Overview

Keelstar manages business documents including W-9s, insurance certificates, contracts, invoices, and policy acknowledgments. Teams can collect and approve these records, monitor deadlines, and preserve activity history across vendor compliance, contract operations, HR compliance, finance operations, and shared platform auditing.

Free browser tools return one-time results without an account and can be upgraded to monitored workflows. Keelstar describes setup as self-serve, with same-day go-live and no implementation fees or rollout project. That suits teams seeking a focused process rather than a long implementation, but the free tools do not provide continuing monitoring.

Key features

Monitoring and evidence

The Team plan includes reminders before every deadline, an audit trail, version history, role-based permissions, and on-demand exports. Every workflow can export its records and full history. Meaningful actions are logged with an actor and timestamp, giving teams a usable evidence trail; conditional routing is supported, but parallel approvals are not.

Invoice workflows support comments and an approval audit trail. Keelstar's API covers documents, parsed fields, workflows, monitors, notifications, and webhooks. That gives teams integration building blocks, but those needing a ready-made third-party connector catalog may find the platform less direct.

Security and data control

Data is encrypted in transit and at rest, held on managed access-controlled infrastructure, and backed up with retention configurable to customer needs. Role-based permissions govern workflow access. Customers own their data, can request deletion and export it at any time, and Keelstar says it does not sell it. Keelstar does not claim certifications it does not hold; teams requiring a current formal attestation should account for that before choosing it.

Pricing

Plan	Price	What it includes
Free tools	0.00 USD per free, billed forever	Every free tool, no account; one-time browser results; private, signed share links; upgrade to monitoring anytime.
Team	49.00 USD per month, billed per workflow / month	One fully monitored application, deadline reminders, audit trail and version history, role-based permissions, on-demand exports, and up to 10 seats.
Business	Custom pricing	Every application on one platform, shared audit logging and permissions, priority support, volume and multi-workflow pricing, security documentation on request, and unlimited seats.

Free tools make sense for occasional one-off results, but they lack monitoring. Team is the entry point for an ongoing workflow; its per-workflow charge and 10-seat ceiling matter if several processes or a larger group need coverage. Business is aimed at broader, multi-application use and removes the seat limit, with custom platform pricing. Business plans include priority support, and a Help Center and contact email are also available.

Platforms

Keelstar is available through the web and an API. The API and webhooks can support connections built around its documented document, workflow, monitoring, notification, and parsed-field capabilities.

Who it's for

Keelstar fits teams in vendor compliance, contract operations, HR compliance, or finance that need recurring document collection, deadline oversight, and evidence they can export, without an enterprise implementation project. It is a weaker fit for teams that require parallel approvals or expect a broad set of ready-made integrations.

Pros and cons

Pros: Full-history exports and actor-and-time audit records help teams retain process evidence.
Pros: Free tools require no account, while self-serve setup is designed for same-day go-live without implementation fees.
Pros: API and webhook capabilities offer a path to connect workflows to existing systems.
Cons: The free tier is limited to one-time results; monitored use starts at 49.00 USD per workflow / month.
Cons: Team is capped at 10 seats, and parallel approvals are not supported.
Cons: Keelstar does not claim certifications it does not hold, which may rule it out for buyers who require a current formal attestation.

Alternatives

For invoice approval, Nanonets Approval Routing Agent is worth considering if a free starting tier and API access for up to three users matter more than Keelstar's per-workflow monitoring model; its Starter begins with $50 in credits, then costs $100/month for 100 credits. Vic.ai APSuite is a more specialized invoice-processing and approvals option for buyers prepared for a 12-month contract at 25000.00 USD per year.

Cflow may suit teams wanting a paid workflow platform with a free trial and broader device coverage; its Joy plan is 22.00 USD per month with a 10-user minimum and a 20-workflow maximum. Envoice is a lower-cost invoice-focused option for smaller teams: Essential is 10.00 USD per month for 50 documents and two users, with extra-document and extra-user charges.

Finmatics is relevant to teams comparing invoice automation by booking-line volume; its Pro Fin plan is 1.05 EUR per month on an annual invoice paid in advance, with monthly payment available at a 20% surcharge. FireStart is an alternative for organizations focused on process modeling, with cloud and self-hosted availability and a Process Modeling plan at 390.00 EUR per month plus VAT.

DocuClipper Invoice Approval is another invoice-oriented choice, with a Starter plan at 20.00 USD per month billed annually for 60 pages per month, unlimited users, and API access. hh2 AP Routing & Approval is an additional AP-routing option for teams comparing mobile and web platforms.

Verdict

Choose Keelstar if your team needs monitored document workflows with deadline reminders, meaningful audit history, and exports, but wants to avoid an enterprise rollout. Its clearest advantage is carrying evidence and oversight through recurring processes. Look elsewhere if parallel approvals, formal certifications, or a ready-made integration catalog are requirements, or if the per-workflow Team price does not fit your scale.
