Overview

Rentman is a rental and event-production management platform for event rental and AV teams coordinating projects, equipment, crew, and client documents. It is strongest for operations that need those workflows connected; its modular, per-power-user pricing calls for a careful cost calculation.

Founded in 2014 and based in Utrecht, Rentman serves operations ranging from one-person businesses to large production companies.

Key features

Equipment and crew planning

Teams can check equipment availability, book items, manage subrentals, and review costs. Drag-and-drop crew scheduling can fill shifts according to availability, training, and cost. Together, these tools suit event work where staffing and equipment need to be coordinated against projects; the trade-off is that key planning functions require paid power users.

Tracking and mobile work

QR and barcode scanning support equipment location tracking, check-in and checkout, and multiple locations. Crew members can accept or decline invitations, report availability and hours, and access job notes and files through the mobile app. This gives field teams a way to stay connected to jobs, though advanced tracking and warehouse functions carry separate module charges.

Quotes and integrations

Rentman can generate estimates and proposals, branded quotes, and digital signatures for quotes and contracts. Online payments and invoicing are included in the Quoting & Invoicing module. Listed integrations include QuickBooks, Xero, WooCommerce, Stripe, Zapier, Mollie, Visma E-conomics, Exact Online, Port-All, Billit, Calendar, and the Rentman API.

Reliability and support

Rentman says customer databases and server connections are encrypted, with hosting in major European data centers. It describes redundant infrastructure, data held in two data centers, automatic switching between them, and uptime above 99.995% over the past four years. Daily recovery within the last half year and additional nightly backups at a local third site add resilience. Support is included, with most questions targeted for an answer within an hour and all within a day.

Pricing

Rentman is paid, with a 30-day trial and a free plan. Basic users are free, but power users—who plan equipment, schedule crew, create financial documents, and are required to create or edit projects—are billed through the relevant modules. The monthly Platform plan costs 39.00 EUR per month; yearly payment saves 8%. It includes CRM and communication, task management, team collaboration, dashboards and calendars, file sharing, the mobile app, and API access.

Inventory Standard costs 14.00 EUR per month per Power User, while Inventory Pro is 19.00 EUR per month per Power User; both include equipment availability and project scheduling, with Standard inventory features in the former and Pro inventory features in the latter. Crew Essential costs 14.00 EUR per month per Power User, Crew Standard 19.00 EUR per month per Power User, and Crew Pro 24.00 EUR per month per Power User. Each includes crew scheduling, availability, and worked-hours tracking. Crew Enterprise has custom pricing and adds an integrated freelancer marketplace, work-permit and hour tracking, and travel, catering, and accommodation features.

Quoting & Invoicing costs 9.00 EUR per month per Power User for estimates, proposals, quotes, e-signature approvals, online payments, invoicing, and reports. History Logs is 12.00 EUR per month per Power User for change logs across warehouse, equipment, projects, contacts, and crew. Equipment Tracking is 9.00 EUR per month per Power User for check-in and checkout, scanning, warehouse operations, and serialized inventory. Additional Warehouse costs 5.00 EUR per month and supports multiple storage locations, equipment allocation, availability, and stock management.

The low entry price can be misleading for teams that need several modules: the Platform charge sits alongside per-power-user charges, and the free basic-user tier does not remove the need for paid users to handle core project and scheduling work. Pick modules around actual workflows before comparing the monthly total.

Platforms

Rentman supports Android, iOS, web, and API access. That combination accommodates office planning, mobile crew access, and connections to other software.

Who it's for

Rentman is a good fit for event rental and AV teams that want equipment planning, staffing, quotes, and project administration in one operating system. Small operations can benefit from the free basic-user tier, while growing teams should weigh the cost of the paid power users and modules they need. It is less compelling for a team looking for a simple booking tool without broader project or crew workflows.

Pros and cons

Pro: Equipment and crew planning connect to project and quoting workflows, reducing the need to treat each as a separate process.
Pro: QR and barcode scanning, multiple-location support, and mobile access address day-to-day rental and field coordination.
Pro: API access and a broad set of accounting, commerce, payment, and automation integrations support fitting Rentman into an existing stack.
Con: The Platform fee is not the whole cost: planning and financial-document work requires paid power users, with multiple modules priced separately.
Con: Basic users cannot create or edit projects or schedule equipment or crew, so the free tier is not a substitute for paid operational access.

Alternatives

For a free starting point, Rentificial offers a free-forever plan with 10 assets, one user, and no email accounts, plus maintenance, financial accounts, expenses, and extra services. Choose it when that small free allowance matters more than Rentman's broader event-production scope.

LayCor is an alternative with paid Starter and Professional plans at 49.00 USD per month and 99.00 USD per month, respectively; Starter includes unlimited users and bookings or jobs, with add-ons at full price. TapGoods starts at 19.00 USD per month for one minimum full user, up to 30 items, and unlimited orders, while its 59.00 USD per month Grow plan includes unlimited items and orders. These may suit teams comparing paid booking and rental plans against Rentman's module-based setup.

HireHop is a freemium web alternative. Current RMS has a 79.00 USD per month first-user plan and charges 49.00 USD per month per additional user. Goodshuffle Pro starts at 39.00 USD per month for unlimited projects, quotes, contracts, and inventory items with one account owner. HiveSuite offers a Solo plan for 34.99 GBP per month, including VAT, with one admin and two crew. RentKit offers per-user plans beginning at 4.00 USD per month for time tracking alone and 10.00 USD per month for warehouse permissions. Consider these when their stated user, item, or feature packaging better matches your needs.

Verdict

Choose Rentman if you run an event rental or AV operation that needs equipment, crew, quotes, and project work connected, and its mobile workflow and integrations fit your stack. Look elsewhere if you need only basic bookings or cannot justify a Platform fee plus paid power users and separate modules.
