E-SIGN, UETA and HIPAA compliant and SOC 2 certified. It also cites two-factor authentication, SSO, GDPR compliance and encryption in transit; paid plans include system roles and user management, with custom roles available.

Pricing

PandaDoc uses a freemium model, with a 14-day trial described for the Free plan guide. The trial allows up to 50 documents; business-email trial users can send to up to five recipients per document. That is enough room to assess a bounded workflow, but it is not a long-term substitute for a paid plan.

Plan	Price	What it includes	Who it suits
Free	0.00 USD per free	60 documents per year, up to 2 recipients per document, 5 templates, unlimited storage and unlimited users. Downloads are PDF only, not DOCX.	Individuals or teams evaluating basic e-signing and document flow, provided the annual cap, recipient limit and PDF-only output fit their work.
Starter	19.00 USD per month (billed annually)	Unlimited documents sent, unlimited e-signatures and up to 5 templates.	Teams whose sending volume outgrows Free but that can work within the template allowance.
Business	49.00 USD per month (billed annually)	Unlimited documents sent, unlimited e-signatures, up to 5 templates and up to 3 rooms.	Teams that need rooms in addition to unlimited sending and signatures; the template ceiling remains the same as Starter.
Enterprise	Custom pricing	CPQ, workflow automation, smart content, single sign-on, team workspaces and API.	Organizations seeking these advanced workflow and administration capabilities.

The free plan’s unlimited seats and storage are generous, but its 60-document yearly allowance and two-recipient ceiling narrow its practical use. Free accounts also download PDFs only. Starter removes the sending cap but still allows just five templates; Business adds up to three rooms rather than raising that template limit. Both paid prices are billed annually, so the stated monthly rate comes with an annual billing term. The pricing page lists 24/7 email and chat support for Free and Starter.

Platforms

PandaDoc supports web, Android, iOS and API access. Its mobile app can be used to view, track, create, sign and upload documents, though users with pandadoc.eu accounts cannot use the app at this time. Supported desktop browsers include current Safari on Mac, Chrome and Firefox on Windows and Mac, and Edge on Windows 10.

Who it's for

PandaDoc is a strong fit for sales and operations teams that regularly prepare customer-facing proposals, quotes or contracts and want creation, review, signatures, tracking and payment collection connected. The API and integrations also make it worth considering when those workflows need to sit alongside CRM or payment tools. It is less compelling for occasional signing, or where the free plan’s recipient cap and PDF-only downloads get in the way.

Pros and cons

Pros

One workflow from draft to payment: Creation, approvals, signatures, tracking, CPQ and payment collection can support a fuller document transaction.
Useful free capacity for a small operation: Unlimited users and storage accompany the free plan, despite its annual document and recipient caps.
Connected-stack options: An API, embedding and integrations across CRM, payments and collaboration tools give teams ways to connect document work to existing systems.
Mobile document handling: The app supports more than signing, including creation, uploading and tracking, for accounts that can use it.

Cons

Free sending is tightly bounded: Sixty documents per year and two recipients per document can rule it out for regular or multi-party work.
Free downloads are PDF-only: Teams needing DOCX output must look beyond the Free eSign plan.
Template limits persist on paid entry tiers: Starter and Business each include up to five templates, which may constrain teams with varied document types.
Mobile access has a regional exception: pandadoc.eu account holders cannot use the mobile app.

Verdict

Choose PandaDoc if proposals, quotes and contracts are frequent enough that combining document creation, review, signatures, tracking and payments will simplify a connected workflow. The API and broad integrations strengthen its case for teams fitting it into an existing stack. Look elsewhere if you need a low-volume signing tool without the workflow breadth, or if the free plan’s two-recipient limit and PDF-only downloads are deal-breakers.
