Overview

ActivTrak is a workforce analytics platform for teams that want to understand digital work patterns across office and remote settings. It is best suited to organizations balancing productivity analysis with stated privacy controls; its free tier is useful only for very small teams that can work within a three-person cap and 30 days of history.

Real-time activity data and custom dashboards give managers a view into productivity, schedules, location adherence, and AI use. The trade-off is that meaningful history, broader workforce management, and data access through API or SQL require paid plans or an add-on.

Key features

Workforce and productivity analysis

Workforce Management combines real-time workforce visibility with productivity trends, schedule adherence, and location adherence. Productivity Optimization separates time into productive, unproductive, and offline work. That makes ActivTrak relevant to teams looking for patterns to address, though those categories are a basis for analysis rather than a substitute for understanding why a pattern exists.

AI-use insights

AI Insights measures AI usage and covers compliance, adoption maturity, benchmarking, productivity impact, and optimization. This makes the platform useful to organizations trying to assess AI adoption alongside broader work patterns, rather than treating AI usage as a standalone tool inventory.

Privacy, security, and integrations

ActivTrak says it does not use keystroke logging, email monitoring, camera access, personal-device monitoring, or video recording. Screenshots are not taken or retained by default; they are available only through the optional Screen Details add-on. The stated SOC 2 Type 1 and Type 2 certifications and encryption of data in transit and at rest will matter to teams evaluating safeguards, but do not remove the need to assess the product against their own policies.

Native integrations bring in calendar and PTO data from Microsoft Outlook and Google Calendar, with Microsoft Entra ID and SCIM supporting user management. ActivConnect adds API or SQL access to live and historical data, plus pre-built templates for Power BI, Looker Studio, and Tableau. Because that access is an add-on, teams that depend on custom data pipelines should account for it separately.

Agents and support

ActivTrak offers Windows, macOS, and ChromeOS agents. Its ChromeOS agent can run in Chrome on Linux systems without a native Linux agent. The Assist Browser Extension works alongside the desktop agent on Windows and Mac to capture more detailed URL data.

Three US-based support tiers are offered: Digital, Premier, and Signature. Purchases involving more than 50 licenses require a paid support plan, a condition larger deployments should include in procurement planning.

Pricing

ActivTrak uses a freemium model, with a free plan and a 14-day trial. The free plan costs 0.00 USD per free and includes 30 days of data history and basic activity visibility for up to three people. That is a narrow starting point, not a practical long-term tier for a larger team. Free accounts with no login for 30 days are marked inactive and receive an email about pending deletion.

Plan	Price	Included limits and history	Best fit
Free	0.00 USD per free	30 days of data history; basic activity visibility for up to 3 people	Individuals or very small teams evaluating basic visibility
Work Activity Tracking	Custom pricing	6 months of data history; 20 configurable work schedules	Teams needing activity tracking and more history than the free tier
Workforce Management	Custom pricing	6 months of data history; 50 configurable work schedules	Teams that need schedule and location adherence alongside visibility
Productivity Optimization	Custom pricing	1 year of data history; 50 configurable work schedules	Organizations focused on productivity analysis and longer-term trends

The paid tiers extend retention and configurable schedules, but prices are custom, so comparison requires a quote. An ActivConnect add-on is required for API or SQL access; Screen Details is also an add-on if screenshots are needed. Teams buying more than 50 licenses must also budget for a paid support plan.

Platforms

ActivTrak supports API, extension, Linux, macOS, web, and Windows. Its agent availability is more specific: Windows, macOS, and ChromeOS agents are offered, while Linux systems can use the ChromeOS agent in Chrome without a native agent. The Assist extension adds more detailed URL capture only alongside the Windows or Mac desktop agent.

Who it's for

ActivTrak fits teams that want real-time workforce visibility, productivity categorization, schedule and location adherence, or a way to measure AI adoption and impact in one platform. Its stated restrictions on intrusive monitoring methods may also suit organizations seeking activity analysis without keystroke, email, camera, or video monitoring.

It is less suited to teams that need a generous no-cost deployment, known per-seat pricing, or API access included in the base plan. The three-person free limit, short history, custom-priced paid tiers, and add-on data access make those requirements worth resolving before adoption.

Pros and cons

Pros: Real-time visibility, custom dashboards, productivity trends, schedule and location adherence, and AI-use analysis combine several workforce questions in one platform.
Pros: Stated limits on keystroke, email, camera, personal-device, and video monitoring, with screenshots off by default, offer a less intrusive approach than screenshot-first monitoring.
Pros: Outlook, Google Calendar, Entra ID, and SCIM integrations support calendar context and user management; ActivConnect can feed common BI tools through templates.
Cons: The free plan stops at three people and 30 days of history, limiting its usefulness beyond evaluation or tiny teams.
Cons: Paid plan pricing is custom, and more than 50 licenses require paid support, making total cost harder to assess upfront.
Cons: API or SQL access and screenshot capture require separate add-ons, so teams needing either capability should not assume it is included.

Alternatives

Worklytics is worth considering when calendar-focused meeting insights are enough: its free tier supports up to 100 users, but it is limited to calendar data and 30 days of history. Choose ActivTrak when you need broader activity categorization, schedule adherence, or AI-use analysis.

Insightful may suit teams that prioritize workforce analytics with screenshots and a stated Workforce Analytics plan at 8.00 USD per month, billed annually. ActivTrak is the better fit when its stated privacy controls and AI insights matter more than screenshot capture.

Qualtrics is an alternative for individuals seeking a free survey tool, with one user, three active surveys, and 500 total responses. It is a different fit from workforce activity analysis.

Perceptyx is an enterprise-oriented alternative with custom pricing and expert consultation. TalentNeuron is another paid workforce-related option. Culture Amp offers paid Engage and Perform plans with annual, quote-based pricing. Lightcast offers consulting, software, and data delivery options at custom pricing. One Model is a paid alternative with a Data Mesh plan that includes configurable API integrations and pay-as-you-go additional data sources and insight packs.

Verdict

Choose ActivTrak if your team needs a single view of workforce activity, productivity patterns, adherence, and AI use, and values its stated privacy boundaries. Look elsewhere if a three-person free tier, custom-priced plans, paid support above 50 licenses, or add-on API access conflicts with your budget or stack requirements.
