Overview

Guests can sign on mobile, while operators can distribute forms by email, SMS, link, QR poster, or kiosk. Signed records preserve timestamps, an IP hash, device and identity evidence, and export history. That combination is useful when staff need to retrieve completed forms and understand their submission trail.

Minor-signer detection and guardian co-signing are practical strengths for camps, rentals, and other businesses serving children. WaiverTrail says TLS protects data in transit and provider-managed encryption protects stored data, with Firebase and Google Cloud as its primary hosting baseline. DPA review and security-summary materials are available on request. The company cites U.S. ESIGN/UETA frameworks while leaving jurisdiction-specific legal advice to operators.

Key features

Templates support versioning and conditional logic, and the builder includes rich text, signatures, initials, checkboxes, and ID capture. This gives operators room to adapt forms to different activities and signer paths. The published-template caps on Free, Starter, and Pro may become restrictive for businesses maintaining many forms.

Integrations include Checkfront, Rezdy, Xola, and FareHarbor, with REST API and Zapier options for custom connections. In practice, those connections, along with SMS, are reserved for Business, so operators on lower tiers cannot build their workflow around them.

Usage counting depends on the delivery path: email, SMS, batch, API, and integration sends reserve a waiver when sent; QR, kiosk, and public-link waivers count when signed. Operators should account for this distinction when estimating monthly capacity.

Pricing

Free: 0.00 USD per free, with 10 counted waivers per month, one published template, QR signing, and up to 10 email invites monthly. It is a useful low-volume starting point, but the cap leaves little room for busy periods.
Starter: 9.00 USD per month, billed monthly; yearly billing saves 20% versus monthly. It allows 100 counted waivers, three published templates, and QR and email links. This suits small operators who do not need SMS or integrations.
Pro: 49.00 USD per month, billed monthly; yearly billing saves 20%. It raises capacity to 1,000 waivers and 10 templates, and adds analytics and reports, guest history, and booking check-in. It is the more capable fit for higher-volume operations, though API access and booking integrations remain out of reach.
Business: 99.00 USD per month, billed monthly; yearly billing saves 20%. It includes 2,500 waivers, unlimited templates, SMS, API and booking integrations, and team members and roles. This is the tier for operators needing connected booking workflows or shared staff access; the monthly price is a substantial step up from Pro.

All paid tiers show monthly billing and a 20% saving with yearly billing. No trial term is stated.

Platforms

WaiverTrail is available on web and through an API. Guests can sign on mobile, and kiosk mode supports on-site collection.

Who it's for

The product targets boat rentals, hunting ranches, events, fitness studios, tour operators, summer camps, equipment rentals, bounce houses, and other activity businesses. It is strongest for operators balancing guest signing, records, and guardian consent. It is less suitable for teams that need API or booking connections on a low-cost plan.

Pros and cons

Pros: Multiple delivery routes and mobile signing suit both advance and on-site collection.
Pros: Minor detection and guardian co-signing address consent workflows for businesses serving children.
Pros: Versioned, conditional templates and detailed signed-record evidence support varied forms and later retrieval.
Cons: API, booking integrations, SMS, and team permissions require the $99-per-month Business tier.
Cons: Free and Starter caps of 10 and 100 counted waivers monthly may not accommodate regular high-volume operations.

Verdict

WaiverTrail is a sound fit for activity operators who need mobile and on-site signing, guardian consent, and a useful record trail. Its free and Starter tiers make modest collection affordable, but teams that depend on API or booking connections, SMS, or staff roles must budget for Business. Look elsewhere if those capabilities need to be available below $99 per month.
