Overview

Refiner covers NPS, CSAT, CES, product-market-fit surveys, user research, onboarding and UX feedback, user profiling, and in-app messages or calls to action. Teams can target by traits, behavior, device, language, or prior responses, and trigger surveys after events or delays. That combination supports contextual feedback programs; teams that only need a basic form tool may not benefit from the wider feature set.

Reporting includes NPS, CSAT, and CES charts with trend lines, response segmentation, and filters, plus AI tagging for open-text responses. AI translations and an MCP server that lets AI assistants access survey data add further ways to work with responses. Integrations include Segment, RudderStack, Amplitude, Mixpanel, Salesforce, HubSpot, Slack, Microsoft Teams, Zapier, Make, REST API, and webhooks. They sync new data after configuration, but do not backfill historical survey responses, which can complicate a transition when past results need to remain accessible in connected tools.

Refiner states that it has SOC 2 Type II, GDPR, CCPA, and HIPAA compliance frameworks. User data is hosted in AWS EU-WEST-1 in Ireland and stays in the EU by default; Refiner says it is encrypted in transit with TLS 1.2 and at rest with AES 256-bit encryption. Customers can delete individual user records, purge environments, or set automatic deletion of old user data. After a subscription ends, data may be available for export for up to 180 calendar days.

Key features

Multiple survey channels: In-app and mobile surveys, website popups, email surveys, and shareable links let teams reach users in different contexts.
Contextual targeting: Traits, behavior, device, language, prior responses, and event- or delay-based triggers help narrow surveys to relevant audiences.
Analysis and AI: Trend charts, segmentation, filters, open-text auto-tagging, translations, and MCP access support both reporting and AI-assisted workflows.
Connected stack: Analytics, CRM, messaging, automation, API, and webhook integrations make Refiner a fit for teams that want feedback connected to existing systems, with the caveat that historical responses are not synced.

Pricing

Refiner uses a freemium model, with a free plan and a 30-day trial. Essentials and Growth have custom pricing, with monthly or annual billing; annual plans are approximately 17% cheaper. Their published limits make capacity and deployment scale easier to compare than cost.

Plan	Price and terms	What it includes
Free	0.00 USD per free	Essentials features and up to 25 survey responses per month. It applies automatically after a trial ends or a paid subscription is cancelled, so it is a limited ongoing option rather than a high-volume tier.
Free trial	0.00 USD per free; billed 30 days	All survey features and integrations, capped at 100 survey responses, with no credit card required. It is useful for evaluating the full feature set, but the response ceiling limits a broader live rollout.
Essentials	Custom pricing; monthly or annual billing	Up to 500,000 MAU, 10,000,000 monthly pageviews, 20 simultaneously published surveys, 4 environments, and unlimited survey responses. It fits teams needing uncapped responses within a defined operating scale.
Growth	Custom pricing; monthly or annual billing	Up to 1,000,000 MAU, 20,000,000 monthly pageviews, 50 simultaneously published surveys, 12 environments, and unlimited survey responses. The higher ceilings suit larger programs running more surveys or environments.
Enterprise	Custom pricing	Custom monthly active users, unlimited simultaneously published surveys, unlimited environments, unlimited team members, priority technical support, and dedicated customer success. It is the option for organizations whose scale or support needs exceed Growth.

Documentation and email support are included on paid plans. The free plan’s 25-response monthly cap makes it a narrow fit for continued use; the trial offers broader feature access but only 100 responses for 30 days. Essentials and Growth are the practical tiers for teams that need unlimited responses, while Enterprise removes stated survey, environment, and team-member ceilings.

Platforms

Refiner supports Android, iOS, web, and API, covering mobile and web product workflows as well as programmatic integration.

Who it's for

Refiner is strongest for software teams running ongoing, segmented feedback programs across product surfaces and channels. Its targeting, reporting, integrations, and response-unlimited paid tiers suit teams with established product or CRM workflows. It is less compelling for teams that need only simple forms, or for organizations that must automatically bring historical survey responses into connected systems.

Pros and cons

Pro: Broad survey types and channels support both product feedback and customer sentiment collection without limiting the program to one format.
Pro: Audience rules and event or delay triggers let teams place feedback requests in context rather than addressing every user uniformly.
Pro: Reporting, AI tagging and translations, plus MCP access give teams several ways to analyze and use response data.
Pro: EU-default hosting, encryption, and stated compliance frameworks may suit teams with privacy and governance requirements.
Con: The free plan stops at 25 responses per month, so it is not suited to sustained feedback at meaningful volume.
Con: Integrations only sync new data after setup, leaving historical survey responses out of connected systems.
Con: Essentials and Growth have custom pricing, so teams cannot compare their costs from a fixed published rate.

Alternatives

Consider Formbricks if self-hosting is important or its Hobby plan’s 250 monthly responses suit a smaller program; its Pro plan is 89.00 USD per month. Choose SatisMeter if a fixed-price Growth plan at 199.00 USD per month better fits your budgeting needs; its free plan allows 25 responses per month and recommends about 250 active users without making that a limit. Thermostat is another option, with a free plan for one user and one survey, 200 surveys administered per month, and four months of response history.

Survicate offers a free plan with 25 responses per month, three teammates, and 300 responses across active surveys, which may suit teams weighing those specific free-tier allowances. Customer Thermometer has a 9.00 USD per month At the Beach plan for retaining and viewing account data, and a 49.00 USD per month Jumper plan. Zonka Feedback uses custom quotes based primarily on data credits, with Feedback Management available as a bundle. nps.today is a paid alternative with a one-month free trial and a Basic plan priced at 1.50 EUR per month. Wootric offers a Professional plan built around one journey point, one metric, up to five seats, and self-service support.

Verdict

Refiner is a strong fit for software teams that need targeted feedback across channels, detailed response segmentation, and connections to product and CRM systems. Its strongest case is the combination of contextual collection and reporting, backed by broad integrations and AI tools. Look elsewhere if historical responses must sync into integrations, or if the free tier’s 25-response cap is too restrictive and custom pricing makes paid-plan comparison difficult.
